Director of Operations – Job Description

This position reports to the Executive Director and provides overall operational support for all aspects of the organization. Includes a focus on finance, reporting, information technology, knowledge management, and data collection and management. Candidates should have a willingness to take on additional roles as needed.

Duties and Responsibilities:

  • Support financial management included budget maintenance, compliance with financial audits and reviews, and reporting
  • Maintain case management database and work with Program Service staff on data entry, data management, and troubleshoot database queries
  • Produce all monthly and quarterly reports as required by funders and other stakeholders; develop new reporting templates as necessary
  • Produce annual performance outcomes report and financial report (samples will be provided)
  • Work with Development Manager and Executive Director to support fundraising as needed; including grant research/submission/reporting, direct appeals, and special events
  • Work with Volunteer Director and Recruitment Coordinator on marketing and outreach projects/materials as needed
  • Manage administrative tasks including personnel time and leave, set-up for new employees, email management, and administrative troubleshooting
  • Serve as primary in-house IT support for network and personal computers; serve in leading role for all IT-related developments or system improvements
  • Provide operational support for Program Service initiatives as needed
  • Serve as primary liaison to outside consultants for IT support, database management, marketing support, website management, etc.
  • Represent the organization at external meetings with funders, donors, and volunteers

Education and Experience:

  • Minimum MA or MPA (or related experience)
  • Minimum 5 years work experience (non-profit management a plus)

Qualifications

  • Ability to establish working relationships with other professionals
  • Strong analytical and data management skills
  • Ability to synthesize data and present it in a meaningful way
  • Exceptional written and spoken communication skills
  • Exceptional computer/IT skills
  • Exceptional Excel skills; Filemaker experience a plus
  • Graphic design skills and familiarity with Adobe software a plus
  • Detail oriented; good organizational skills; good verbal and written skills
  • Ability to work independently and with other staff members
  • Demonstrated independent initiative and work ethic
