2. Organisation and administration

‘Residences in Flanders’ is an initiative by the literary association Het beschrijf.

The team at Het beschrijf is responsible for day-to-day coordination. If you have any questions or problems do not hesitate to contact us. Please contact the staff of Het beschrijf first, and make as few requests as possible to the hostess and staff at Villa Hellebosch.

3. Personal and public transport

-Car

Residents have a car at their disposal.

Please arrange between yourselves who will be using the car at any particular moment.

After use, please refill the petrol tank and return the keys to the place intended for them.

Petrol is at your own expense.

Residents have two bicycles at their disposal.

4. Office and Communication

-Telephone and fax

A telephone and fax is at your disposal in the villa, to be used at your own expense. We will ask you to pay the bill at the end of your stay.

A portable computer is at your disposal in your private room, as well as an internet connection and a printer.

-Photocopier

A photocopier is at the residents’ disposal.

There is a television in the common dining and living room.

-Newspaper

The French-language Belgian newspaper Le Soir is at your disposal, as well as the Brussels weekly ‘Brussel deze week’.

NB: A choice of Belgian and international newspapers and literary reviews is at your disposal in the book shop/reading corner at Passa Porta in Brussels.

6. Life in Villa Hellebosch

House Rules

1.The building has the following rooms at the residents’ disposal:

- 2 ground-floor flats in the right wing, each comprising a bedroom, workroom and bathroom with toilet

- 2 rooms on the first floor with a shared bathroom and toilet

A shared kitchen, dining cum living room with television, a terrace and a garden are also at the residents’ disposal.

The residents are not admitted to the owner’s private rooms at any time or under any circumstances.

2. It is not permitted to allow entry to other people or to let them stay in the rooms at the residents’ disposal, unless – in exceptional cases - the organisation has given its approval. In that case, a financial intervention will be necessary.

3.This is a non-smoking building throughout. In addition, the residents are not permitted to bring onto the domain or use any dangerous or illegal products or substances.

All rooms and equipment must be left in good order. All technical faults and any damage must be reported immediately.

4.Pets are not allowed.

5.The residents will at all times respect the peace and quiet of the house and its occupants.

6. Please switch of the lights when they are not necessary.

7. It is not allowed to use the open fire in the bedrooms.

Other practical information
Meals

- Breakfast and lunch: basic ingredients are available in the residents’ kitchen.

- The evening meal is served in the dining room at 7 pm on Monday, Tuesday, Wednesday and Thursday.

If you do not wish to have the evening meal, please inform the housekeeper before 11 am.

- No evening meals are prepared on Friday, Saturday, Sunday and festive days. The basic ingredients for the residents to prepare meals themselves will be available.

- If you need any other ingredients or products apart from what is available, you can go to shops and supermarkets in the neighbourhood.

Cleaning

The residents’ private rooms will be cleaned once a fortnight. The sheets will also be changed at the same time.

Laundry

It is possible to arrange with Anne the housekeeper for your personal wash to be done. This wash can be requested every fortnight when the rooms are cleaned. An extra charge is made for this service, which is to be paid to Alexandra, your hostess.

7. Arrangements with Het beschrijf

  1. The resident will have taken out travel and general insurance at their own expense. The organisation is not liable for costs incurred as a result of illness or accident.
  1. The resident is liable for material damage to the house and furnishings.
  1. The expense allowance of 150 EUR per week will be paid in cash at the start of each two-week period.
  1. At your arrival in Belgium, Het beschrijf will take care about your transport to the villa. Your return to the station or the airport will be organised and paid by the resident.
  1. It is possible that the resident will be invited to participate in one public event organised by Het beschrijf in the Passa Porta house of literature.
  1. Het beschrijf expects from each resident a text of 1300 words giving their impressions of Flanders, Brussels and Belgium and of their own town or country of origin. The principle is: ‘What would you like to tell the Flemish public about your own area and the area where you are a guest?’ This piece may be written in the resident’s own language. However, we would appreciate it if the resident is able to write it in Dutch, French or English.

This text will be published on the website and in a book of residents’ impressions that will be compiled in the not too distant future.
