PULVERIZED WOOD CHIPS
(Wood Fiber-Not Bark)
The Pennsylvania Farm Show Complex & Expo Center is soliciting bids for approximately 2,450 cubic yards of Pulverized Wood Chips; wood fiber-not bark. The quantity may be more or less than stated.
Following information to be part of the Contract:
- Material to be delivered to the Farm Show Complex, to be used as bedding and then loaded and removed by vendor after use.
- Vendor must load material to be removed.
- Bid price must be on a cubic yard basis (including delivery to the Pennsylvania Farm Show Complex and Expo Center and removed from the Farm Show Complex and Expo Center on the following schedule:
ALL-AMERICAN DAIRY SHOW
- 150 yards delivered from September 12, 2017 but no later than 12 noon September 15, 2017.
- Removal of approximately 150 cubic yards shall be removed after 8 a.m. October 21, 2017 and no later than 12 noon October 24, 2017.
KILE
- 1,300 yards delivered from September 24, 2017 but no later than 12 noon September 28, 2017.
- Removal of approximately 1,300 cubic yards shall be removed after 8 a.m. October 2, 2017 and no later than 12 noon October 8, 2017.
ANNUAL FARM SHOW
- 1,000 cubic yards delivered beginning December 26, 2017 but no later than December 29, 2017.
- Removal of approximately 400 cubic yards will be required, because of livestock arrival and departure, between the hours of 8:00 p.m. Monday night, January 8, 2018 and 4:00a.m. Tuesday morning, January 9, 2018.
- Removal of approximately 400 cubic yards will be required, because of livestock arrival and departure, between the hours of 8:00 p.m. Tuesday night, January 9, 2018 and 4:00 a.m. Wednesday morning, January 10, 2018.
- The remaining bark, approximately 200 cubic yards shall be removed after 4:00 p.m. Monday, January 15, 2018 and no later than 4:00 p.m. Tuesday, January 16, 2018.
The bid for the contract shall include two prices. The first price will be the cost to deliver the materials. The second price will be the cost to remove materials.
Upon awarding the contract the Farm Show will have the option to request the vendor deliver material and then opt to not have the material removed by vendor.
The contract shall be in effect from September 1, 2017 or (until a fully executed contract is in place) to June 30, 2018.
At the conclusion of the aforementioned period and by mutual consent of both parties, the contract may be extended for three (3) additional renewal options upon the same terms and conditions as stated in the original contract.
Renewal contract periods shall begin and end on July 1 and June 30 repeatedly of the renewal option year.
The awarded contractor is obligated to contact the Farm show with a letter of intent at least 60 days prior to the expiration of the contract.
The contract extension years shall allow for a percentage increase. This increase shall not be more than three (3) percent per year and shall be negotiated by mutual agreement between both parties.
