JOB TITLE: Medical Staff Services Office Assistant

DEPARTMENT: Medical Staff Services

REPORTS TO: Medical Staff Services Coordinator

JOB SUMMARY: The Office Assistant willbe responsible for assisting the Medical Staff Services Coordinator in the credentialing of Medical Staff initial, reappointment and locum tenens applications.

CULTURE/RELIGIOUS ASPECTS: Employee will care for patients of all cultural and religious backgrounds. In view of the seasonal influx of people from all over the world, be prepared to care for patients of diverse cultural and/or religious backgrounds.

ETHICS AND COMPLIANCE: Employee performs within the prescribed limits of the hospitals/departments Ethics and Compliance Program. Is responsible to detect, observe and report compliance variances to their immediate supervisor, or upward through the chain of command, the Compliance officer or hospital hotline.

ESSENTIAL FUNCTIONS:

Assists Medical Staff Coordinator in the following:

  1. New Applicants & Locum Tenens: Assists potential medical staff members with completion of the Medical Staff Application-prompting the applicant for additional or missing information as required.Receive and record initial credentialing information for providers/practitioners in a timely fashion.Ensures that all new applications are complete, and verifies that the information provided is valid. Notifies the Medical Staff Coordinator of any packet that is not complete.
  1. Reappointments: Prompts medical staff members for submission of the reappointment information (providing ample time for response prior to the date that his/her privileges are due to expire).Receives and records reappointment credentialing information for providers/practitioners in a timely fashionEnsures that all reappointment applications are complete, and verifies that the information provided is valid.
  1. Credential Files: Assists in maintaining individual expirable information, i.e. licensure, medical malpractice insurance, DEA, ACLS, etc.
  1. Back up to Medical Staff Coordinator, if necessary,Medical Staff Committee Meetings: Schedules Medical Staff meetings, prepares and distributes the meeting calendars and agendas, prepares packets to include agenda, minutes from the previous meeting, and any other applicable materials according to the requirements of that committee), attends meetings, assumes responsibilities of obtaining approval of, recording and transcribing accurate minutes, organizes and maintains accurate records of meetings.
  1. Become familiar with and comply with all federal and state rules and regulations regarding confidentiality and credentialing processes.
  1. May be requested to perform other duties and responsibilities for which the individual is qualified.

EDUCATION: High school diploma.

EXPERIENCE: Must have a good working knowledge of business office functions. Must have good spelling skills, good grammar, and good writing skills as well as typing skills. Must have experience with computers, relevant software, and word processors.

SKILLS: Must have excellent communication skills, both verbal and written; excellent listening skills. Must be well-organized and able to plan work well, managing time efficiently. Must be tactful and diplomatic; able to cope with last minute changes and stressful situations. Must maintain confidentiality at all times. Must be acutely accurate when carrying out all tasks.

WORKING CONDITIONS: Works in a clean, well lit, heated and air conditioned office. Work requires sitting for extended periods of time. Regular work hours need to be flexible and dependent upon the week’s schedule.

PHYSICAL DEMANDS: Standing, sitting, walking. Lifting up to 50 pounds. Some driving may be required. May need to deal with crisis situations.
