Global Programmes Department

This is a newly structured department and brings together functions from across several existing departments. The purpose of this department is to develop a new approach to developing and delivering quality programmes that fulfil the WAGGGS strategy and which respond directly to the priorities of our Member Organizations. This means achieving radically greater reach and impact, embracing partnership within and outside the Movement, and has developing the core Girl Guiding/Girl Scouting experience and leadership capabilities as a “golden thread” in all activities.

Under the leadership of the Director, all teams will work towards delivering the agreed WAGGGS strategy, engage collaboratively with other teams including leading or being part of cross-organisational projects, supporting and providing expertise to our Member Organizations as needed.

The Events Management Team is a new function in the organisation and sits in the wider Global Programmes Department. The team will respond to the need for a more consistent and coordinated approach to delivering international events across the organisation.

What we are looking for

This role provides support to the Events Manager in the planning and delivery of events within WAGGGS, assisting with all the practical elements whilst working closely with partner organisations. This role includes providing administrative support for particular events, including preparation of documents, presentations and reports. You will take responsibility for identifying and resolving problems encountered during task delivery.

The successful applicant will have a strong background in event management and the capability to support international delegates, including travel and visa administration. You will have strong verbal and written communications skills and be able to use your initiative. French, Spanish or Arabic language skills would be desirable.

Job Purpose

Working in a complex environment, provide events support to the work of a variety of teams (e.g. Membership Committee leading on Regional Committees; Governance on World Conferences; and Programmes Managers leading on programme related events).

Job Context

Girl Guiding and Girl Scouting is the World's only movement for every and any girl. We are the organisation that keeps the Movement thriving, united and growing.

This role operates within the context of a volunteer led global charitable organisation with 146 Member Organisations.

Key Responsibilities

Support the Events Manager in the planning and delivery of events within WAGGGS, assisting with all practical elements (securing a country / venue, consistent processes for selecting and supporting participants, and arranging travel / visas etc.). This includes working with partner organisations.

Ensure effective communications between the host organisation and WAGGGS.

Co-ordinate logistic and hospitality arrangements with the host organisations.

Co-ordinate break-out sessions and side-events.

Maintain the events calendar.

Provide administrative support for particular events, including preparation of documents, presentations and reports.

Co-ordinate with our translations service as appropriate.

Work with hosts and WAGGGS Departments to ensure deadlines are adhered to.

Co-ordinate post event evaluations.

Take responsibility for identifying and resolving problems encountered during task delivery.

Essential / Desirable
Qualifications/ experience
Experience of Event Management.
Experience of supporting international delegates, including travel and visa administration.
Skills/ knowledge
Excellent communication skills written and verbal.
Excellent IT skills (in MS Office).
Personal qualities
Able to work on own initiative.
Able to demonstrate a commitment to and be a role model for WAGGGS’ organisational values of: Member Driven; Brave; Inclusive; Empowering; Transparent; Professional.
A passion and commitment for issues affecting girls and young women on a global level, and demonstrable ability to engage with girls and young women, either through a professional or personal background.

Frequent international travel
Occasional work outside regular office hours (including weekends) / Language skills, in particular French, Spanish or Arabic

What we offer you

Salary £25,168 per annum

Contract Term Permanent contract

Working Hours 35 hours per week.

Probationary Period 6 months.

Annual Leave 26 days per annum, plus statutory bank holidays.

Group Life Scheme Immediate membership of scheme which provides insurance cover of four times annual salary in the event of death in service.

Pension Group Stakeholder Pension Plan: Employer’s contribution of 8%, employee’s contribution of 5%. Employees will be eligible for employer’s contribution on successful completion of probation period

Season Ticket Loan Available at end of probation period.
