Job Specification; Executive Secretary

The position: Tralee Credit Union is seeking a person to act as executive secretary to the CEO and the Board of Directors. The chosen candidate will help organise and attend board meetings taking minutes and organising correspondence. Working with the CEO the person will act as an organiser and a support resource to that position. The candidate will have at least three years’ experience in a similar role. The salary will be commensurate with experience and will be in the range of €32 - €38k.

The position is full-time. The nature of the position requires a person who is available a limited number of evenings for Board meetings and occasional committee meetings.

Main duties:

  1. Act as Executive Secretary to the Board of Directors
  • Organise Board Meeting Packs for distribution to the Board & Oversight Committee in a timely manner
  • Ensure that pack includes all necessary reports by liaising with the necessary staff and committees in good time
  • Take and write-up minutes for the board meetings and follow up as necessary
  • Organise board correspondence
  • Organise and prepare for monthly board meetings and other meetings as required.
  • Maintain and regularly update the Board/Oversight area of the TCU website and the dynamic electronic calendar
  • Act as a Liaison for board training events
  1. Act as secretary to the CEO
  • Screen calls and correspondence
  • Prepare correspondence
  • Organise calendar including appointments, etc
  • Organise and maintain filing system for CEO
  1. Act as secretary to the Executive Committee
  • Arrange executive meetings
  • Attend Executive meetings as required and keep minutes and action items
  1. Other duties as may be assigned from time to time by the CEO

Key Skills

  • Proficient in the use of the MS Office suite and other relevant programmes.
  • Good organisational skills, authority and discretion.
  • Good inter-personal and communication skills.
  • Accuracy and attention to detail will be important.
  • A person willing to work on own initiative and see it through.
  • Ability to work alone or as part of a team and work to deadlines.
  • Strong time-management skills with an ability to prioritise work.
  • Knowledge of and experience of meeting procedures and
