Directions and FAQs:

In order to more efficiently process Partner Agency applications, our application format has changed from previous years. Please read below for directions and answers to Frequently Asked Questions (FAQs).

Directions for 2013-2014 Partner Agency Application:

1)  Check to make sure your computer is operating with a version of Adobe Reader or Acrobat 8.0 or higher. If you do not have this software or your copy is out of date, download a free copy of Adobe Acrobat Reader from http://get.adobe.com/reader/.

o  IMPORTANT NOTE: In order to properly complete, save, and submit the Partner Agency Application, you must use Adobe Reader or Acrobat 8.0 or higher. Earlier versions of Adobe will allow you to open the Partner Agency Application, but will not allow you to submit your responses.

o  MAC users must complete the Partner Agency Application using Adobe software, not the Apple native PDF preview application. Apple’s preview application will not allow you to submit your Partner Agency Application and we cannot retrieve this data.

2)  Download the current Partner Agency Application (a PDF fillable form) from http://www.jvcnorthwest.org/request-apply.php and save the document on your computer. Open the PDF using Adobe software 8.0 or higher. This form can be completed in several sittings, and you do not need to be online to add and save responses.

3)  Complete all applicable fields of the application.

4)  We recommend saving a copy of the Partner Agency Application on your own computer for your records before submitting the form. If we use the same system next year, you will be able to copy and paste most of your responses into the new form.

5)  When you are ready to send the Partner Agency Application, make sure you are connected to the internet, and then select the “Submit” button at the end of the form. The data in the form will be sent directly to JVC Northwest through our Adobe Forms Central account.

What does a complete Partner Agency Application include?

  1. The electronic submission of the 2013-2014 Partner Agency Application, a PDF fillable form.
  2. A copy of your agency’s most recent financials emailed to .
  3. A completed 2013-2014 JVC Northwest Position Description form emailed to .

When is the application deadline?

All three pieces of the Partner Agency Application are due Monday, December 3, 2012. Since we are using a new application system, we encourage early submission to ensure that we can help you troubleshoot any technical difficulties that may arise.

Will I need my password from previous years?

No. Unlike previous years, you will not need a password to log-in and complete the application. However, your information is no longer stored through CollegeNET Inc., and thus you will not be able to access responses from previous years through this portal. If you would like to refer to your responses from the previous year, please email to request an electronic copy of your 2012-2013 Partner Agency Application.

Can I complete the application using any software program that reads PDFs?

No. In order to properly complete, save, and submit the Partner Agency Application, you must complete the form using Adobe Reader or Acrobat 8.0 or higher. Earlier versions of Adobe will allow you to open the Partner Agency Application, but will not allow you to submit your responses. Please make sure your computer is operating with the proper Adobe software. IMPORTANT NOTE for MAC users: Apple’s native PDF preview application is not the same as Adobe Reader and will not allow you to submit your Partner Agency Application through our Adobe Forms Central account. We cannot retrieve this data. You must complete the Partner Agency Application using Adobe software, not the Apple native preview application.

How can I be sure that the Partner Agency Application is being opened in Adobe Reader?

In order to ensure that you are opening and saving the Partner Agency Application with the correct program, we recommend taking the following the steps below:

For Mac users:

Option 1:

·  Download AND install Adobe Reader or Adobe Acrobat 8.0 or higher. (Most people will download Adobe Reader.)

·  Click the link on the JVC Northwest website for the Partner Agency Application form.

·  Click "Save As" to save the form to your computer before you begin working on it. (Be sure to save it in a location you can easily find again.)

·  Close the form on the webpage.

·  Find the Partner Agency Application file on your computer and right click (ctrl + click) on the file.

·  Scroll over or click the "Open With" option in the list that pops up.

·  Select Adobe Reader or Adobe Acrobat (whichever program you downloaded).

·  Once the form has opened, "Save As" again in order to ensure the document opens in Adobe automatically the next time you try to retrieve it. (You may wish to delete the original form you downloaded in order to avoid confusion.)

Option 2:

·  Click the link on the JVC Northwest website for the Partner Agency Application form.

·  Click "Save As" to save the form to your computer before you begin working on it. (Be sure to save it in a location you can easily find again.)

·  Close the form on the webpage.

·  Download AND install Adobe Reader or Adobe Acrobat 8.0 or higher. (Most people will download Adobe Reader.)

·  Launch Adobe Reader or Acrobat. (You may have to find this application on your computer. If you launch the Finder application, the program will most likely be located in the Application folder.)

·  Once the program is launched, go to File --> Open.

·  Select the Partner Agency Application form (JVCNorthwestPartnerAgencyApplicationFINAL.2.pdf).

·  Once the form has opened, "Save As" again in order to ensure the document opens in Adobe automatically the next time you try to retrieve it. (You may wish to delete the original form you downloaded in order to avoid confusion.)

For PC users:

For everyone:

We recommend testing to see if the information you've entered in the form can be saved BEFORE fully completing the application, as we will be unable to retrieve any of the data for you. Try filling out just a few fields, saving, closing, and re-opening the document to see if the information has been saved.

Can I fill the application out in multiple sittings?

Yes. Once you have downloaded Adobe Acrobat Reader and the form itself, you are able to fill in and save your responses as you complete the application. Even if you plan on completing the application in one sitting, we recommend saving your responses periodically. Once the application is complete, please save your own copy before hitting the “Submit” button.

What happens when I select the “Submit” button at the end of the application?

Please make sure your application is fully complete before hitting the “Submit” button. Once this button is pushed, your application will automatically be sent to JVC Northwest through our Adobe Forms Central account. You will then receive an email confirming that your application has been received. If you accidentally send the form before the application is complete, please email to notify our office.

What should I do if I push the “Submit” button and nothing happens?

Make sure that you are using a version of Adobe Reader or Acrobat 8.0 or higher, as earlier versions do not allow respondents to submit the Partner Agency Application. If you have already completed the Partner Agency Application with an earlier version of Adobe, please download a free copy of Adobe Reader (http://get.adobe.com/reader/), open the Partner Agency Application with this new version, copy/paste your responses, and hit the “Submit” button. What if I am applying for multiple JV/AmeriCorps Members?

·  If you would like to apply for more than one JV/AmeriCorps Member serving in the same program, with the same position, you may fill out one application.

·  If you would like to apply for more than one JV/AmeriCorps Member serving in the same program, but with different positions, you may fill out one application and include additional position descriptions and additional supervisor information. Because we cannot guarantee that we will provide an agency with a JV/AmeriCorps Member for every position requested, please list the requested positions in order of priority for your organization.

·  If you would like to apply for more than one JV/AmeriCorps Member with positions in separate programs, even if they are within the same larger agency, JVC Northwest requires that you fill out separate applications for each program. Since the majority of the information gathered in the application pertains to the specific program where the JV/AmeriCorps Member will be serving, we require a separate application.

What financial statements should I submit as part of my application?

Instead of answering several financial questions with the application, we are asking Partner Agencies to submit a copy of their agency or program’s most recent financial statements (i.e. Statement of Financial Position and Statement of Activities, also known as a Profit and Loss statement). At minimum, submit the final financial statements of your last fiscal year, and if possible, include your most recent audited financials. Audited financials are statements that have been prepared and certified by a Certified Public Accountant (auditor).

What position description should I submit as part of my application?

While agencies often have their own version of a position description, we require all agencies to submit a JVC Northwest Position Description using our 2013-2014 template, which can be downloaded on our website: http://www.jvcnorthwest.org/request-apply.php. Please do not submit last year’s position description. This helps us streamline our application process and ensure AmeriCorps compliance.
