CONTEXT:

The Office of the Pro Vice-Chancellor (Students) leads the development of an integrated student lifecycle management strategy. Playing a leading role in developing a positive student experience, the Office of the Pro Vice-Chancellor (Students) integrates the functions of student recruitment and engagement, student administration, student services, campus safety and security and residential services to deliver an environment where UWS students can achieve and fulfil their aspirations.

The Academic Registrar’s Office (ARO) is part of the Office of the Pro Vice-Chancellor- Students and is responsible for the effective and efficient management of all student and academic administration matters and relevant support systems. Student Administration provides services and support to the University’s internal and external clients through work teams deployed across the University in the areas of:

  • Student Administration – Services

including Courses and Timetabling services; Assessment and Graduation services; Student Enquiry & Information Services

  • Student Administration – Operations

including Admissions, Enrolments, Fees & Student Finance and Postgraduate Research Student Administration;

  • Student Systems
  • Communications

The Assessment and Graduation – area is responsible for the maintenance and management of all assessment, progression and graduation related functions for the University; the provision of exam timetabling function for all staff and students; logistical management of all associated exam processes; results processing; management of progression processes; graduation processes of the University.

PURPOSE/MAJOR RESPONSIBILITIES:

The Exam Centre Officer - Float (ECOF), as a member of the Exam Centre Team, is responsible for assisting with the coordination and running of examinations on the designated Campus as directed by the Exam Centre Team Leader (ECTL) and Assessment Team in accordance with UWS examination policies and procedures.

The role requires leadership and organisation skills in order to direct and support Supervisors In Charge (SIC) and Assistant Supervisors (AS). The role involves assisting with the organisation of exam centre activities, ensuring the smooth functioning of exams across the campus, and stepping in for Exam Supervisors as required under the direction of the Exam Centre Team Leader. Management of supervisors and liaison with stakeholders such as academics and school administration is required.

The ECOF must always act in a professional and courteous manner and provide hands-on training to Exam Supervisors when required. All ECOF’s should be experienced and up-to-date with exam supervision, invigilation and maintain a thorough understanding of the current UWS exam supervisor manual and exam policies and procedures.

REPORTING RELATIONSHIPS:

The ECOF reports directly to the Exam Centre Team Leader (ECTL) on the campus they are assigned to. The ECTL reports directly to the Assessment and Graduation Manager. The ECTL will give direction, hands-on training and support in all exam centre and supervision matters as required. The ECOF will undertake duties as directed by the ECTL and Assessment and Graduation Manager or delegate.

SCOPE:

Responsible for:

  • Assisting with management of exam processes throughout the scheduled exam periods.
  • Managing any exams at short notice, for example where SICs and ASs are late or unavailable.
  • Assisting with organising exam venues, briefing SICs and ASs on their duties and setting out exam papers prior to the start of the exam, as required.
  • Assisting supervisors at large exam venues, for example helping to manage the efficient entry of students into the venue.
  • Monitoring of exam conditions across the campus, ensuring exams are conducted in a quiet and orderly environment.
  • Assisting with managing incidents and issues at exams, as required.
  • Ensuring that exam regulations and policies are adhered to at all times.

A successful ECOF will be able to work under pressure and unsupervised; be reliable, punctual, trustworthy and have good attention to detail; work as part of a team; understand and adhere to policies and procedures; have a professional demeanour able to remain calm and show leadership when dealing with stressful or unexpected situations.

KEY FUNCTIONS/RESPONSIBILITIES/DUTIES:

  1. Complete Online training sessions prior to commencing duties.
  1. Follow UWS procedures, policies and directions as given by the ECTL and Assessment Team.
  1. Manage any exams where SICs or ASs are late or unavailable.
  1. Assist in the set-up of exam rooms, particularly in the management of large exam venues.
  1. Monitor exam conditions across the campus, ensuring exams are conducted in a quiet and orderly environment
  1. Assisting in managing incidents at exam venues, working with exam supervisors, supporting affected students and liaising with key stakeholders to resolve issues in a timely and professional manner.
  1. Report all incidents to the ECTL and Assessment Team, including student misconduct and supervisor issues.
  1. Provide feedback to the ECTL or Assessment Team on the performance of all supervisors dealing with issues in a prompt professional manner
  1. Make suggestions to the ECTL or Assessment Team for improvements to the exam process.
  1. Maintain a professional attitude at all times.

SELECTION CRITERIA:

  1. Demonstrated organisational skills and the ability to work in a high volume client services environment and meet deadlines by organising, monitoring and collaboration with others.
  1. Demonstrated proficiency in computer literacy and experience in standard computer desktop software.
  1. Demonstrated capacity to understand and implement policies and procedures.
  1. Demonstrated proficiency in interpersonal communication skills, including the ability to liaise with students, academics and support staff.
  1. Demonstrated ability to work independently and as part of a team remaining customer focused and able to provide support to other staff.
  1. Understanding and practice of the principles of anti-discrimination, staff and student equity and workplace health and safety.
