Background

Beanstalk is a dynamic and expanding national children’s charity that recruits, trains and supports volunteers (reading helpers) to work in primary schools with children who have fallen behind with their reading.

Beanstalk reading helpers work with children on a one-to-one basis, giving them their full attention and support to increase overall confidence, improve reading levels, and inspire a lifelong love of reading.

Nationally Beanstalk currently supports 6,600 children, via 2,200 reading helpers, and has recently agreed a partnership with Save the Children UK to rapidly grow the Beanstalk service throughout the UK and support an additional 30,000 children over the next 5 years.

Main purpose and objectives of the job

The Regional Administrator will provide day to day support to the Regional Director, the Area mangers and their teams. This will include:

  • Responsibility for the overall administration of the region.
  • Supporting the smooth running of the region.
  • Receiving applications from prospective reading helpers, checking against Beanstalk’s eligibility criteria, and arranging interviews for applicants with Recruitment and Training Officers.
  • Receiving and dealing with telephone enquiries and facilitating good communications in the region.
  • Supporting the Regional Director and Area managers in organizing promotional events, and communications with local media.
  • Supporting Area managers in dealing with the financial administration and procedures in respect of schools income.
  • Input of data relating to reading helper and schools onto Beanstalk’s operational database (OSCAR,) and obtaining from OSCAR management information to support the Regional Director in successfully running the region.

Key Tasks and Responsibilities

  • Process application packs and arrange interviews in liaison with the Recruitment and Training officers.
  • Deal with the day to day regional post, and open and direct as appropriate
  • Organize the circulation of Newsletters and generic communications (as agreed with the Regional Director/Area Managers) to reading helpers and schools.
  • Produce letters, notices, reports, and minutes of meetings as required.
  • Receive telephone enquiries from prospective volunteers and schools/organizations and mailings to current reading helpers and deal with these in a professional way.
  • Ensure records of volunteers, schools and funders, and files, are kept up to date and maintained appropriately in accordance with Beanstalk data protection principles. This applies to both the management of paper held information and the Beanstalk database
  • Prepare and send out information regarding meetings, training sessions and committee meetings.
  • Act as secretary at all committee meetings and produce and circulate the minutes.
  • Arrange venues and book rooms for all meetings and training sessions. Liaise with Central Office staff on the distribution of children’s books and games to the areas.
  • Undertake administration tasksand procedures in respect of schools income and maintain financial records in liaison with the national Finance Team.
  • Collate monitoring and evaluation information and compile reports for the Regional Director and Area mangers and facilitate reporting on regional operations and performance.
  • Identify and provide potential contacts to support Beanstalk (financial, gifts in kind, publicity, additional volunteers, and partnerships).
  • Carry out any other duties that may arise in the day to day running of the region and areas.
