Willow Grove Condominiums Board Meeting Minutes

June 5, 2015

The meeting was called to order by Chris Conradat 6:45 pm

In attendance

BJ Myers, Patterson Merkle; Chris Conrad, Jason Peterman, Christina McNutt, Dana Burtanger, Michele Croce arrived at 7:00 pm]

Approval of Minutes

The minutes were approved by Chris Conrad, and seconded my Christina McNutt for meeting dated April 9th, 2015 and all approved.

Board

Managers’ Report was presented by BJ Myers – Financials ODOT check was deposited into checking account for association. We will also get credit for sewer billing from water leaks. Review of foreclosures: 5227S,5190N, 5237N (Huntington Bank) and6706E/5215S properties.

All outstanding receivables will have property liens started as a rule (lien letter also to state pool priviledges are revoked until payment in full)

Reviewed Outstanding Action Items (the more items done that are noticeable the better:

  • Old Pool Furniture picked up/donated 6/4
  • Pool Painting and pool deck repair will be done in fall
  • Meter Packs process to begin, permits ordered
  • Hidden Creek is bidding on the following:
  • Irrigation, Planting behind North
  • Pruning will be done after growth
  • Removal of dead/marked trees and shrubs should be done ASAP
  • Replanting of trees in fall/shrubs done ASAP
  • Pool Access Quotes – received one (10,000), checking on another
  • Entrance Walls/Caps –Trying to get meeting
  • Painting – getting quotes -
  • Add to this Roofing and Paving (all on rotation basis)
  • Pool needed new hot water heater (280), pool leak and repair (not billed yet)
  • Chris made motion and Christina seconded getting curb boxes for water shutoff designated in the neighborhood.
  • Neighborhood Guidelines Manual – Returned from lawyer. BJ needs one more week to review. Then can be sent out via Postal Service

Results of Walk around outstanding items (timeline on resolution dependent on situation, nothing longer than 30 days):

  • Incorrect lighting – Owners responsibility, letters to be sent
  • Owner Landscape issues – Letters were sent
  • Other issues – Letters were sent
  • Association issues – Work orders created -
  • Regarding #66513, decks behind east...bids for redoing decks with trex or other material, checking on responsibility of upkeep after decks are redone.
  • Clean pool lamps, need changed to Clean Pool Street Lamps.

Add to list:

  • Gutters – Pine Needles/dirt clogging, need inspections
  • Sprinkler System – testing/check

Next Meeting

Quarterly Meeting July 23, 2015 at 6:30 pm Poolside – Invitation to Dublin Police for safety/neighborhood review.

Motion to adjourn was made at 7:55 pm by Chris and seconded by Dana and was passed unanimously.
