Motions and discussions dealing with future Auditions and Events
- Motion: (Anna Martin)
An outgoing chair will become the “Transition Person” for Event Chair of the following year. Thus the outgoing chair will become the “vice chair” the following year.

Move String audition date. from Sept 19 to September 26, 2009 and Winds to
September 23, 2009.

3. Motion: (Mike Gerdes)
There will be an official judges meeting before auditions begin.

4. Motion: (Sean Hartman)
It is the Event Chairs’ (Audition Event Chairs and Regional Event
Chairs) responsibility to disseminate information to the webmaster to
place on the website.
Vote-Yes 99%, Opposed-1
Discussion: Posting results on website by student number
- Motion: (Carrie Albers)
It is the Audition Chair’s responsibility for sending the complete audition list of
results by student audition number and school to the webmaster to be placed on the
website.
Vote – Yes-Unanimous
Discussion: It is up to the Audition Chair to make copies of the complete result list and give it out to the directors following auditions. Everyone agreed with this.
Motion: (Carrie Alber)
Establish the position of Sr. Audition Wind Chair.
Motion rescinded.
Procedures for Wind auditions:
-Supposed to follow All -State guidelines
-Band person at Audition location should step up to help out.

The 2009 conductor choices were the top votes from the previous regional orchestra year.

Accept top 2 people as givens for conductors and then reprioritize the list for the next year.

VI. Old business concerning this year’s events and issues
- Explanation for additional $5 fee: Expenses needed to be covered for VBODA- Would love input on this new fee.

New Audition Rotation
Loudoun offers to hold auditions but many felt too far away.
Visit Idea of region getting too big-may need to break off.
3 performing groups Jr, Sr. Freshman ----space problems, eligibility
Refocus efforts to establish audition rotation schedule
Cell phone usage in rehearsal
Rotation Schedule for Hosting Regional Orchestra Auditions: Voted in 2005 to always audition in PWCS due to central location. Sr. Regional Audition Sites/Chairs in 2009 to be decided next year.

Standardize sight reading-- find out more info from other districts-discuss further next year
Discussion: Cell phone use/texting
This is a relatively new issue that we have not had to deal with before. There was discussion on how to deal with the issue of cell phones and texting.

The usage of electronics other than tuning devices is strictly prohibited during rehearsals.
