Thank you for helping out at the Midlakes Championship meets! Whether you have done this job before, or it is your first time, please take a few minutes to review the following information.
We are selling 2 different shirt styles this year:
· $20.oo T-shirts in youth and adult sizes
· $40.oo - Sweatshirts in youth and adult sizes
*Sales tax is already included
You, the host club will retain 40% of the net profit for everything that you sell. See the calculation sheet.
Payments – Have a cashbox available to safely store the day’s sales. Be sure to plan ahead and make arrangements with your bookkeeper or treasurer to have one on hand. If you accept checks on the day of the meet, they must be made payable to your club. Host clubs will deposit the checks and cut one check (made payable to Midlakes Swim League) to turn-in with the unsold shirts. If any checks are returned, Midlakes will not be responsible for recovery of funds or related bank fees.
Inventory - The merchandise represents a significant investment made by the league. The hosts clubs are responsible for the value of the entire inventory that was released, INCLUDING any shirts that are not accounted for at the end of the day. A copy of your contract, including an accurate count of your inventory has been attached for your reference.
End of the meet, please do the following:
1. Repack the unsold shirts.
2. Use the attached Calculation Sheet, to take inventory of your unsold merchandise and calculate your Balance Due.
3. Either you or your team representative will need to submit your deposit in to your treasurer or club bookkeeper.
4. Obtain a check from them for Midlakes Swim League for your sales of the day.
5. Turn-in your profits and unsold shirts at your assigned time and place.
VERY IMPORTANT!!! Do not leave your merchandise unattended. Nor, at the end of the day should you leave the leftover merchandise or the $$$ unsecured. If you are not the representative who will be making the turn-in, make sure that you hand everything off to the appropriate club/team representative.
Turn-Ins: Unsold shirts and the check for your sales must be returned/turned in by your assigned deadline. For B Champ venues, your shirts and funds should be turned in at Norwood Swim Club on Monday the 18th between 10:00 AM – 11:00 AM (for Prelim & A Champ meets a return time/place will be arranged when shirts are to be returned). Those unsold shirts will be redistributed for the A meets. If you do not have the extra shirts back by the deadline the league loses the opportunity to sell them. Therefore, your club will be responsible for the value of those missing shirts.
