REGISTRATION PACK AND CALL FOR ABSTRACTS

This is a call for registration and submission of abstracts for the 35th Conference on Priorities in Perinatal Care to be held at Forever Resorts Warmbaths from 8-11 March 2016. The conference will start at 16h30 on 8 March with registration from 14h00 onwards, and the conference will end after lunch on 11 March, around 14h00. Only 200 delegates can be accepted for this year’s conference, so please book early to avoid disappointment.

VENUE: Forever Resorts Warmbaths is a 3* family resort with endless activities including hot and cold pools, a Hydo and the adjacent Ramoswe Game Reserve (www.foreverwarmbaths.co.za).

INVITED GUEST SPEAKERS: Richard A Polin, Director: Division of Neonatology, Children’s Hospital, New York and Professor of Paediatrics, Columbia University College of Physicians and Jaki Lambert, midwife, senior researcher and lecturer at Liverpool School of Tropical Medicine

HOW TO GET THERE: Driving or Flying. Flights can be booked to OR Tambo (Johannesburg) International airport. Bus transfers will be provided for flying delegates (see below for bus transfer times and make your flight bookings accordingly). Payment for bus transfers at set times (specified below) should be included with your conference payment. There are no individual transfers and buses only depart at times specified below. Please be aware of transfer time between airport and venue. If there is sufficient demand then we will look into a transfer from Lanseria and/or Wonderboom Airports – these rates will be different from the OR Tambo rates supplied – kindly enquire before paying.

ACCOMMODATION at the venue: Accommodation bookings at the conference rate for conference delegates can only be made through the organisers. Any delegates who book directly with the venue will not have access to the conference as they will be regarded as leisure guests. Please inform your institution, or travel agents of this when booking.

COSTS OF THE CONFERENCE

Delegates will attend as either FULL delegates or DAY delegates. FULL delegates are those who require accommodation at the venue, as well as all meals – no self-catering available during conference period. DAY delegates will arrive each morning and depart each evening, no accommodation, dinner or breakfast provided or included at the venue.

Please note there are two options for accommodation as full delegate: hotel room (only 40 available – first paid, first booked) or chalet, please choose only one option in each section on the registration form

FULL DELEGATES

Check-in time: 15h00, registration starts at 14h00 and conference starts at 16h30.
Registration & Accommodation: SINGLE** (R6900 per person) in hotel or one-bedroom chalet OR SHARING 2 people per chalet (R5900 per person) (own bedroom, sharing bathroom) in 2-bedroom chalet including one soft drink at lunch and dinner each day. Total amount is payable to Priorities in Perinatal Care (Bank details on registration form). Please fax your proof of payment (with your initials, surname and/or invoice number as reference) and completed registration forms to the organisers.

INSTITUTIONAL/PROVINCIAL PAYMENTS: If your institution, district or province is paying for you to attend then kindly complete a registration form and request an invoice as soon as possible to avoid disappointment – we do not accept orders so the payment has to be reflected in the conference account before registration closes for you to attend. Please note that we do not accept block bookings unless we can communicate directly with each delegate before the conference not via a contact person who has made the block booking. We communicate via both e-mail and SMS so that delegates receive all relevant information.

DAY DELEGATES: Kindly register before Priorities so that the venue can cater for you. Day delegates fees: registration fee + full day/half-day rate which includes conference attendance, lunch & tea(s). Breakfast & dinner are not included and need to be specified separately on the registration form. Make sure to specify the days on which you will be attending so that the venue can cater for you. MEALS FOR FULL DELEGATES: The venue has informed us that we cannot exclude breakfast and dinner for full delegates staying at the venue. These meals will be included in all rates quoted. No self-catering is available in on-site accommodation during conference period.

WORKSHOPS: Various workshops will be presented as single/parallel sessions on Wednesday afternoon (9/3/2016). You will be asked to book your place for the workshops you want to attend during February 2016 once the programme has been finalised. Limited space: max 50 delegates per workshop in breakaway venue so late bookings will not be accepted at the conference if the workshops are already full. Workshops in the main conference hall will be able to accommodate the balance of delegates unless the presenter’s limit numbers. Full delegates receive preference for workshops (included in conference rate). Workshop topics will be communicated to delegates as they are finalised. Thursday afternoon will be at leisure. Only registered delegates may attend workshops. Workshop presenters are also required to register as delegates.

TRANSPORT FROM CHALETS TO CONFERENCE CENTRE: The chalets are approximately 2-3km from the conference centre (on the same property). It is safe to walk. There will be a minibus collecting people from bus stops in the chalet area before breakfast each morning and taking people back after dinner each night. If you want to move between the chalets and conference centre (or vice versa) during the day then you will have to walk or drive (own transport).


BUS TIMES: Bus transfer provided for flying delegates from OR Tambo (Johannesburg) Airport. These are group rates, if you travel on your own or in groups less than the minimum number arranged or at another time than arranged then you will have to pay extra. Bus transfers for flying delegates only, if space permits then non-flying delegates will be considered. No transfers booked without full payment before registration closes.

Airport bus leaves at specified time only (one transfer per airport), please book your flights accordingly especially your return flights on 11 March or arrange your own transport to and from the venue. No lunch at the venue on 8 March so please eat/buy at the airport. Conference starts at 15h30 with tea on 8/3 and ends with lunch from 13h00 on 11/3. ORT Individual return transfers from R4200 per person.
If there is sufficient interest, at least 4 people for a transfer from Lanseria and/or Wonderboom Airports then we will arrange transfers. Approximate prices (please confirm before paying): Lanseria - rate per person for minimum of 4 people will be approximately R1100 per person (individual transfers from R4400 per person return). Wonderboom – rate per person for a minimum of 4 people will be approximately R1000 per person, individual return transfers from R4000 per person). All rates as quoted by transfer company.

If your flights are not booked according to the bus times, you are welcome to hire a car at the airport or make other transfer arrangements, for your own account and organisation. Cancellation of transfer booking, please see the cancellation terms below.

ACCOMMODATION: Please contact organisers re: availability of accommodation at the venue before booking. Accommodation will be booked according to the payments received on a first-paid, first-served basis. All accommodation bookings at the venue for the conference are made though the organisers. No accommodation will be booked for delegates after we have made our final block booking with the venue on 20 February 2016. The venue will not accept direct bookings for conference delegates. Anyone booking directly with the venue will be regarded as a leisure guest not a conference delegate. We do not register new conference delegates at the conference, so please make sure that you register and book accommodation through the organisers to attend the conference before registration closes. No accommodation will be available for delegates arriving at the conference without prior booking and confirmation of registration. No food preparation allowed in any accommodation.

ACCOMMODATION OPTIONS: Please specify option requested on your registration form. All accommodation options subject to availability on receipt of payment.

1.  SINGLE accommodation in hotel room with en-suite bathroom: some rooms have bath and shower and others have either bath or shower. Also suitable for couples*. Double bed or two single beds. Very limited single accommodation still available – check availability before paying.

2.  SINGLE accommodation in single chalet: own chalet with sitting room, bedroom and bathroom (also suitable for couples*). TV in lounge, fridge in kitchen. Very limited single accommodation still available – check availability before paying.

3.  SHARING accommodation in two bedroom, one bathroom chalet: own bedroom but sharing bathroom (shower only). TV in lounge, fridge in kitchen. Double or two single beds in each room.

If you are planning on arriving at the venue before 8 March or staying on after 11 March then please let the organisers know as soon as possible so that they can refer you to the relevant person at the hotel to provide you with rates and advise on availability. *Couples pay sharing rate per person for conference delegates, if both people are attending the conference or contact the organisers for ACCOMPANYING PERSON RATES if the person sharing with you will not be attending the conference. Organisers also have rates for children accompanying their parent(s) to the conference. Kindly inform the organiser of anyone staying with you at the venue during the conference period when booking.

VENUE INFORMATION:

FACILITIES: Hot and cold pools, wave pool, pool slide, speed slides, water-ski cable-way, paddle boats, walks, bird watching, game drives (rates apply), squash-, tennis and volleyball-courts, go-karts. Access to Hydro is free for people staying at the resort only: indoor warm pool, indoor rheumatic pool, indoor splash pool, outdoor warm pool. Hydro treatments (other than pools) for own account. Convenience store. Other shops and ATM at nearby Bela Bela Mall – own transport.

DRINKS: Beverages (other than those specified with meals) are for your own account (Cash/credit cards only) no signing to room accounts during conference. One soft drink per person provided at lunch and dinner, juice and tea/coffee included at breakfast. Water is provided on tables during the conference.
