SCHEDULE OF MEETINGS

7: 00 – Fall Sports – Coaches meeting ( all fall sports except golf)

A school must send a representative to the athletic directors meeting as well as each coaches meeting that they plan on entering a team as required by the TDCAA Constitution.

A fine will be assessed to any school not complying to this request for either meeting.

TDCAA FALL COACHES MEETING
The fall coaches meeting for schools wishing to participate in the sports listed below will take place at Senator O’Connor on Tuesday September 13 commencing at 7:00 pm.
There will be a general meeting for all coaches before we break up to individual meetings for each sport.
These meetings are compulsory. A school must send a representative to the meeting of each sport that they plan on entering. It is expected that the coach will remain for the entire meeting not just dropping in to pick up information. A fine will be assessed to any school who does not send a representative.
The sports that will have a meeting on Tuesday September 14 are:

* Tennis * Cross Country * Flag Football * Rugby 7’s
Please note that Pat Reilly ( Golf Convenor) will forward the entry package directly to golf coaches. They will not meet on September 14.

Eligibility of all athletes and coaches for each team must be submitted electronically as we have done the past few years. Brian will make a brief presentation to the athletic directors at our meetings on September 13.

Eligibility dates – Next Four years

Eligibility for TDCAA & OFSAA is based on the athletes Year of Birth

SEASON / MIDGET / JUNIOR / SENIOR
2011 – 2012 / 1997 or later & grade 9 / 1996 or 1997 / 1992 or later
2012 - 2013 / 1998 0r later & Grade 9 / 1997 or 1998 / 1993 or later
2013-2014 / 1999 0r later & Grade 9 / 1998 0r 1999 / 1994 or later
2014-2015 / 2000 or later& Grade 9 / 1999 or 2000 / 1995 or later

NOTES

1)  Midget Division – Athlete must have been born in 1997 or later and be in their first year of high school. They must be 14 in 2011 and attending their first year in high school in 2011 – 2012. The athlete must meet both conditions to be eligible. From January to June 2012, we still go by the 2011 birth date.

2)  Senior Division – Athlete is eligible to compete in high school sports for five years from the time they enter Grade Nine and were born in 1992 or later. An athlete must meet both requirements to be eligible for Senior.

For the 2011 – 2012 season, an athlete who entered Grade 9 before September 2007 is ineligible. There is no appeal to this rule.

VOLUNTEER COACHES

A VOLUNTEER COACH IS DEFINED AS A PERSON WHO IS NOT A MEMBER OF YOUR SCHOOL STAFF EXCEPT A RETIRED TEACHER FROM THE TDCAA.

Athletic Directors are responsible for:

1)  Obtaining a police check ( or update) from each volunteer coach

2)  Conducting a seminar of at least thirty minutes for volunteer coaches at your school. The agenda of this seminar should include: expectations for coaching at your school and TDCAA; the role of a volunteer coach in a high school environment; safety and liability ; administrative responsibilities.

3)  A copy of the agenda of the seminar and a list of volunteer coaches must be sent to Brian Riddell

Please note that a volunteer coach from the 2010 – 2011 or earlier must be approved again before he/she is eligible to coach in 2011 – 2012.

ENROLMENT FEE - an enrolment fee of $ .70 is assessed for each student enrolled in your school at the secondary level. Part of this amount is our affiliation fee to OFSAA. The remainder of the fee goes towards the daily operation of the TDCAA.

PLEASE BE AWARE THAT YOU WILL RECEIVE THREE ADDITIONAL INVOICES AT THE CONCLUSION OF EACH SEASON . THE EXECUTIVE SECRETARY’S HONORARIUM WILL BE SPREAD OUT OVER THE NEXT THREE INVOICES.

TDCAA POLICY AROUND SCHEDULING OF TEAM SPORTS ( policy initiated in 2007 – 2008)

THE POLICY WORKED VERY WELL LAST YEAR FOR THE FALL & WINTER SEASONS. BAD WEATHER AND PERMIT ISSUES LAST SPRING CAUSED SOME PROBLEMS .

PLEASE MAKE SURE THAT ALL YOUR COACHES ARE AWARE OF THE POLICY IN ORDER TO ENSURE THAT THERE ARE NO DISAPPOINTMENTS.

THE POLICY APPLIES TO THE FOLLOWING SPORTS

* Boys & Girls Volleyball * Boys & Girls Rugby

POLICY

Ø  A coach or representative must attend the coaches meeting

Ø  Athletic Directors must make sure that coaches know the dates that your teams cannot play especially at home.

Ø  Convenors are responsible for distributing a tentative schedule as early as possible. It is the responsibility of the athletic director and coach to review their schedule; sign off on it; and return to the convenor.

Ø  Convenors will send out a final schedule to the coach. The convenor will accept additional changes only if they have omitted a request made by either the athletic director and/or coach.

Ø  THE SCHEDULE IS THEN FINAL. CONVENORS ARE NOT PERMITTED TO MAKE ANY CHANGES TO THE FINAL SCHEDULE UNLESS APPROVED BY THE TDCAA EXECUTIVE. ANY REQUESTS FOR A CHANGE MUST BE MADE TO EITHER PAUL SOLARSKI ( PRESIDENT) OR BRIAN RIDDELL ( EXECUTIVE SECRETARY)

PENALTY

Ø  Game will be forfeited to the opposing team

Ø  Team will be responsible for any costs eg officials

Ø  Possible exclusion from playoffs

Reporting Scores

The TDCAA requires coaches of both teams playing a game to report accurately the score of the game to the following.

For your convenor , TDCAA Web Site & Peter Morris , you need to send the following information accurately

1)  Date & Location of the Game

2)  Girls or Boys

3)  Junior or Senior

4)  Home Team & Score

5)  Visiting Team & Score

You have until Noon the day following the game to report the scores to the three groups listed above. Peter will always acknowledge receipt of the email.

Penalty - $ 20 fine will be assessed both teams if the score is not reported.

Your convenor may have other information that they will require eg ejections

For the media , they will have an 8:00 PM or earlier deadline. I would strongly suggest that you call the media immediately after the game with the results. Someone should have a cell phone available.

In addition to the above information , the Toronto Star & Toronto Sun will also require the top scorer ( first and last name) and the number of goals/ points from each team. If you are the visiting team and do not have a copy of the game sheet, please find the name of the top scorer from the opposing team and the number of goals/points.

The Toronto Star, justifiably, will not publish results that come in after 8:00 and are not complete.

It is very important that we attempt to promote high school sport through the media. We can accomplish this by taking the time to report results clearly and accurately to the media immediately after the game.
