JOB DESCRIPTION
JOB PURPOSE
To provide administrative support to the Asset Planning Team and the Investment team. This will include updating & cleaning the information held on Yorkshire Housing’s Investment planning system and other related systems. This will help ensure that investment decisions can be made based on accurate and representative information.
RESPONSIBILITIES
- Undertake general clerical and office administration duties contributing to the smooth running of the investment team including scanning, photocopying, general filing and other related duties.
- Input property surveys from paper forms into a computerised database.
- Undertake simple data cleaning tasks on information from the database. This means checking data on excel spreadsheets, learning to compare the data from different places and correct the information. This is essential to make sure the data is up to date and accurate.
- Copy addresses accurately and sort data e.g. alphabetically when required for various reports.
- Provide a high quality customer focused service to internal and external customers. This means being able to talk in a friendly and polite manner on the phone to people who live in our houses, and also work well with other employees.
- Produce excel spreadsheets and reports using the various sources of information. This might include learning to format data and different ways of presenting it.
- Decision making which covers the interpretation of survey form, selection of appropriate attribute in Keystone, data validation and querying survey information, general administration duties and customer queries about work on their homes.
- Prompt and accurate updating of the property database and correct selection of appropriate description in the database to correspond with information on the survey form.
- Often working in Excel, contributing to the accuracy of the Group’s 16,000 stock records to ensure that the investment programme is delivered to the right homes at the right time.
- This is a key support role where a positive outlook, eye for detail and persistence will make a difference to the outcomes delivered by the Investment team.

Education/Qualifications
- Good standard of general education to GSCE Grade C/ Level 4 and above in Maths & English (if these grades haven’t been achieved, completion of these will be required as part of your apprenticeship)
Experience
- Not necessary as training given but previous work experience would be beneficial
Practical and Intellectual Skills
- Good communication and interpersonal skills
- Very good number skills
- Good IT skills – must be familiar with Excel and Microsoft Office Word applications
- Good attention to detail and accuracy in copying and sorting information
