1. Introduction

Welcome to the Guide Training Manual. This manual has been created to help you, a trainer, learn about Dolphin Guide from Dolphin Computer Access Ltd (

This manual will guide you through the key features available in Guide. It will offer descriptions, step-by-step instructions to complete tasks and challenge you with exercises to complete.

You may wish to use this manual as an aid towards your own development, as a reference manual or as a template towards training others.

2. Install, unlock and activate Guide

By the end of this section you will be able to:

  • Install Guide
  • Understand the process of unlocking and activating Guide.

2.1 Guide installation

To install Guide:

  1. Ensure the PC has booted up.
  2. Insert the Dolphin Guide CD (or download and run the trial version from yourdolphin.com). The Dolphin Guide installation automatically begins and prompts you to press ENTER.
  3. Press ENTER on each screen to confirm and continue the installation.
  4. When prompted, press ENTER to install automatically or press P to perform a custom installation using the wizard.

When the installation is complete the computer will restart automatically. If, during the installation process you set Guide to start automatically, then Guide starts after a few moments.

If Guide was not set to start automatically then you can start it manually by pressing the shortcut keys CTRL + SHIFT + G, or by double clicking on the Guide icon on the Windows desktop.

2.2 Unlocking Guide

Unlocking only applies to the demonstration version of Guide and not the licensed version. If you are using a licensed version of Guide, ignore this section.

An unlock code converts a trial version of Guide into a licensed version. Unlocking Guide requires an unlock code. Please contact Dolphin or your local Dolphin dealer to obtain an unlock code.

You have 30 days to unlock a demonstration version of Guide. If you do not unlock Guide within 30 days then Guide will stop working.

2.3 Activating Guide

Activation only applies to the licensed version of Guide and not the demonstration version. If you are using the demonstration version of Guide, please see the previous section (Unlocking Guide).

If you purchased a computer system with Guide pre-installed on it, it will have been activated already, so please ignore this section.

Your copy of Guide must be activated within 30 days. If you do not activate Guide within 30 days then Guide will stop working.

If you try and run Guide when it is not activated, only the activation screen will be displayed and it will not be possible to access the normal features of Guide.

Guide can be activated in two ways:

  • Activating Guide through the Internet: If your computer has an Internet connection, select option 1 from the menu and then press the ENTER key to continue. Guide will be activated just a few seconds later.
  • Activating Guide by telephone: If your computer does not have an Internet connection, Guide can also be activated over the telephone. Have your computer switched on and the Guide activation screen showing. Then telephone Dolphin or your local Dolphin dealer for assistance.

In brief, the person dealing with your activation will guide you through the process of manual activation. They will ask you to select option 3, which displays your product key. They will then give you an activation code to type in.

Guide comes with 2 activations. If you require Guide on an additional computer but receive an error message that all activations are used, please contact Dolphin or your local Dolphin dealer for assistance.

2.4 Uninstalling Guide

To uninstall Guide from your machine, either use the Add and Remove Software option in the Windows Control Panel and remove all items with names that start with “Dolphin Guide…”, or use the automated process on the installation CD. To use the CD, insert it into your computer and press the X key when prompted to do so.

2.5 Change how Guide starts

During the initial installation process, options allow you to select if Guide is to start automatically with your computer. If you would like to change this setting at a later date select option 9 from the Main Menu, then option 8 for Settings, then option 4 for Guide Settings. Within screen 3 of the Guide Settings Menu, change the Automatically Start option to on or off.

If Guide has been set to not automatically start when your computer is switched on, it can be started by pressing CTRL + SHIFT + G on the keyboard.

2.6 Keep Guide up-to-date

If you have an Internet connection, Guide can automatically check for and install minor program updates over the Internet. Use option 8 on the System Settings Menu to check if program updates are available.

Exercise
  • If not yet completed, download the demonstration version of Guide and/or insert the Dolphin Guide CD and install the program onto a computer.

3. navigating and reading

By the end of this section you will be able to:

  • Confidently navigate the Guide menus using keyboard or touch gestures.
  • Perform basic reading functions.

3.1 Navigate menus

There are several ways to navigate the Guide menus

These include:

  • Use the Arrow Keys to select an option and press ENTER.
  • Press the corresponding number for an option.
  • Use touchscreen gestures.

TIP: One very useful keyboard command that you can use to quickly go back to the Main Menu from any submenu is CONTROL + ALT + NUMPAD 0. This is especially useful when reviewing Guide Settings as many submenus must be navigated.

3.2 Basic reading using the keyboard

The basic navigation of Guide could not be easier. When you use the keyboard, every option can be accessed with the use of Arrow Keys and ENTER. Simply explore the menus with the Arrow Keys and press ENTER to select.

Alternatively you can speed this process up by pressing the corresponding number for that option. For example rather than press ARROW DOWN until you reach ‘Calendar’ and pressing ENTER to select, you can simply press 7.

When you open an email, document or menu, Guide begins reading automatically. There are many ways in which you can control what Guide is reading.

Here we shall detail some of the reading controls, but this is a great opportunity to try out the Guide help systems (F1 and CONTROL + F1). Practice using these reading controls within the help systems.

3.3 Touchscreen gestures

From Guide Version 9, touch screen gestures are used to operate Guide on a touch screen device. Touch the screen for Guide's Touch Bar to appear across the bottom.

Gestures

  • Press and hold 1 finger against the screen, Keep the finger pressed against the screen to move the finger around and explore Guides menus to find out the options available to you.
  • 1 finger double tap selects an option.
    Note: You can perform this gesture anywhere on the screen and Guide will select the currently highlighted option.
  • 2 finger single tap Starts or stops Guide reading from the current focus position.
  • 1 finger single swipe from right to left across the screen takes you back to the previous menu.
  • Pinch by pressing 2 fingers, spaced apart, anywhere on the screen and move them towards each other, as if pinching the screen, to reduce the level of magnification.
  • Stretch by pressing 2 fingers side by side on the screen and then move them away from each other, as if stretching them apart, to increase the level of magnification.

You can also plug a keyboard into touch screen devices and use the device with the keyboard

The Guide Touch Bar

The Guide Touch Bar gives you options to perform common actions, such as to:

  • change magnification
  • turn the voice on and off
  • start and stop reading

Onscreen Keyboard

An onscreen keyboard replaces the Touch Bar when you need to type text. The Touch Bar and onscreen keyboard disappear when you use a keyboard or mouse.

4. Guide Help system

By the end of this section you will be able to:

  • Access and navigate the Guide Help system
  • Access and navigate the Guide Shortcut Keys Help system

The inbuilt Help system is one of Guide’s most important features. Every menu has easy to follow information in its Help section. To access Guide Help, Press F1

Pressing F1 opens a ‘Guide Help’ document which takes you through every option within that menu, telling you what each does and how it can help you. During this course you will be asked to press F1 from time to time so you can explore the Help system information available for that section.

Another useful feature is the ‘Guide Shortcut Keys Help’ page, accessed by pressing CONTROL + F1. Guide contains numerous shortcut keys to help the user perform tasks quickly and easily. During this course we will not cover every key individually so it is a good idea to spend 10 minutes going through this section to see what shortcuts are available.

Remember, if you teach new users these two important Help functions they will be able to find almost all the information they need after you have gone.

4.1 Navigating the Guide help system

When you open either of the Guide Help systems it is automatically read out. To move through the document:

  • Press UP and DOWN ARROW keys to move forwards and backwards
  • To stop reading: Press CONTROL
  • To start reading: Press F8
  • To exit the Guide help system: Press ESCAPE
Exercise
  • Press F1 and review the help page for two separate menus. Navigate the text and close the help page.
  • Press CONTROL + F1 and review the shortcut keys available. This is a long list of hot keys so only familiarise yourself briefly with the content.

4.2 Help - Remote support

The Remote Support feature in Guide allows support engineers and telephone trainers to see and control the user’s computer remotely. This is all done via an Internet connection.

To activate the remote support option:

  1. From the Main Menu, press 9, 9, 9. Guide generates and shows a unique user ID and password. The user must pass this information on to the support engineer to enable them to remote into the computer.
    Note: Guide uses the TeamViewer program to manage remote access of user’s computers.
  2. Press F1 to find the contact details for the local Guide dealer.
Exercise
  • Find the Remote Support Menu option and review the corresponding help page.
  • Consider the numbers you must press to reach the Remote Support Menu option. For residents of the UK, what might you suggest to a user to help them remember this number?

5. Guide User Interface

By the end of this section you will be able to:

  • Change the Guide user interface
  • Configure the volume and speed of the voice
  • Change the Guide voice
  • Change the magnification level for menus and subtitles
  • Configure foreground and background colours on menus
  • Configure text size and font

5.1 Turn Guide Theme off / on

By default, Guide uses the Guide Theme user interface. This is a richer user interface, providing shading and icons to help highlight menu items. This user interface may not suit all users, for example, users familiar with the previous classic menu style may wish to continue using the classic menus. Guide provides the opportunity to switch from the new theme to the classic menu style.

To do this:

  1. From the Main Menu, press 9, 8, 1, 1. This will bring you to the Guide’s Screen Colours settings. The first option in this menu is Turn Guide Themes Off.
  2. Press 1 or the ENTER key to turn Guide Themes off.

To switch back to the modern Guide theme, repeat the steps above at which point the option reads Turn Guide Themes On”.

Exercise
  • Turn off the Guide Themes. Then repeat the process to turn the Guide Themes back on again.

5.2 Configuring speech

Guide has a Voice Customisation Menu. This menu allows you to change the volume, speed and voice used by Guide. As well as using this menu, you can also make changes to the voice using hot keys.

To go to this menu from the Main Menu:

  • Press 9, 8, 1, 2.

Change the volume of the voice

The simplest way to change the volume in Guide is to adjust the speaker volume if speakers are being used. Alternatively the volume can be adjusted from the Voice Customisation Menu.

To change the volume from the Voice Customisation Menu:

  • Press 1 to select ‘Option 1 – Increase Volume’.
  • Press 2 to select ‘Option 2 – Decrease Volume’.

Change the speed of the voice

You can change the speed of the talking voice. This is a way of speeding up the response time of the system, as all instructions will be read out more quickly.

However, when working with a new user, it is best to start at a pace where the voice is slow and clear, only speeding up the voice once the user has become more experienced and confident using the program.

To change the speed of the voice from the Voice Customisation Menu:

  • Press 3 to select ‘Option 3 – Increase Speed’.
  • Press 4 to select ‘Option 4 – Decrease Speed’.

This can also be done at any time using a hotkey.

To do this:

  • Press F11 to increase the speed of the voice.
  • Press CONTROL + F11 to decrease the speed of the voice.

Change the Guide voice

You can usually change the Guide voice between 2, 3 or possibly more voices. Usually this will include both male and female voices. The availability of voices is dependent on locale.

To change voice from the Voice Customisation Menu:

  1. Press 6 to select ‘Option 6 – Voices’.
  2. Use Arrow Keys to choose the voice you want to use.
  3. Press ENTER to select and return to the Voice Customisation Menu.

You can also change the Guide voice by using a hot key.

To do this:

  • Press SHIFT + F11.
Exercise
  • Change the volume of the voice using both the menu and hot key options.
  • Change the speed of the voice using both the menu and hot key options.
  • Change the Guide voice using both the menu and hot key options.

5.3 Change the size of menus

You can magnify the onscreen text and menus at any time. Every screen keeps its new magnification setting whenever you change it. To do this:

  • Press F12 on any screen to increase the size of the menu.
    By continuing to press F12 the magnification level of the menu increases to its maximum level and then loops back round to its minimum level.
    Press CONTROL + F12 on any screen to decrease the size of the menu.

TIP: To adjust the size of all menus, go to the Main Menu and then press ALT + F12 to cycle through the available sizes. This will set the default size for all menus. Using this approach means the user will not need to repeatedly adjust the size of each submenu.
