15th Annual Art on the Prom 2018 Felixstowe Sea Front

Sunday the 2nd September 2018, 10am – 4.30pm

The website has photos of previous shows as well as other useful information, and the Take Part form for applications for 2018.

There will only be 82 stands available.

Applications will be accepted on a first come first served basis up until the 82 places are taken.

The fee for a stall is £65 (two fences/7m) or £35 (one fence/3.5m).

The art activity tents will be run by professional artists.

PLEASE NOTE THAT ART ON THE PROM IS RUN ENTIRELY BY VOLUNTEERS.

There is a considerable amount of work involved and all artists, their friends and family are actively invited to take part by helping with a wide range of administrative jobs as well as hands-on duties on the day.

STANDARDS AND EXHIBITION RULES

· The Art on the Prom event is to promote art and artists.

· All artwork must be original, created and executed by the artist’s own hand and be of professional quality.

· The images submitted with the applications must be a true reflection of the type of work to be exhibited at the show.

· Ineligible items include but are not limited to the following: commercially manufactured or reproduced items; any item that employs the use of commercially available moulds or patterns and photography editions over 250 in quantity.

· Promotion and collecting for charities is not permitted.

· Any artist not registered will not be allowed to take part on the day.

·  Gazebos or awnings for stalls should not protrude further than 6 ft across the Prom.

·  On the day of the event artists can bring cars on to the Prom at 8.30am and must vacate the Prom by 9.30 am. Any artist arriving after this will not be allowed to drive onto the Prom, but will have to park elsewhere and deliver work to their allotted stall.

·  Your allocated stall will be given to artists on either side if you do not arrive by 10am.

·  If artists are unable to take up their stall refunds will only be given up to 14 days before the event.

·  All artists must take down stalls at the end of the day and vacate the Prom by 5.30pm taking all rubbish with them.

·  Artists are advised that Art on the Prom does not insure their art work or themselves for public liability. They are advised to consider whether they should take out their own cover for public liability. Art on the Prom recommends that you make use of the free insurance that comes as part of membership to AIR - Artists' Interaction & Representation,https://www.a-n.co.uk/register-artist

This organisation offers £5m public liability insurance for an annual fee of £36.

We do not receive a commission froma-n.co.ukfor introducing new members.

·  Artists must read the Privacy Statement and tick the box in the Application Form (see below).

ANY ARTIST WHO FEELS UNABLE TO MEET THESE REQUIREMENTS WILL BE UNABLE TO TAKE PART. The organisers reserve the right to halt sales and/or remove work from the show that is not in compliance with the exhibition’s requirements.

INSURANCE

The organisers are providing Public Liability Insurance for the event. However, artists should provide their own insurance for their artwork. The organisers will not be held responsible for any theft, loss, damage or injury relating to the artwork. Artists are advised to consider having their own public liability insurance as well (see note above).

STANDS

Stands are made up of two sections of 2m x 3.5m Heras Fences, see photos in ‘Gallery’ on website. The art show will run along the promenade starting from Felixstowe Leisure Centre towards the Spa Pavilion Gardens. Artists will need to supply hooks to attach their work to the fence. Artists are allowed to bring tables for their area (being mindful not to cause access and obstruction along the prom). Because of wind it is advisable not to put backing on the fencing. Fences can be further stabilized by filling bags with shingle and tying these with ropes to the back of the fences.

· The organisers are not able to accept individual requests regarding the stand locations.

·  The exhibitors are required to be present at their stand for the duration of the show. Any stand with a gazebo or awning must not protrude more than 6 ft across the Prom.

·  The work artists display should not take up more than 6 ft across the Prom.

· Displays must be cleared as soon as possible after the close of the event at 4.30pm.

· Car access along the prom will be available before the show from 8.30am – 9.30am and after the show at 4.30 pm – 5.30pm.

· Cars must drive with extra care and attention at no more than 5mph with their hazard lights on.

·  Parking during the day is available at the local Pay and Display car parks.

The application requires contact details of the artist, and information about and images of the art

Applications will be regarded as complete only when:

·  The on-line application form has been successfully completed and accepted by us

·  The payment form and payment is received

·  The number of the public liability insurance is received if applicable.

NO APPLICATION WILL BE CONSIDERED UNTIL THESE STEPS HAVE BEEN COMPLETED

The successful applicants will receive an automatic email confirming the place.

Nearer to the time of the event, applicants will receive further details regarding the day, including the stand number.

PRIVACY STATEMENT – due to changes in data protection please read the following:

I (the artist) understand the following:-

·  You (Art on the Prom) will hold the personal details I give you safely and securely and will not share them without my permission

·  You will use my data to administer the allocation of stalls at Art on the Prom and to contact me about Art on the Prom or related matters

·  I have the right to request to see what information you hold about me, to rectify it and to ask to be deleted from your records

·  Unless I request otherwise you will hold my data for up to 15 months from the time I give it to you so that you can contact me about the following year's Art on the Prom.

·  My details will be deleted after 15 months and I will need to give my consent again if I reapply to Art on the Prom"
