2013/2014 Duty Roster Tasks

The team concept is being introduced to create greater involvement within our club:

- Every member is engaged with a team, except Tom who will preside at meetings

- New members will be added to a team immediately upon joining our club

- All members share in the responsibilities of maintaining an active, vibrant club

Teams are responsible for the setup and support needed to run our meetings for their assigned months.

- Select a team leader for the month

- Inform the Club Service director of your choice (2013-2014 – Lynn Thomson)

- Choose who will take responsibility for each duty for the month

- Arrive at meeting location at 7am for meeting start of 7:30am

Duty Roster Task Descriptions

Leader: - see that all members of the team are involved

- see that all duties looked after

- be in communication with any club members that are missing at the meeting

Setup / Take-down:

- as per diagram attached

- items needed are in the grey storage cabinet at front of room

- at beginning of month, get the combination for storage unit from club service director

Attendance / Cashier:

- tasks and table setup outlined at the beginning of the attendance binder

- attendance sheet given to club secretary at end of each meeting

if the secretary is absent, keep in binder until next attendance

- cash bag given to club treasurer at end of each meeting

if the treasurer is absent, keep in locked cashbox until next attendance

Greeter:

- remove name tags from box and set up on table as per diagram in attendance binder

- greet each meeting attendee with a smile and a handshake

- give the member their name tag

- see that guests attending register, and are introduced to a club member so they feel welcomed and

can be informed of our meeting format

Invocation:

- intention / thought for the meeting

- create your own, or read one from the book found in the beige cashbox (at attendance)

50/50:

- likely a continuation of the previous month

- be sure to use the tracking notes that are in the container

- half of the proceeds from the meeting are given to the attendance/cashier to deposit

Sergeant at Arms:

- fun, creative and respectful way to raise funds for the club’s use

- sharing of ‘happy loonie’

Speaker:

- ask club service director meetings when speakers will be required

- book the speaker

- introduce and thank the speaker at the meeting (present ‘Gift of Eyesight) found in storage cabinet
