Meeting Minutes

October 22, 2013

Board Members Present: Sean Hogan, Mike Cloud, Ray Reilly, Kathy Grefsheim, Mark O’Brien, Eric Bolton, and Jessica Gardner (Absent: Diane Nelson and Lynn Fishman)

Homeowners Present: 6

Manager in Attendance: Debbie Nissen (Berkson & Sons Management)

Meeting was called to order at 7:00 pm and a quorum was established.

Meeting Minutes

Ray Reilly motioned to approve the September 16 meeting minutes. Kathy Grefsheim seconded. Motion passed.

Financials

Ray Reilly made a motion to approve the September financials with the stipulation that landscaping charges for The Pines building be moved to “Capital Improvements”. Mike Cloud seconded the motion. Motion passed.

New Business

Change of Meeting Date: Ray Reilly motioned to change the November meeting date to Tuesday, November 12, in order for the 2014 annual budget to be sent to the homeowners. The budget will be voted on at the December 16 meeting. Mike Cloud seconded the motion. Motion passed.

Removal of Skunks: Critter Control has placed traps to rid the property of skunks that have been seen and smelled on the grounds.

Landscaping: Mike Cloud made a motion to accept the bid from Alta Villa to add dwarf lilac trees in front of building 13000 to fill in the large spaces. Ray Reilly seconded. Mark O’Brien voted “no”. Jessica Gardner abstained. Motion passed by majority.

Hydrant Flushing: SimplexGrinnell will be flushing the hydrants on the property for yearly maintenance.

Increase of Rates to Rent Clubhouse: Raising the rates to rent the Clubhouse by $25 for both renters and homeowners was discussed. This is due to the Clubhouse not being properly cleaned and returned to its original state on several occasions. The Board tabled this issue until the next meeting

Homeowners Session

·  A homeowner presented pictures of the recent flooding in The Pines garage to the Board. Although the flooding was caused by excessive and heavy rainfall in a short amount of time, questions were raised about possible solutions (engineering study, providing a heavy-duty sump pump, contacting IDOT for remedying the wetlands water table, etc.). The Board is trying to remedy this problem.

·  Cracks and uneven paving of roadways…sealcoating has recently been done, but the Board will eventually need to repave the roads

·  Fenceline between AbbVie property and Heiden Gardens is pulling apart and bushes are extending out through the fence and need to be pruned. Berkson will contact the property owner.

Ray Reilly motioned to adjourn the meeting. Kathy Grefsheim seconded the motion. Motion passed. The meeting was adjourned at 7:35 pm.
