The following provides Northland Conference Team Representatives and Coaches with information regarding the upcoming Championship Meet scheduled for July 19, 20, and 21, 2010. Since the meet will take place at a non-Northland Conference pool, it is extremely important that everyone in attendance respects the policies and procedures of the Tiffany Springs Pool Complex. Because of contractual obligations, we are required to conclude each night’s competition by 10:00p.m. Representatives and Coaches are strongly encouraged to circulate this information with swimmers and their parents.

15 July 2010 / Mandatory walk-through for team representatives and coaches; meet entries due, walk-through begins at 5:00p.m.
15 July 2010 / Senior Names due to Meet Director to be included in Heat Sheet (if received after this date they might not be in the heat sheet).
15 July 2010 / Spirit Award Nominations due to Meet Director
16 July 2010 / Coaches to receive finalized list of team entries by noon. If you observe any discrepancies from your team entries you need to notify the Meet Entries Chair (Debbie Maynard) by 9:00p.m. After this deadline there will be no corrections, additions or changes. Please make your parents and swimmers aware of this.
19 July 2010 / 8 & under; 9 & 10 all events including medley relay; warm-ups at 4:45pm; meet begins at 5:45p.m.
20 July 2010 / 11 & 12; 13 & 14; 15-18 all events including medley relay; warm-ups at 4:45p.m.; meet begins at 5:45p.m.
21 July 2010 / All age groups consolations & finals including free relay; warm-ups at 4:45p.m.; meet begins at 5:45p.m.

Meet Entries

We will use Meet Manager to seed heats and score the meet. Coaches are responsible for submitting entries to Meet Entries Chair by July 15, 2010at 5:00 pm, as defined above in Key Dates and Times. No late entries will be accepted.

Entry times swam at the Coves’ pool must be converted before they can be used as an official entry time.

Swimmers need to have met the time standards in 2010 for the meet and also have participated in 3 dual meets for their team for the 2010 season to be eligible to swim in the Championship meet.

Relays must be filled out using the best time from the dual meetsand submitted with your entries. Relay swimmer changes will be allowed per USA Swimming rules.

Please pay careful attention to Northland Conference rules governing relays and moving kids up to a different age group. Only the fifth best swimmer from a lower age group may be moved up, and you cannot create a vacancy in a lower age group by moving a swimmer up to an older age group.

Mandatory Walk-Through

A mandatory walk-through for Coaches and Team Representatives will be held on Thursday, July 15that 5:00p.m. at the Tiffany Springs Pool. At least one Coach and one Team Representative (preferably the team liaison to the meet director) must be present. Discussion of facility logistics will be held at this time.

Equipment

The Meet Director will provide equipment for the meet. Each team will need to bring their stop watches for their timers. If something else is needed the Meet Director will advise teams.

Crash Areas

There will be no assigned team crash areas. The primary crash area will be directly southeast of the competition pool outside the fence. Please refer to the attached map of the Tiffany Spring Pool Complex.The administrative area will be limited to authorized personnel as denoted by access pass. Signs and banners may be attached to the chain link fence. All signage must be removed nightly. The city has asked that no crash area be between the sidewalk and the trees.

TiffanySpringsWaterPark Area

The Tiffany Springs Pool Complex includes a competitionpool as well as a water park with slides, fountains, etc. The water park areasare off limits to swimmers and spectators. Do not cross barriers or disobey safety marshals.

Senior Recognition

Because of time constraints, Senior Recognition will be done via the Conference Heat Sheets. However, if time permits, senior recognition will be done through the public address system on finals night.

Team Representatives should forward names of senior swimmers, team, and number of years in Northland Conference, to the Meet Director by July 15th.

Concessions

Within the confines of the swimming pool complex, no outside food or drink may be brought in or consumed in the pool area with the exception of bottled water. Swimmers and parents may possess and consume personal food and drink in the crash areas outside the fenced pool area. Concessions for purchase will be available inside the pool area.There will beNO grill cooking.

Officials

The Championship Meet referee is Mike Asbury. Stroke and turn judges, starters, and referees for the meet will be determined by USA official rating criteria. Officials for the meet will be identified in consultation with championship committee and the head referee during the week of 12-16 July and communicated to conference representatives.Team liaison will be responsible for communicating all assignmentsto their volunteers, including officials.

An officials meeting will be held each night prior to the start of the meet. Time to be announced later. All officials should be prompt for this meeting. Specific assignments will be made at this meeting.

Each official’s credentials and current USA membership will be checked nightly. Officials should wear white shirts and navy blue shorts.

Coaches

A coaches’ meeting will be held directly after the officials’ meeting.

Scratches will need to be made at the computer table by 5:15 each night.

Coaches will be required to visibly wear credentials during the meet. Coaches without credentials will not be allowed on the deck in the coaching area or at any of the meetings.

Each team may only have 2 Coaches at the assigned team coaching table. No swimmers will be allowed to sit at or in front of the coaches’ tables. Conversations with swimmers should take place away from the coaching table.

Backstroke Flags

The backstroke flags will be set at five (5) meters; not fifteen (15) feet we normally use. This is a facility constraint. Swimmers should adjust accordingly during warm-ups.

Conduct

All swimmers, parents, and spectators are expected to abide by the rules of the Tiffany Springs Pool, the Northland Swim Conference and USA Swimming. Any person who does not adhere to these rules will be escorted from the meet and will not be allowed to return for the remainder of the meet.

Clerk of the Course

There will be a head Clerk of the Course for all nights of competition. Coaches and parents are responsible for getting swimmers to the Clerk of the Course on time. Assistants to the clerk will help with the alignment of swimmers. Ultimately it is the responsibility of the swimmer to get to their events on time. In the older age groups if you are missing swimmers at the Clerk of the Course they may be behind the blocks. They are not required to check in at the Clerk of the Course. Please note the following USA swimming rules governing missed events:

Swimmers are considered checked-in for their events when they submit their entries for the meet.

Preliminary Competition:In preliminaries, if a swimmer elects not to swim an event in which he/she is entered, the swimmer or his/her Coach or representative must scratch the event thirty (30) minutes prior to the beginning of a night’s events. If a swimmer fails to either swim or scratch, he/she will be barred from his/her next preliminary event.

Final Competition:Any swimmer who qualifies for consolation or finals and fails to appear will be removed from the meet,will not be awarded a medal, and will not earn points for his/her team for that event and will be disqualified for the remainder of the meet. A swimmer who qualifies for consolation or finals and is scratched by his/her coach prior to the start of the session shall not be awarded a medal or earn points for his/her team in that event, but shall not be further penalized.

Clean Up

Each team is responsible for providing two volunteers to assist with clean up at the conclusion of each night. All teams are required to pick up trash from their bleacher and crash area prior to leaving.

Parking

Parking is available in the paved parking lot north of the pool. The grass north of the parking lot is not owned by the city so please do not park in grass. Parking is allowed on both sides of North Congress. The side streets may also be utilized. Some parking spots in the paved lot may be reserved for meet officials. Please be careful of pedestrians and inform your parents and other spectators to refrain from leaving any valuables in their vehicles.

Parking control

The parking control volunteer will help keep unloading and vehicle traffic in the front of the facility moving as necessary. Parking control will also beresponsible for keeping the reserved spots open for those vehicles with parking passes only. Handicap spots are reserved for those vehicles with a state tag. Parking control volunteers should wear an orange vest.Time is 3:00p.m. until 6:00p.m.

Spectator Area

Each team will be assigned a specific set of bleachers for their spectators. A Coaches’ table for each team will be set up directly in front of each team’s bleachers. No personal chairs will be allowed near the competition pool.All individuals are required to respect these assigned areas so that all spectators will have an opportunity to see their children swim. Because of the number of spectators who will be in attendance, seating will still be limited. Parents and other spectators are encouraged to give up their seat so others can watch their child swim. Under no circumstances can bleacher space be saved.

Unfortunately, TiffanySprings will only provide ten sets of bleachers. This means that the three smallest teams will have to share two set of bleachers.

Bleacher Assignments

There are 10 sets of bleachers available at the Tiffany Springs Pool Complex. The smallest three teams will share two sets of bleachers. The other eight bleachers are reserved for each of the remaining teams. Assignments are as follows:

Warm-ups and Lane Assignments – Will be sent closer to the meet

Warm-ups will begin each night at 4:45p.m. Both sections of the competition pool will be utilized for warm-ups. At 5:05p.m., teams in the competition pool will switch places with teams in the cool down pool. This will provide all teams with an equal amount of time on the starting blocks. Open lanes will be assigned as necessary. Warm-ups will end promptly at 5:25p.m.

Volunteer Liaisons

A list of volunteers needed per team will be sent out closer to the meet date to provide the Meet Director time to get a more accurate number of swimmers per team. Each team must advise the Meet Director that they have the necessary number of volunteers for their assignments. Remember to bring stop watches for your timers. Each team must provide a volunteer liaison thatwill be responsible for locating any missing volunteers from their teamand/or tofind suitable replacements for no-shows.

Medical

All medical concerns should report to the lifeguards.

Results Posting

Results will be posted on the north wall.

Lightning Policy

We will follow the Lightning Policy of the Facility. The referee along with the Meet Director and the Team Representatives will make the ultimate decision about the meet due to weather.

Awards

Tim Kidder Award

The Tim Kidder award will be presented immediately prior to the start on finals night. Nominations are due to the Meet Director by July 5th. Please email to or fax to 816-222-0436.

MOST IMPROVED TIME, and SPIRIT awards will be presented at the end of the meet. These awards will be decided by the Championship Award Committee.

Trophies for first, second and third place for both small and large divisions will be awarded after final tabulation.

Location of the awards ceremony will depend on time restrictions.

Most Improved Time Award

This team award will reflect the improvement of average aggregate individual times from the first recorded time for each swimmer and each event, to the best recorded time per swimmer per event prior to championship.

Spirit Award

This award is for the team that demonstrates sportsmanship, enthusiasm and creativity in promoting meet harmony before, during and after a dual meet.

One nomination from each team president will be accepted no later than July 15th. This should be emailed or faxed to the meet director.

Senior Recognition

TIM KIDDER AWARD

Any individual involved in the Northland Swim Conference swim program may be nominated for the TIM KIDDER award. Each team may submit one nomination. Nominations are due by July 5th. Please email to or fax to 816-222-0436 by the deadline.

The following may be used as guidelines for your nomination:

* An individual that is recognized for their commitment to the operation, performance, support and development of the Northland Conference swim program.

* An individual that gives freely and unselfishly of their time to Northland Conference swim program.

* An individual that gives extraordinary contributions for the betterment of the Northland Swim program.

* An individual that has a positive impact upon the direction and success of the Northland Conference.

* An individual that inspires others to serve, and acts as a role model.
