How to download data from NATIONAL Trauma Registry of the American College of Surgeons for inclusion in the National Trauma Data Bank (NTDBä)

Purpose

This document provides instructions to download data for inclusion in NATIONAL TRAUMA DATA BANK.

Loading Patient Cases onto Diskette

If you are using NATIONAL TRACS Version 2.5X, please follow the “Downloading data in NATIONAL TRACSâ Version 2.5X” instructions. Otherwise, please follow the “Downloading data in NATIONAL TRACSâ Version 3.X” instructions.

Downloading data in NATIONAL TRACSâ Version 2.5X

All patient cases that have a value of “Y” for the "Ready To Send?" data point, on the Hospital Outcome screen, will be loaded to a diskette with the following instructions.

Step 1. From the main menu of NATIONAL TRACS® choose the menu item Utilities and select Send data to....

Step 2. Select Names of Download Scenarios from this sub-menu. Scenario Names screen will appear on your screen as shown below in figure 1.

Check on the “Reset the Download Flags” of the “Scenario #1 ACS (Default) - (Item # 1)” as shown above in figure 1 and click on [ O.K. ] button.

Step 3. From the main menu of NATIONAL TRACS® choose the menu item Utilities and select Send data to....

Step 4. Select Diskette Transfer from this sub-menu.

Step 5. Select scenario #1-ACS and click on the [ O.K. ] button. Follow the instructions displayed on the screen, beginning with inserting a diskette into your floppy drive and then pressing any key to continue.

Step 6. After the patient cases are loaded onto the diskette the following question will be displayed, Do you want to mark the records as downloaded?

Step 7. If the loading of the patient cases to the diskette completed without any apparent problems choose Y and the patient cases will be marked as downloaded. If any problems are suspected, choose N so the patient cases are still eligible to be loaded to a diskette. When a patient case is modified it will be marked as eligible to be loaded the next time.

Step 8. Press any key to clear the screen and return to the main menu.

Step 9. Remove the diskette and label it sequentially. For example:

Disk1, Disk 2 and so on.

You will find file named RGNLBKUP30.ZIP in the disk(s) and you need to upload this file(s) into our web site sequentially.

Step 10. Upload the data to our web site.

Open your web browser and change the URL to https://www.ntdbdatacenter.com/NTDB_Layout.cfm?Page=login.cfm.

Follow the instruction on your screen.

Downloading data in NATIONAL TRACSâ Version 3.X

Step 1. From the main menu of NATIONAL TRACSÒ choose the menu item Utilities and select Send data to …

Step 2. Select Diskette Transfer from this sub-menu. “Which scenario to use” screen will appear on your screen as shown below in Figure 1.

Check on the “Scenario #1 ACS” (Item # 1) as shown above in Figure 1 and click on [ OK ] button. The “Send Data To …” screen will appear on your screen as shown below in Figure 2.

Step 3. If you participated in NTDB data call for year 2003 and you wish to submit your patient records for year 2003 only then type “01/01/2003” in starting date (Item # 1, Figure 2) and type “12/31/2003” in ending date data point (Item # 2, Figure 2). If you did not participate in year 2002 data call and wish to submit year 2002 up to year 2003 then type “01/01/2002” in starting date (Item # 1, Figure 2) and type “12/31/2003” in ending date data point (Item # 2, Figure 2).

Step 4. Click on the [ Add to Filter ] button, and the following screen will appear as below in Figure 3.

Step 5. Click on the [ Next ] button (Item #1, Figure 3) and “File Transfer” window will appear on your screen as shown below Figure 4.

Step 6. Click on the [ Select Drive] button.

Step 7. Change the destination of the data file to the root directory of C: drive by clicking on the drive drop-down button (Figure 5, Item # 1) and select “C:”. Double click on [C: folder] ( Figure5, item #2) and then click on the [ Select ] button (Figure 5, Item #3).

Step 8. Click on the [ OK ] button and follow instruction on your screen.

Step 9. After completing the step-by-step download procedures above, you will find a new file named RGNLBK30.ZIP in your C: drive. You need to upload this file to our web site.

Step 10. Upload the data to our web site.

Open your web browser and change the URL to https://www.ntdbdatacenter.com/NTDB_Layout.cfm?Page=login.cfm
