Guidelines:

1-3 day long workshop requests

(This applies to ISWs, and day long Presentation Workshops)

General Information:

Please contact the CTLT TA Development Program Coordinator no later than 5-6 weeks before the workshop date and provide the information requested on the following pages.
If you do not have the information requested below, you will need to contact CTLT sooner that 6 weeks prior to the anticipated workshop date(s).

Cost:

●ISWs:

○One group ISW (5-6 participants) $2250
(Note: we do not recommend one group ISWs)

○Two group ISW (10-12 participants) $2600

○Three group ISW (15-18 participants) $3900

Note: The above costs include catering for three breakfasts and a lunch. If your department is taking care of the catering, the cost for the facilitation for one and two group ISWs would be $1900+$50 materials fee, and the cost for a three group ISW would be $2850+$50 materials fee.

●Day long presentations workshops:
$350 per each small group (of 5-6 participants) + $50 materials fee

Cancellations and changes to workshop:

CTLT facilitators start planning for 1-3 day long workshops at least 3-4 weeks before the workshop (depending on the length of the workshop). If the departments cancel the workshops, make changes to the number of groups, or change the date of the workshop within the three weeks prior to the workshop(s), CTLT still needs to pay facilitators for the prep time. Therefore, the departments will be invoiced for the prep time.

Guideline forInstructional Skills Workshop (ISW) request:

Note: If you want the workshop to take place at CTLT, contact us 6-8 weeks prior to the potential date(s) of the workshop to check for room availability, before you coordinate the items listed below.

Before contacting the CTLT TA Development Program Coordinator:

❏Date: Make sure You have the dates for the workshop. (Note: you may provide up to 4 potential dates to CTLT)

❏Participants: For a two group ISW, make sure you have 10-12 participants who have agreed (or will agree) to be present for the entire duration of the workshop - 8:00 am-5:00 pm on all three days. And have others on waitlist in case someone cancels.
The absolute minimum number of participants for a two group ISW is 10 and the maximum is 12.
Note: we recommend that you collect deposit money from those interested in attending the ISW to ensure their attendance. Participants will get their deposit money back on day 3 of the workshop. If they cancel within a week prior to the workshop, your department gets to keep the deposit money.

❏Attendance: Make sure the participants know that their presence for the entire duration of the workshop (all three days, 8:00-5:00) is mandatory.

❏Rooms: If you do not wish to have the ISW take place in CTLT offices, make sure you have rooms booked (8:00 am-5:00 pm for all three days).

❏Furniture (tables and chairs) in the rooms need to be movable.

❏For a group of 5 or 6 participants we need one room.

❏For a group of 10-12 participants we need two rooms in close proximity of each other. One should seat at least 14 people and the other should seat at least 7.

❏For a group of 15-18 participants we need three rooms in close proximity of each other. One should seat at least 20 people and the other two should seat at least 7.

❏Rooms should be equipped with a projector (there may be equipment available if a projector is not available, but this will need to be verified ahead of time).

(Note: you may provide the participant information later, but no later than 3-4 weeks before the date of the workshop)

❏Participants’ names (to appear on the ISW certificates)

❏Participants’ emails (for sharing pre-workshop resources)

❏Participants’ phone numbers (our facilitators need to talk to the participants on the phone before the workshop)

❏Participants’ student numbers (for transcript notations)

❏Location of workshop (building and rooms)

❏List of resources available in your department for each room (Projectors, laptops, wifi, flipchart, video recording devices)

❏Whether you need CTLT to help coordinate the catering for the workshop (for ISWs we recommend that you provide a light breakfast for the three days and lunch on the third day)

Guidelines for day long Presentation Workshop request:

Note: If you want the workshop to take place at CTLT, contact us 6-8 weeks prior to the potential date(s) of the workshop to check for room availability, before you coordinate the items listed below.

Before contacting the CTLT TA Development Program Coordinator to request for workshop facilitation:

❏Date: Make sure You have a date for the workshop. (Note: you may provide up to 4 potential dates to CTLT)

❏Participants: Make sure you have acceptable number of participants (one group: 5-6 participants. Two groups: 10-12 participants; Three groups: 15-18 participants) who have agreed to be there for the entire duration of the workshop (8:00 am-5:00 pm).
We highly recommend that you create a waitlist in case anyone cancels.
Notes:
1. The absolute minimum number of participants for each group is 5 and the maximum is 6.
2. You have the option to choose to offer a 1, 2 or 3 group workshop.
3. We recommend that you collect deposit money from those interested in attending the workshop to ensure their attendance. Participants will get their deposit money back on day 3 of the workshop. If they cancel or drop out, your department keeps the deposit money
