2017 SCAA track and field championships

The online form
For the third year, an improved online entry system was available (but not mandatory)
There were still several problems:-
I suspect that the confirmation E mail often went into a junk/spam folder and was never opened by the referrer –as a result, the athlete would not have received the payment instructions.
As a result, a few athletes had to pay on the day, something which I had hoped to avoid.
The system continued to offer prepayment by BACS or cheque (most athletes preferred BACS).
The online entry method was successful and I plan to repeat this in 2018 – no further modification is required
The website
Referrers often failed to read the guidance notes. As a result, E mail queries were generated which could have been avoided.
Entry numbers
The chosen weekend, allowed by England Athletics, did not clash with schools’ half term and entry numbers were much better than that achieved in 2016 – see breakdown below
This was mostly due to a larger entry from Millfield School and the participation, after some years of absence, of Millfield Prep.
Finances
Entry fees were unchanged from 2016 (£4 first event, £3 subsequent). This compares very favourably with neighbouring Counties.
This year, EA has undertaken to make a grant of £500. DC has completed the application form and submitted invoices.

The championship
355 athletes entered the championships (6 withdrew before the championships)
this year, very few tried to enter after the closing date
One athlete arrived not understanding that it was not an open meeting
Distribution of competitor numbers on the day needs some attention next year
57 (16%) athletes did not appear (including the 6 early withdrawals) – many of these were from All Hallows School
24% of entered events were not contested
For the 7th successive year the championship offered events for athletes with a disability – it was disappointing that, for the third consecutive year, there were no entries for the seated throws.
The second day had been partly designed to accommodate these seated throwers. A large number of athletes with a disability entered as guests.
Also, the two day championships allowed ‘junior’ athletes to contest both the 800m and the 1500m.
11 athletes entered both the 800 and the 1500 – 7 contested both events (one athletes DNS either event). I did not analyse whether some athletes contested the 3000m on the Saturday and the 1500/SC on the Sunday.

The only direct school entries were from Brymore Academy, Queens College (Junior and Senior), Millfield School, Millfield Prep, Wells Cathedral School (one athlete), All Hallows School and
Park School . A small number of ‘junior’ athletes, principally in the U11 age group, entered as individuals even though they were not members of an affiliated club.
There were no direct entries from Kings Taunton, Kings Bruton, Taunton School or Wellington School
Our fixed costs were similar to previous years –these fixed costs included medals, track hire, first aid etc.
First Aid was provided by The Red Cross
Officials’ lunches were supplied by YOAC.
