The following information is especially important to assure that the students receive the best experience possible:

For instructors who will be teaching Nursing Clinicals at HCMC:

  • Nursing Student Access Form:
  • Email the DHS background checks at least 4 weeks prior to your clinical start date to Rose at . These forms must be received by Rose prior to receiving EPIC sign-on and Peoplesoft numbers.
  • To obtain EPIC sign-on and Peoplesoft numbers, email the completed nursing student access request format least 4 weeks prior to your clinical start date to
  • Send one access form for each group of students. Do not put more than one group on the form. HCMC limits clinical groups to 8 students or less.
  • The Nursing Student Access Form is available on the TCCP website.
  • HCMC requires the complete email address of the student and/or instructor. This should be an email address that is checked often.
  • HCMC only requires the last 4 digits of the social security number for non-employees.
  • Nursing Student Access Forms not completed correctly will be returned, possibly delaying getting the needed information for your students and also the start date of your clinical.
  • Once the EPIC sign-on, generic password and PeopleSoft number have been assigned, Rose will email the access form to the academic contact.
  • The instructor is responsible for giving each student their EPIC sign-on, password and PeopleSoft number.
  • If any problems occur with the student signing in to EPIC, the student should contact the instructor and also HCMC IT. The student should call 612-873-7485 for password resetting. The student must know their EPIC sign-on and PeopleSoft #.
  • Mandatory Training and Orientation:
  • Once per academic year (September-August), all students and all instructors must complete the web-basedNursing Student and Clinical Instructor Orientation to HCMCbefore starting their clinical.
  • The training modules with an asterisk (*) next to them need to be completed on the HCMC campus. Student group instructors or academic contacts will need to contact Rose at to coordinate the reservation of a computer lab.
  • Orientation must be completed prior to the first day of clinical at HCMC.
  • Instructions for orientation are available on the TCCP website.
  • Academic institutions are responsible for collecting the Certificate of Completion from all students and instructors. HCMC will be completing audits to confirm compliance.
  • HCMC Confidentiality Form is included in the web-based orientation.
  • Badges:
  • Instructors need a HCMC photo ID badge. Please go to HCMC Parking and Security, located in our Red Building, lower level to obtain the photo ID.
  • Temporary students badges will be available for pick up by the instructor in the Nursing Administration offices, NAS O3-330, (Orange Building, third floor, room 330). The background checks must be received before badges can be released.
  • At the completion of the clinical, all badges must be returned to Rose in Nursing Administration, NAS O3-330.
  • Unit Orientation:
  • Every instructor MUST arrange for orientation with the Clinical Care Supervisor (CSS) of the unit where they are bringing their clinical group at least two weeks in advance of the clinical start date.
  • Please complete the HCMC Safety Checklist with the CSS at orientation and return to Rose in Nursing Administration, NAS O3.330.
  • The HCMC Safety Checklist is available on the TCCP website. Please print and bring to your orientation.
  • The CCS contact information is available on the TCCP website.
  • Do not contact the nurse manager.
  • Pre and post clinical meetings must be done in the unit conference room and cannot be done in public areas.

Preceptorships/Leadership

  • The instructor/academic contact is expected to complete the nursing student access form as detailed above.
  • The Nursing Student Access Form must be submitted to Rose at least 30 days prior to the preceptorship/leadership start date.
  • The HCMC preceptor name, phone number and/or email will be emailed to the instructor/academic contact for each student.
  • Once per academic year (September-August), all students and all instructors must complete the web-based Nursing Student and Clinical Instructor Orientation to HCMC before starting their clinical.
  • The training modules with an asterisk (*) next to them need to be completed on the HCMC campus. Preceptorship students will need to complete this training in the HCMC library. Instructions are available on the TCCP website.
  • The unit preceptor will receive the temporary student badge. Students doing their preceptorship in the Emergency Department and OB will need to get a photo ID taken on the first day at HCMC.
