Enrolment procedure

All children attending the programme must be enrolled using the enrolment form by the parent or other adult acting with parental approval.

The adult enrolling the children will be given the programme information sheet and must then sign the parent agreement to confirm they have read the information.

Parents must provide at least one non-parent as an emergency contact.

Parents must also sign an excursion permission slip for trips their child is attending.

Policy for Children with Special Needs

Every effort will be made to include children with special needs in WestpacTrust Holiday Programmes.

The co-ordinator will assess if the child’s needs can be catered for and that the child will benefit from being at the programme. Full information about the child’s requirements including medication, diet and supervision requirements must be obtained from the parents and included with the child’s enrolment form. Suggested questions are outlined below.

With parental consent the co-ordinator may also contact schools and other agencies who have contact with the child for more information and advice.

The safety of the child and other children in the programme will be a major consideration. Children will not be included in the programme if their behaviour or the level of supervision required will compromise programme safety.

It is the co-ordinator's responsibility to ensure that all staff and volunteers are fully aware of the child’s requirements and that they feel confident to provide the necessary care.

If the child will require further special aids, for example modified facilities, extra staff or staff training the co-ordinator will make the final decision after consulting with programme staff.

Each case will be considered individually and every effort will be made to include the child within the limits of the programme’s resources.

The co-ordinator may negotiate enrolment for an initial trial period.

Guidelines for Collecting Information about Children with Special Needs

Programmes will need to gather the following type of information on children with special needs enrolling in their programme:

Ÿ  Does the child have a diagnosed disability?

Ÿ  What are the details of the disability?

Ÿ  How does the disability affect the child?

Ÿ  Do they have any medical conditions and what implications does this have for providing care? Do they have asthma, allergies, fits, seizures, etc?

Ÿ  What can the programme do to minimise the chance of these occurring?

Ÿ  What are the symptoms and what steps have to be taken to control these?

Ÿ  Do they have any dietary restrictions?

Ÿ  What is the child's health history, e.g. head injuries, operations, etc?

Ÿ  Are there any activities the child should avoid for medical reasons?

Ÿ  Do they take medication?

Ÿ  Does the child have any problems with behaviour in associating with other children?

Ÿ  Do they have a behaviour plan?

Ÿ  Is there anything specific that upsets the child?

Ÿ  What methods are used to calm them should they get overexcited or have problems with their behaviour?

Ÿ  How will the child cope being with a large group of children?

Ÿ  Do they tend to wander off?

Ÿ  Do they require any specialised equipment?

Ÿ  Do they require assistance with eating, washing and toileting? Have they been in a programme before?

Ÿ  What activities do they like?
