User Groups Functional Rights Descriptions

This document describes the rights that have been assigned to each user group within Infinite Campus. The user groups were assigned rights that align to the day-to-day roles and responsibilities of staff members, as it relates to student information and the respective data entry/reference. Based on the user’s need to perform multiple student information tasks a user may be assigned to multiple user groups. A user that is assigned to multiple groups will receive the additional functionality of each user group to which they are added without losing any of the previously assigned rights or access to student information.

Access to student information for any school site or all schools in any user group within Infinite Campus will be determined by a user’s work location.

·  If a user is assigned to a specific school, the access to students is limited to the students enrolled at that school site.

·  District assignments that have multiple school assignments, or District office level assignments, will allow access to all of the schools to which the user is assigned or to “All Schools” if the User’s job role services each school site in the District.

USER GROUP DESCRIPTIONS

READ-ONLY:
These user groups allow a user to log into Infinite Campus and access critical student information that is needed for their respective job role. Read-only does not permit the user to make any additions, modifications or deletions; rather, it allows a user to access general information for planning and reference. Users in this group will be able to view high-level student demographic data, schedules, grades, assessments, transportation, fees, lockers, and graduation information. Users in this group will also be able to generate reports from a selection of pre-designed reports within Infinite Campus, relevant to the aforementioned student information areas.
SCHOOL READ-ONLY – (ex.) Attendance Officer, Clerk Typist, School Aide, Campus Monitor, etc.
CENTRAL OFFICE – (ex.) Department/Division, Directors, Central office Support Staff, etc.
DISTRICT – (ex.) Superintendent Level, Associate Superintendent, etc.

PRINCIPAL:
This user group will have more extensive read-only rights that will allow for viewing of state reporting data elements (homeless, migrant, etc.), enrollments (and history), attendance detail, flags (medical, contact, state reporting), census, behavior (discipline), all other areas of detail pertaining to students, and walk-in scheduling. The Principal user group will be able to read, write, add and delete information in the following areas: Student Information reports, Behavior reports, and Building Communications. Principals will also be able to read, write and add Grading and Standards reports for reviewing all level of detail surrounding grades (terms, term GPA, course credit, etc.).

ASSISTANT PRINCIPAL:
The Assistant Principal group will have all of the read rights that the Principal user group has, with additional full access rights to the Attendance and Behavior modules, walk-in scheduling, and Building Communications This user group will have the ability to enroll students, as needed.

DEAN:
The Dean user group will have read-only access to general Student Information and will have full access to the Behavior module. This access allows the user the ability to read, write, and add referrals and incidents, and generate reports. This user group will serve as the Behavior Administrator for their respective school site. This user group will also have full access to attendance, attendance letters and all related reports except the Attendance Wizard.

COUNSELOR:
The Counselor user group allows the user the ability to see all student related data. This group also has rights to read, write and add schedules, and generate related reports. This user group will also have full access to the Counseling Module for academic planning/tracking (MYAP) and walk-in scheduling, Behavior, Grades, Transcript, and access to Page 5. The Counselor user group will have rights to schedule groups, request wizard, roster copy, fill counselor, adding course requests, as well as other rights associated with master scheduler, except the Scheduling Wizard.

PSYCHOLOGIST:
This user group will have limited access to view student data pertaining to general demographic data schedules, behavior, the Special Education Nevada Plan, and access to Page 5.

NURSE:
This user group will have limited access to view student data pertaining to general demographic data and attendance. The Health User group will have full access to the Health module, which includes schedule and household contact information, rights to view and update medical flags, and access to Page 5.

TEACHER:
The Teacher user group allows teachers to view relevant data associated to any student assigned to the teacher’s course sections. Teachers will see all student-related data associated with demographics, household, schedules, grades, academic plan, and assessments. The Teacher user group also allows users to access the Instruction module, from which teachers will enter grades, take attendance, communicate via messenger, and maintain their grade book. In addition to the read, write, add, and delete capabilities in the Instruction module, users will also have access to Behavior referrals.

SPECIAL ED TEACHER:
In addition to the teacher functionality, this user group will have access to the Special Education Nevada Plan. Case Managers will be included in this user group

SPECIAL EDUCATION FACILITATOR:
This user group will have the same access as the School Read-Only group, the Special Education Nevada Plan, behavior, and added capabilities to delete, assign teams, etc.

SCHOOL OFFICE MANAGER:
This user group will have the same access as the School Read-Only group, with the added capability to read all Census data.

ADMINISTRATIVE SCHOOL SECRETARY:
This user group will have the same access as the School Read-Only group, with the added capability to read all Census data.

SECONDARY REGISTRAR:
The Registrar user group will have the ability to view and update all student data. This group will have full access in the areas of attendance, classroom monitor, flags (all), transcripts, graduation, census (people, staff, households, etc.), grades, and grading window. This user group will essentially be able to update all critical student information individually or in mass for all students enrolled at their respective school site. This group will not have access to the Attendance Wizard.

ELEMENTARY SCHOOL CLERK:
The Registrar user group will have the ability to view and update all student data. This group will have full access in the areas of attendance, classroom monitor, flags (all), transcripts, Census (people, staff, households, etc.), grades, and grading window. This user group will essentially be able to update all critical student information individually or in mass for all students enrolled at their respective school site. This User group will also have full access to walk-in scheduling and the Attendance module (including the Attendance Wizard)

OFFICE SPECIALIST II:
This user group will have the same access as the School Read-Only group, with full access to the Attendance Module, walk-in scheduling, and the ability to enroll students. This group will not have access to the Attendance Wizard.

FASA:

This user group will have limited access to view student data pertaining to general demographic data and attendance. The Health User group will have full access to the Health module, which includes schedule and household contact information, and will be able to view and update medical flags.

ADD-ON FUNCTIONAL RIGHT OPTIONS
The user groups below are additional rights that will be given to users that have been identified by the principal as those who will need to have added access/rights in order to perform additional student information tasks that are not included in their primary user group role. Additional information is provided on page 4. Those “Add-On” user groups are as follows:

Master Scheduler:
Full access to the Scheduling Module with the ability to schedule groups, request wizard, roster copy, fill counselor, activating courses, fill teams, rotation, etc. (Scheduling Module, except Scheduling Wizard)

Scheduling Wizard:
Full access to master schedule builder, course planner, staff planner, and the ability to build and load sections.

Census: The ability to read, write, and add (RWA) people, build households, address, district employee/assignments, etc. Access to Census Wizard is included in the rights of this user group. Limited number per site, as employee data will be included in this module.

Census Read-Only:
The ability to view people, households, staff, addresses, district employee/assignments, etc. Limited number per site, as employee data will be included in this module.

Registration – Enrollment Only:
Ability to add the person and enroll.

Attendance: Includes all tools necessary to properly enter student attendance information, maintain historical attendance records and generate reports, and letters related to student attendance.

Attendance Wizard :
Includes full module rights and ability to mass change attendance at the school level.

Behavior Management:
Full access to behavior module; RWAD incidents, resolutions, behavior letters, and reports. Limited number per site, as victims, witnesses, and other sensitive data is included in this module.

Building Communication:
The ability to RWAD User Communications and Messenger for IC and Campus Portal.

School-Based Support User groups
Infinite Campus Super User – Building/AdHoc: (ADD-ON)
This user group will have the ability to view all modules that are utilized at the school level. It will be comprised of selected school-level staff identified by the principal and will serve as first level support for all Infinite Campus technical needs at the school. They will be the first line of defense in resolving issues before calls are made to the HELP DESK and be part of the School Based Support Model which will include specialized training.

Infinite Campus Teacher Power User: (PRIMARY GROUP)
This user group will serve as a proficient user of the Infinite Campus Grade Book, and will serve as on-site support for other teachers who are in need of assistance with assignments, entering grades, seating charts, and the other elements of the Instruction module. No additional access rights, outside of their normal access rights, will be given to this group.

Parent Portal Liaison: (ADD-ON or PRIMARY GROUP)
Determined by principal selection, this user group will have limited access to Infinite Campus. They will be able to pull reports that will identify parents who do or do not have accounts, and pull the GUID for parents, so that parents can set up their Parent Portal accounts. This group will attend a specialized training session that will assist them in supporting parent issues related to the Infinite Campus Parent Portal. This user group can be set up as a primary user or can be added to a user as an add-on to any additional user groups in which they have been assigned access

Purpose / To assist in all of the necessary tasks associated with scheduling in Infinite Campus. / To assist in all of the necessary tasks associated with Census Management in Infinite Campus. This person would be a back-up to the responsible role-based user groups. / To assist with all tasks associated with attendance in Infinite Campus. / Access to the entire behavior module allowing the user to process referrals, and enter, update, modify or delete behavior incidents. This user will also be able to generate all behavior related reports and letters. / This user will have the ability to post messages to the schools’ Infinite Campus Inbox, as well as the ability to post messages on the Parent Portal. The user will also have rights to full messenger functionality within Infinite Campus.
