NOTE: Elementary schools MUST use Homeroom numbers for the section number of the courses on the Master Schedule.

NEW TRANSFER SCREEN

The student transfer screen (STU.301T) has been altered to facilitate collection of information for the Single Record Student Database (SRSD). Most of the programs operate as it did before.

Index the student by name as usual.

Place the appropriate transaction letter on the action line (this letter will vary depending on where the student is coming from or where the student is going). Use these codes for:

S School-to-School transfer From one active DPS school to another.

O Out-of-District Transfer To another school district or non-public school

L Loss from School Student left but not to another school (also

includes expulsion and immunization reason

codes

R Return/Re-enroll Return from 9999

The school-to-school transfer will operate as it always has - the student is transferred into your building. The only difference is that you don’t have to put the E3 code at the end of the line.

The return transaction also operates as it always has. You will not be able to return a regular education student who has passed his or her 20th birthday or who has been dropped as a graduate.

If you choose the out-of-district transfer option, you will see a second screen with the list of acceptable codes. Place an “X” next to the appropriate code and press <ENTER> to complete your transaction.

If you choose the loss from school option, you will again see a second screen with another set of codes appropriate to a dropout loss – as well as expulsion and immunization reason codes. Place an “X” next to the appropriate code and press <ENTER> to complete your transaction.

The codes for out-of- district transfer (“O”) and loss from school (“L”) are listed below.

At this point, the correct name of teacher and file number can be added. If the teacher is listed on your payroll, press Enter and then press F4. If the teacher’s name IS NOT listed on your payroll, press Enter and then press F7

In order to access the Restricted Scheduling Module you must type 89 and Enter, locate the Restricted Scheduling Module and type in the option number.

10 Week Course

1.  Set screen SCH.310.11 (Courses) as: Length of Course is

1 Term beginning in Term(s) 1 2 3 4

Length of Course is (1) term represents the number of

quarters or length of times the course will be offered.

Beginning in terms (1) indicates when grades would be

transcripted for the given marking period. In the definition

above, grades will be transcribed for each quarter (or term)

of the school year.

20 Week Course

1.  Set screen SCH.310.11 (Courses) as: Length of Course is 1

Term beginning in term(s) 1 _ 3 _

Length of Course is 2 terms represents the number of quarters or length of times the course will be offered. Beginning in terms 1 and 3 indicates the marking period when the semester

starts.

2.  On the Master Schedule screen (SCH.320.11), set terms as 1-2

for courses offered in the first semester and/or 3-4 for courses offered during the second semester.

All Year Courses

Set screen SCH.310.11 (Courses) as: Length of Courses is 4

Terms, beginning in terms(s) 1 _ _ _

Length of Course is 4 terms represents the number of quarters. In this case, there are four quarter (terms) which last the duration of the school year. Beginning in term 1 indicates the marking when the semester starts.

On the Master Schedule screen (SCH.320.11), set terms as 1-4.

Course credits value .002 for “ALL” elementary and middle school grades 3-8 and 5.00 for high schools. If a course is not included in GPA calculations, be prepared for calls from parents. Check ALL courses you are offering in your building for the correct CREDIT VALUE and LEVEL.

If your building has Block scheduling, contact PPM Field Support before adjusting your bell schedule.

Note: School above, A215 has Block Scheduling

This school does not have Block scheduling, but has enough hours in the day to accommodate a unique hour for each course offered in elementary school plus regular time schedule for high school.

Input bell schedule before building the Master Schedule. If you plan to use block scheduling in your building, consult your Field Support. Once your Master Schedule is completed, you cannot make changes in your bell schedule. Remember you can’t get credit for two classes that start in the same sequence.

Below is a Student Scheduling Worksheet. Fill in each section’s schedule to ensure that all periods are used each day and there are no conflicts with two classes meeting the same period on the same day.

Standard scheduling for elementary/middle schools

Block Scheduling

D

School need to enroll unassigned students into a homeroom (elementary/middle) before scheduling students into their courses.

Print homeroom/class lists periodically to assure all students are in the correct homeroom/class.

Distribute homeroom lists to teachers for adjustments before building foundation course for each homeroom group.

Enter ID numbers and “A” under “Opt”.

To delete a student, type “D” under “Opt”.

NOTE: A foundation course 1130 or 1240 MUST be built for every homeroom group in your building.

MASS CHANGE COURSE REQUEST

Each self-contained or platoon conference group will be assigned a unique section number. To facilitate this task, the three-digit homeroom number (we’re using 205 in this example) should be used for the section number.
