Periodicals on microfilm

We receive microfilm shipments approximately every six months

When we receive a shipment, check the packing slip (see p.11) to ensure that the

dates and volume designations match those on the microfilm box and microfilm

reel. If they match, place a check next to the title on the packing slip

As you are checking the dates and volume designations, write on the packing slip

the month and day of the last issue that is on each reel

Stamp each box with a “Do not remove from Library” stamp

Tally the statistics on the weekly statistics worksheet (see p.47)

Check the volumes in on Voyager

Modify the holdings in Voyager

Place the microfilm reels on the “to be shelved” cart in the microfilm area

Using the packing slip as a guide, pull from the shelves all the print versions of the microfilm issues that you just received. Place a check next to each title on the packing slip after the print issues of that title are pulled

Give pulled issues that are government documents to the Government Documents assistant

Show pulled issues that are not government documents to the Acquisitions assistant to see if she wants to give them to the campus gym. If they are not going to the gym, tear off the front covers and throw them in the recycling trashcan

Newspapers on microfilm

Newspapers on microfilm often arrive out of sequence (ex.: We may receive the Atlanta Journal-Constitution January 16-January 23, 2002 reel before the Atlanta Journal-Constitution December 12-December 19, 2001 reel). When this happens, do not check-in or stamp the out of sequence reel and do not pull the print issues for that reel. Hold the reel until the previous reel arrives.

If correct sequences have arrived:

Check the dates on each microfilm box to ensure that they match the dates

on the reel

Stamp the box with a “Do not remove from Library” stamp

Perform check-in on Voyager

Modify the holdings in Voyager

Write down the list of dates from the boxes

Place the microfilm reels in the “to be shelved” box in the microfilm area

Use the list of dates from the boxes to pull the print versions of the issues

on microfilm

All Columbus newspapers that are pulled go to Archives; call the Archivist

and inform him that you have pulled some Columbus newspapers; someone from Archives will come get them

When you pull the New York Times, pull the New York Review of Books as well and give to the Library Director

Remove any empty newspaper hanging folders from the Newspaper Rack area and place them in the Cataloging/Periodicals Department cabinets. Hang a new folder with new dates to replace it
