Working of Lead Entry Screen:

Lead is the entry level and the first stage for a sales process. Normally a sales lead is sent to collect shipments. The shipper and consignee information are provided to the agent to follow up on the shipments with the concerned customer and for converting same into business in our favor. This screen enables you to specify details pertaining to a lead which is sent to agents.

The following screen shots explain the various fields and tab pages available in Lead Entry screen:

1->Lead Entry:

The Lead entry section comprises of the Lead details as given below:

The Lead No is the system generated number once the lead is saved.

TheLead Date is the date when the lead is created.

The Lead Sender is the salesman who sends the lead to another colleague or agent.

The Lead Receiver is the colleague or agent who received the lead.

The To Email Id includes email ids to which the lead mail should be sent.

The Lead Source is through which the customer is contacted for the business.

The Lead Sent To is selected from the drop down menu:

  • If the lead is sent to the person in FSL then ‘Intra FSL’ option is selected.
  • If the lead is sent to the person other than FSL then ‘Agent’ option is selected.

Click the drop down to view the Lead Status.

  • Open – Lead created and sent to the agent
  • Secured –Once the lead is followed up by the lead receiver.
  • Dropped –If the lead is cancelled then the status is changed to ‘dropped’.
  • Pending to be Sent- The lead created and saved but not yet sent.

The Contact person name can be entered.

The CC Email Id includes email ids to which the lead mail to be copied.

2->Shipper Details:

In the shipper details, following fields should be entered.

Nameof the shipper

Address of the shipper

Country Code and Name

ContactPerson

Designation

Phone

Email

Website

3->Consignee details:

In the Consignee details, following fields should be entered.

Name of the Consignee

Address of the Consignee

Country Code and Name

Contact Person

Designation

Phone

Email

Website

Business:

The business tab page contains the details of the shipment. Refer Fig.1.

The type of shipment can be selected from the Product drop down menu.

Select the Frequency as monthly or weekly, etc from the LOV.

The Volume of the shipment can be entered.

The POR and FDC are entered.

Enter the terms of shipment in TOS.

Enter the Commodity.

Select the Controlled By from the drop down menu.

Enter the other details like Competitor, Currency, Unit and Rate.

Any description on the shipment can be entered in Note.

Followup:

The Followup details can be entered in the Followup tab page. Refer Fig.2.

The S.no is the system generated serial number.

The Create User and Action Date are displayed once the action is saved.

The Action Code can be selected from the LOV and the Action Title will be displayed.

The Lead Sender Followup Dateis entered by the lead sender on which the follow-up action needs to be performed.

Enter the Remarks for the followup.

The Lead Receiver Followup Dateis entered by the lead receiver on which the follow-up action will be performed.

Select the Completed ‘Yes’ or ‘No’ if the followup action is completed or not respectively. If the Completed field is selected as ‘Yes’ then the lead will no longer appear in the Lead Monitor screen.

Attachment:

Any document pertaining to the lead can be attached using the Attachment tab page. Refer Fig.3.

Following are the fields available in the tab page:

The S.no is the system generated serial number.

The Create User is name of the user who created the lead.

Enter the Description about the document.

Click the button to open the explorer window, select the required document from the system and upload the same.

The uploaded File Name will be displayed.

Click the button to download the attached document.

Right Click Reports:

The right click report available in this screen isLead Details – Clicking on this will preview or mail the report to the agent which will display the details of the lead.

Automail:

An automail will be triggered to the salesman and agent with the lead details once the ‘Lead Mail’option is clicked.

The lead mail with the shipper and consignee details is sent to the lead receiver.
