Toms River Futbol Club (TRFC)

General Fundraising Policy

Enclosed within this document will be the club policy with regards to team checking accounts, fundraising at club facilities, team fundraising and team sponsorships. Additional information such as a form letter with all pertinent club ID numbers is also included. Please note that there are specific guidelines with regards to the use of the TRFC Tax Exempt Status numbers. They are:

  • Teams cannot use the Tax ID for team donations. Only the club can accept tax deductible donations not the teams
  • Teams can use the Tax ID (along with the attached form letter) for tagging or other events such as car washes as well as restaurant and store fundraising events

Team Checking Accounts

Although TRFC teams cannot use the name of the organization or the club Tax ID # for checking accounts, they may and should establish individual team non-interest bearing checking accounts. TRFC team must use the Social Security # of a team representative along with the team name when they open the account. For example, the Galaxy would open the checking account as the TRFC Galaxy using the Social Security # of the person opening the account. We have an arrangement with following banks to handle our individual team accounts. Please contact either of the banks below to open your account.

Fundraising at Club Facilities

Individual team fundraising is not allowed at any TRFC facility or event. The reason is simple. TRFC attempts to give back a considerable amount of money to each team to be used for training expenses, tournament fees, patches, ref fees, equipment, etc. In order to do this, we raise money through the club registration , raffle, tournaments and the snack bar. Any type of team fundraising would hinder the club fundraising activities and would therefore hurt other teams in the club. Essentially, no team can raise money through the use of the club fields and any activity held at a club location.

Team Sponsorships

Teams wishing to have sponsors for the purpose of fundraising may do so only with the permission of the Executive Board.

There are restrictions, however, on team sponsorships. Although allowed under certain circumstances, they may only be expensed by the sponsor as a tax deductible advertisement expense. They cannot be expensed as a donation. Sponsor names and logos are subject to the following rules:

  • The cannot be placed on any official TRFC uniform
  • The can be placed on team warm-up suits, practice jerseys, gear bags, ball bags and banners.

Individual Team Fundraising

Each Toms River Futbol Club team must adhere to the following guidelines when soliciting fundraising donations. They are:

  • No general solicitations to multiple businesses or organizations thru letters, phone or personal visits.
  • Correspondence with possible sponsors cannot be on TRFC letterhead
  • Form letters must include the information that all donations are:
  • For the benefit of a specific team
  • The name of the team
  • Are not tax deductible
  • No team can use the TRFC Tax ID # for individual team fundraising or any other unauthorized purposes
  • Sponsorships are when a person or a business donate money for the benefit of one team. They are acceptable but the donations are not tax deductible.
  • Any fundraising effort must be cleared through the Director of Information prior to its inception.

These guidelines are in effect to protect each team in TRFC as well as the entire organization. Teams that solicit donations outside these areas put the tax exempt status of our club in jeopardy. Additionally, they are putting themselves in personal liability for legal action regarding future tax collections. Any teams not following these guidelines additionally become subject to sanctions deemed necessary by the Executive Board of the Toms River Futbol Club.

Tagging

Individual team tagging (Shaking the Can) will be allowed by the Toms River Futbol Club only under the following conditions and guidelines. They are:

  • Tagging must be done as a team function. No one individual member may be allowed to tag for his/her own personal benefit.
  • Tagging will only be allowed for a specific team purpose such as tournaments, camps, etc.
  • The tagging must be arranged in advance and appropriate permission be given in writing (if possible) by the establishment allowing the tagging. The fundraising (tagging) team will adhere to all rules and regulations required by the establishment.
  • Adult supervision must be present at all times during the tagging.
  • Team members should request donations using language for the specific team fundraising purpose such as “please help my soccer team go to camp” or something similar.
  • The following phrase or anything similar is not allowed: Please donate money to the Toms River Futbol Club. Remember this is a team not a club fundraising event.
  • Team members should be dressed in some sort of team uniform for the tagging event. This includes team uniforms, warm-ups etc.
  • At all times during the tagging, team members must be well mannered, courteous, polite, thankful and respectful of all customers and employees of the establishment. Coaches should relay to all team members as well as parents that they are representatives of the Toms River Futbol Club and it is imperative that they act accordingly.
  • The Coaches of the fundraising team will be the ultimate persons responsible for all actions of their team during the tagging activity. If any of the above guidelines are not followed the coach and the team will be subject to disciplinary action. This includes reports of misbehavior and/or property damage.
  • All local laws, ordinances, rules and regulations must be adhered to by all representatives of the team and the club.
