Working in Raiffeisen Business Online system

In order to ensure the opportunity to work in Raiffeisen Business Online system[1], it is necessary to get authorized in the system by following the link in the Web-browser[2] opened by the system.The authorization window is opened.
IMPORTANT!In order to ensure the operation of the electronic digital signature key (EDS key), it is necessary to install the plug-in, if the plug-in is not installed, the system will propose to you to install the plug-in, or the button for the downloading and installation will be added.
In order to log in, it is necessary to select your EDS key by pressing the button (Select) and selecting your key file in the opened window.Upon selecting the key file, it is necessary to enter the password to the EDS key and press the button (Log in).
IMPORTANT!When entering the password to the key, please, make sure that you enter the password using the same keyboard layout (keyboard language) as you used when creating the password.
Upon accessing the system, the main page of your organization containing the following data will be opened:
- Document types, to which the EDS key, with which you logged in to the system, has access;
- List of enterprise’s accounts connected to the system;
- Reference to FX exchange rates for the selected period;
- Name of the enterprise, to which the access is made and which is the reference to the item “My data”, is placed in the top right corner.
There is an opportunity to entitle each account (alias), it is necessary to press the button, write the account aliasin the displayed field and press the left mouse button outside the field to enter the data.
In order to review FX exchange rates, it is necessary to press the link (Exchange rates), the window containing FX exchange rates of the NBU is opened.It is necessary to select the period of FX exchange rates by filling in the field “The period from … to …”. Data can be entered using the keyboard or graphical calendar.In order to use the graphical calendar, it is necessary to press the icon and select the necessary date in the opened window.
Upon selecting the period, it is necessary to press the field in order to select the currency from the drop-down list.At the same time, there is an opportunity to select several currencies.When the currencies have already been selected, it is necessary to press the button (Receive).The list of FX exchange rates will be created for each date starting from the date of the selected period, excluding weekends and holidays when the FX exchange rate is unchanged.
For the purpose of quick transfer to the form for creating of the payment order, you can press the button .The window opens to create the payment order in the domestic currency if the UAH account is selected, or to create the payment order in the foreign currency if the FX account is selected.
In order to create any payment document, it is necessary to select the document type in the menu and press it.The window opens with the list of the existing documents, filter for selection of the period and toolbar with the possible actions.
In order to create a new document, for example, a payment order in the domestic currency, it is necessary to get to the menu item “UAH documents” “Payment order” and press the button (Create).Then the form opens for data input, in which the following fields must be filled in:
- Document number will be automatically put, but in case that your enterprise has its own numbering, it is possible to enter the necessary number;
- Document date – the current date is automatically set, but the date may be changed using the keyboard or graphical calendar;
- Value date – the field is optional, if it is unnecessary, please, leave it blank.
- Document amount – it is necessary to enter the amount of the payment order.
- If the payment order provides for the payment of VAT, it is necessary to press the button (Transfer the funds including VAT), then the information on the VAT payment will be added to the purpose of payment and the amount will be increaseed by the amount of VAT.
- The account, from which the funds will be debited, is selected from the drop-down list, the selected account will be marked.
- The name of the recipient is entered, if the recipient is added to the correspondent reference, you are able to select the recipient from the drop-down list or by starting entering the recipient’s name.Thus, other details of the recipient will be automatically filled in.If the recipient is not added to the correspondent reference, the recipient’s name is entered independently.
- EDRPOU code – it is necessary to enter EDRPOU code of the recipient, if it is not automatically entered.
- Recipient’s bank – it is necessary to enter MFO of the recipient’s bank, if it is not automatically entered.Upon entering MFO, the name of the recipient’s bank will be shown if the Bank is a participant of SEP, in other cases the system displays an error.
- Recipient’s account – to enter the recipient’s account opened with the selected Bank.
- Purpose of payment – payment description.
IMPORTANT!The field “Purpose of payment” may contain no more than 160 characters.
Upon filling in all necessary fields, it is necessary to press the button (Save) on the toolbar.The payment order will be saved and assigned with the status “New”.
In order to return to the list of documents, it is necessary to press the link (Return to the list).
In order to send the order for processing to the Bank, it is necessary to sign the order with all available signature groups, for which purpose it is necessary to press the button (Sign) on the toolbar.It is possible to sign certain payment documents or several documents together.For this purpose, it is necessary to mark all documents in the tab “Working” and press the button “Sign”
After the signing, the document is assigned with the status “In processing”.If the payment document is executed later, it will be assigned with the status “Executed” and transferred from the tab “Working” to the tab “Executed”.If the processing of the document is rejected, the document is assigned with the status “Rejected” with the specification of the reasons for such rejection and the document remains in the “Working” tab.
The documents created more than 3 months before the current date are transferred to the tab “Archived”.
The following actions may be taken with the documents:
(Create)– creating of a document, filling in of information.
(Save)– saving of the filled in document.
(Sign)– application of the personal electronic digital signature on the saved document, sending of the document for processing.
(Change)– in case of errors in the documents, it is possible to change the information in the document by pressing this button.
(Copy)– to make a copy of the existing document or copies of the marked documents.
(Printing)– to print the document or the marked documents.
(Delete)– to delete the document or marked documents prior to their processing.
(Import)– to import the document or the marked documents.
In order to obtain the account statement, it is necessary to select the menu item “Statement” in the menu and then the window with statements will be opened.
In order to obtain the statement, it is necessary:
- To select MFO, with which the account is opened, from the drop-down list by pressing the field .The selected MFO will be marked.
- To select the account or several accounts by pressing the field with the account number.It is possible to select one account, several accounts or all accounts opened with this MFO.
IMPORTANT!In order to speed up the search of the account/accounts, on which the statement must be obtained, it is necessary to start entering the account number or short name of foreign currency (for example, UAH for hryvnia) in the search field.In this case, only accounts corresponding to the entered information will be displayed in the list.
- To select the period for the creating of the statement by setting the start date and end date.It is possible to select the dates from the graphical calendar or by using the keyboard.
Upon entering all data, it is necessary to press the button (Receive).The account statement will be created with the specification of opening and closing balances, account turnovers.
If more than one account is selected, the operations on all selected accounts sorted by date/time of the operation will be shown in the statement.For convenience you can group the account statements by pressing (Group accounts).The statements on the selected accounts will be grouped with the specification of the balance of each account.
In order to search operations based upon the necessary criteria, it is possible to use the search filter.In order to display the list of filters, it is necessary to press .It is possible to filter the operations under the following criteria:
- Operation type – “Debit” or “Credit” or “All operations”;
- Amount – it is possible to specify the minimum, maximum amount or price corridor, in which operations must be searched;
- Purpose of payment – only operations with the specified purpose will be displayed;
- Correspondent – only the operations with the selected recipient will be displayed;
- EDRPOU code – only operations with the specified EDRPOU code of the recipient will be displayed;
- Account – only operations with the specified account of the recipient will be displayed.
It is possible to use the filter based upon one or several criteria.
In order to hide the filter or cancel the search conditions, it is necessary to press the button .
The work with the menu item “Turnover” is similar to the work with the menu item “Statements”.
The Web-banking system provides a capability of correspondence between the customer and the Bank.All unread letters will be marked by the medium type and the total number of letters will be displayed in the menu next to the document type: (Letters).
Incoming letters cannot be deleted, and you can view any letter sent by the Bank starting from the date of your registration.For this purpose, it is necessary to select the period by setting the period using the keyboard or graphical calendar, and press (Receive).
In order to view the content of the letter, it is necessary to press the row with the selected letter.If it is necessary to respond to the letter, press the button (Respond) on the toolbar.The form for creating of the letter with the filled-in subject of the letter will be opened; the letter will contain the text of the message, which you respond to, with the possibility to change it. So you can delete the information and write your own letter, or add something to the available information.If it is necessary to attach any file to the letter, press the link (Attach the file), the window will be open, in which it is necessary to select the file to be attached.
Upon filling in the letter, the following actions are the same as with all other documents.After the letter is saved, it will be displayed in the tab “Working”, and upon applying the signature using the EDS key, it will be transferred to the tab “Outgoing”.
There is an opportunity to create the letter by pressing the button (Create) when you are in the menu item “Letters”.
By pressing the name of the enterprise, the block “My data”, where it is possible to view the following information, will be displayed:
- Tab “My details” – details of your organization, in particular: EDRPOU code, name and address of the enterprise in the state and English languages, contact details of the enterprise entered during the registration.
- Tab “Keys” – list of enterprise’s keys with the specification of the effective period of the EDS key, signature group and key status.The button for remote change of the key is as follows (Remote change of the EDS key).
- Tab “Limits” – limits of the key, with which you access the system, are available.
IMPORTANT!If the image scale of the Internet browser is increased, the menu, tabs and buttons will be changed to icons.
