Job Title:Fundraising and Finance Officer

Job Purpose:The Fundraising and Finance Officer is responsible for supporting Peace Direct’s programme funding and finance functions, with 60% of time allocated to fundraising research and proposal writing and 40% of time allocated to financial administration.

Responsible to:Head of Finance and Administration and Head of Programme Funding (joint management)

Key Tasks

Fundraising responsibilities (60% - approx. 21 hours per week)

Fundraising research:

  • Conducting research into new funders for Peace Direct, including from US and Europe and including institutional funders using and other databases.
  • Taking the initiative to proactively explore new avenues for funding.
  • Participating in relevant networking meetings to learn from other fundraisers in the sector.

Proposal writing:

  • Prepare small applications to trusts and foundations, under the direction of the Head of Programme Funding

Donor reporting and administration:

  • Drafting high quality narrative reports to donors.
  • Accurately recording new leads, applications, reporting deadlines and other communication in Salesforce.
  • Providing any other support under the direction of the Head of Programme Funding

Finance Responsibilities (40% - approx. 14 hours per week)

Finance and Administration responsibilities (40% - approx. 14 hours per week)

Financial processing and recordkeeping:

  • Recording transactions on to Quickbooks, ensuring that all income and expenditure is posted to the correct unrestricted and restricted funds
  • Preparing all payments (international transfers, invoices etc)
  • Running periodic checks to ensure accuracy and completeness of data
  • Paying out petty cash and maintaining all records for petty cash
  • Preparing month end reports and carrying out reconciliations of all balance sheet accounts on a monthly basis.
  • Preparing draft management accounts
  • Support the continuous improvement of finance systems and procedures, under the direction of the Head of Finance and Administration
  • Preparing monthly salaries and ensuring that monthly salary data in submitted to HMRC
  • Work with International Programmes (IP) team to contribute to good flow of information between Finance and IP teams
  • Contribute to correct and efficient grant monitoring and reporting as required and by carrying out above duties
  • Providing any other support under the direction of the Head of Finance & Administration

Internal Relations:

  • Work very closely with PD staff to help deliver PDs strategy
  • Help ensure that the information from fundraising and finance is effectively and efficiently communicated to other staff who need it.
  • Perform any other tasks as directed by the Head of Programme Funding and the Head of Finance and Administration.

Organisational Learning:

  • Work with colleagues to promote organisational learning.
  • Participate in team learning activities, including thematic working groups

Communications:

  • Contribute to PD’s publications, social media output, publicity events and other events, where appropriate

Travel:

  • Occasional travel in the UK to represent PD externally

Environment:

  • The position is based at PDs office in London.

Working within the framework of the strategic plan, the post holder will take responsibility for his/her own work and for reaching targets set for him/her.

Person Specification

Essential:

  • Educated to degree level
  • Excellent research skills and a high standard of written English
  • A good working knowledge of Microsoft Word and Excel
  • Excellent team working skills, with a passion for peacebuilding
  • Accuracy and good attention to detail
  • Well organised, taking a systematic approach
  • Ability to set own work timetable, meeting organisational deadlines and keeping all finance systems up to date

Desirable:

  • Experience of using a small office accounting system, preferably Quickbooks
  • Experience of using CRM databases such as Salesforce or Raisers Edge.
  • Experience of initiating and processing banking transactions, including on-line and in foreign currencies
