TRIPLE CITIES RUNNERS CLUB
Board of Directors’ Meeting
June 6th, 2006
Meeting called to order at 7:07 pm.

I. Pete Matzke 5K
Barbara Ann Dailey presented plans for the 9th Annual Pete Matzke 5K. It will be held on August 5th at 8 am. Pete’s 10 year High School reunion is the same weekend and the race is expected to draw runners from Pete’s class. Barbara is requesting from the club insurance, finish line assistance and volunteer assistance. Barbara provided entry forms to be included in the next newsletter.
II. Red Dress Run
Karen presented plans for the annual run to benefit Crime Victims Assistance Center. The 5K will take place on June 21st, with registration at 5:30 and the run starting at 6:00. She plans to ask the Center for volunteers but is also asking the club for assistance with road guards, judges and water stops. Alan volunteered to mark the course.
III. Lung Cancer Awareness 5K
Barb presented plans for the 6th annual running of this 5K. The run will take place on September 24th at 1:00, starting at Rec Park. Last year the total number of runners was over 450. Barb is planning to have a 45 minute limit for the race. She is asking the club for volunteer assistance, insurance and finish line assistance.
IV. Vestal XX
Alan and Fred presented plans for the Vestal XX< to be held this year on June 17th at 8 am. Requesting assistance from the club with water stops and finish line services. Issues with construction on the course could present problems for the runners- this will be fully explored before the race. Next year the course may need to be altered slightly due to proposed school renovations.
V. TCRC Scholarships
Grace and Kevin presented $500 scholarships to the following student-athletes:
1) Chris Gaube, Vestal. Chris plans to run cross country for BU next year
2) James Woidt, Binghamton. James plans to try out for the University of New Hampshire team.
3) Colleen Spring, Seton. Colleen plans to run for Marywood next year
4) Amy Williams, Windsor. Amy plans to run for SUNY Geneseo next year
The candidates that applied for scholarships this year were exceptionally qualified, and it was difficult for the committee to narrow the selection down to these four. Chris, James, Colleen and Amy stood out for their outstanding performances in distance running, strong academic achievements and impressive community involvement. Congratulations to all.
VI. Treasurer’s Report
Kevin presented expenses and income incurred during the months of April and May. He also included a YTD summary and fiscal year forecast.
Grace moved to accept the treasurer’s report, seconded by Dave. Passed.
VII. The Vestal Rail to Trail 5K Run/Walk
The Rail to Trail was run this past Saturday. Assistance was provided on an informal basis with the Rail to Trail association giving a donation of $200 to the TCRC.
VIII. Tent
Dan proposed that the club buy a tent to use to shelter volunteers who are providing finish line services. Discussion ensued with the following proposal by Tom and seconded by Grace:
The TCRC will obtain a tent for use for finish line purposes to shelter volunteers through sponsorship or club purchase, with the total cost to the TCRC not to exceed $200. Passed.
IX. TCRC Finish Line Services
Grace and George presented issues with the informal system currently in place for determining the prices charged for finish line services. It was pointed out that some races paid a flat fee, some were charged a flat fee plus a fee for each runner and some were granted services for payment in kind. The following was proposed by Tom and seconded by Greg:
Starting in the year 2007, the TCRC will charge races/race directors:
· $125 for equipment rental
· $125 plus $1.00 per finisher for equipment rental and finish line services for races that do not use our computer system
· $125 plus $1.25 per finisher for equipment rental and finish line services for races that do use our computer system

X. TCRC Merchandise
Susan proposed that we keep a small stockpile of TCRC jerseys for sale at races and other club events. It was proposed to spend up to $495 to purchase 30 red jerseys with black embroidery, in an assortment of men’s and women’s sizes, for sale at TCRC events.
XI. CV Cross Country Series
Tom proposed, seconded by Dave, that the TCRC provide up to $100 for the purchase of refreshments at the three 1.5 mile races that comprise the CV Cross Country Series. Passed.
Dave made a motion, seconded by Tom to adjourn the meeting
