Yes it’s that time of year again! The Camp will be held at Whitfield Farm, Ettington, Stratford from 1pm on Sunday 22ndJuly until after prize giving on Saturday July 28th. The cost will be £295 per member, including hay and bedding but no hard feed will be provided. Temporary stables will be allocated.

Members should arrive at Camp between 1pm and no later than 3pm on Saturday 22ndJuly when there will be a welcome talk by our D.C. Please arrive between these times and leave yourself enough time to settle in both yourself and your pony/horse. Please wear pony club attire ready to ride for 4pm. Parents are welcome to watch but must leave the site before 6pm.

All horses and ponies must be at least four years old and

be recently shod. We do have a farrier on call if required.

Stables will be limited this year and allocated on a 1st come basis.

Members should be dressed in a Pony Club sweatshirt in addition to their usual riding clothes. Beige jodhpurs must be worn and long hair should be tied back above collar line or secured in a hairnet. Earrings are not allowed under any circumstances whilst riding. All equipment (as listed) should be clearly named and each member will be responsible for their own and their pony’s belongings.

N.B. All members should bring a picnic supper on the Sunday night, as the kitchens will not be open until the following day.

If for any reason we have to cancel camp after you have paid your fee we will have to keep back £50per camper to cover the fixed costs that will have been incurred.

Night Patrol Parents – Due to Pony Club rules all Night Patrol Parents have got to be DBS checked.

It has always been a strict rule that no parents are allowed in the Stable Yard after the initial settling in period. This will be enforced by our stable manager. If for any reason you

wish to enter the yard, please consult Debbie Okines. A veterinary practice will be on call and will inspect any horse with a problem. Should you wish your own vet to treat your horse, please consult with the stable Manager or Debbie, the DC before making any arrangements.

Please apply in writing on the enclosed form by Friday6thJune, as numbers will be limited. Late entries will only be accepted if room at an extra cost of £15 per head. HEALTH & SAFETY

Saddlery: Please ensure that all your tack is safely stitched and that the saddle fits correctly. If in any doubt, check with a reputable saddler and take their advice. If a horse or pony develops a sore back whilst in Camp, they cannot be allowed to continue.

Skullcap: this must meet Pony Club standardsand must be tagged with the official pony club tag – please speak to Debbie or Susanif you need to have this done.

Worms: Please ensure your worming program is up to date and if they require worming this is done a week prior to camp.

Coughs: These are highly infectious. It is therefore important that no horse/pony suffering with a cough attends camp. Any horse/pony showing signs of a cough will be sent home immediately.

General Health: A horse/pony who has been in contact with another equine with any health problem must check with Debbiebefore coming to camp.

Vaccination:

All horses and ponies must have been given at least two primary injections within a period of 21-90 days and a 3rd dose between 150-215 days later. An annual booster not more than 365 days later is then required. These injections must be carried out by a recognized veterinary surgeon and the certificate signed by them. The certificate must be the passport style containing a full description and drawing of the horse/pony. No horse/pony will be admitted to the stable area if it has received an injection within the previous 10 days. All horses and ponies must therefore have received their necessary injections by at least the 12thJuly. If you have not begun a course of injections, it is essential that you do so immediately. Please ensure that all certificates are ready for inspection at the entrance to the stables, together with the relevant horse/pony.

WHILST EVERY CARE IS TAKEN, THE OFFICIALS OF THE PONY CLUB CANNOT BE HELD RESPONSIBLE FOR ANY LOSS, DAMAGE OR ACCIDENT, SUSTAINED BY EITHER MEMBERS OR THEIR PONIES WHILST AT CAMP

Dormitories have to be cleared by 1pm on Saturday 28thJuly and stables must be left clean and tidy. All riders will therefore have to return to their vehicles after they have ridden and leave their ponies there. Rides will then return to the stables to tidy up and be dismissed by the stable manager.

Organisers rely on everyone’s help so no one will be allowed to leave until formally dismissed.

Remember! Your horse/pony must be fit enough for the demands of Camp, as he/she will be ridden every day.

We depend on every parent doing their fair share to help with the running of the Camp,

Please sign for a minimum of 8 shifts, although you will only be asked to do a maximum of 6 of these duties per family (depending on numbers).

If for any reason you are unable to do your duties, please arrange for someone else to come in your place. Details of parents you may be able to swap with will be available in the mess room at camp.

Please would all parents bring in some homemade cakes and/or biscuits when they come to do their shifts or bring some in at the beginning of the week? The members really do appreciate them!

Do think about his feed regime before Camp begins – if necessary, change his feed gradually, as he will be stabled throughout the duration and fed hay as provided.

Don’t forget – application forms are to be returned with your help rota sheet and medical consent formby 6thJuly! You may assume your application has been accepted unless you hear otherwise. Nearer the time, you will receive a CampNewsletter setting out activities and guidelines for the week as well as details of parents’ duties – we look forward to seeing you all there!

Parents are welcome to watch the xc on Friday27thJuly and the Show Jumping on Saturday 28th July, visitors are most welcome. If you intend to come, please bring a picnic lunch. (Camp members will be provided with a lunch).

There is going to be a BBQ on the Friday evening, tickets are on sale during camp.

There will be aPrize Giving for the camp.

All children must wear their riding hats and hacking jackets. As soon as the stables and tents are cleared and tidied camp will end. Members must go with their instructor to be dismissed by the Stable Manager.

CAMP RULES

  1. NO-ONE may leave their dormitory after their bedtime. No excuses will be accepted if a member is caught outside without permission and will be sent home.
  2. Members may not leave the Camp area without permission from the DC even if they are with their parents.
  3. NO ALCOHOL of any sort may be brought into Camp.
  4. SMOKING IS ABSOLUTELY FORBIDDEN under any circumstances.
  5. No bicycles or motorbikes are allowed within Camp.
  6. ALL buildings are out of bounds other than those authorized for P.C. use and ALL STABLES/TACKROOMS ARE OUT OF BOUNDS OUTSIDE RIDING/STABLE DUTIES
  7. When riding, the chinstrap of your skullcap must always be fastened.
  8. All litter must be placed in the bags/bins provided.

9. No mobile phones allowed in camp if seen these will be confiscated.

10. The DC and her appointed agents will send home any member thought to be contravening what is constituted reasonable behaviour or not abiding by the above rules at any time of day or night.

11. Campers are not allowed to go near the Assistants’ Camp at any time - night or day.

12. All broken chairs, beds etc must be taken home and disposed ofplease do not leave them at camp.

Guidance for Parents:

Whilst we do not allow mobile phones to be brought into camp, the organisers understand that members may wish to contact their families by telephone and should this be necessary they will be given access to a phone to do this.

The site is situated off the A429 between Ettington and Wellesbourne and access will be signposted at the time BUT WILL NOT BE VIA THE MAIN FARM DRIVE. Thank you.
