OPERATIONS MEMO #1

TO: REACH PRINCIPAL INVESTIGATORS/DATA MANAGERS

FROM: ROCCO MERCURIO/JULIE KLINGER

This memo addresses issues for the:

Data Managers/Data Entry personnel

Please distribute this memo to the appropriate personnel at your site.

This Operations Memo addresses issues regarding the delivery and set-up of the REACH II site computers along with navigation procedures using the new bi-boot menu. In addition, a required procedure is explained after the first screening form is entered into PoP.

Delivery and set-up of the REACH II site computers

ISSUE: The REACH II site computers have been sent to the sites and should arrive by Friday, May 31st and need to be unpacked and assembled.

SOLUTION: A total of 4 boxes will be sent to each site. Unpacking and assembly instructions have been posted on the REACH2 Web site. Go to http://www.edc.gsph.pitt.edu/reach2. In the private environment, click on “manuals” and then click on “Data Management Manual.” Chapter 3 contains detailed information on unpacking, assembling, and describing the equipment that is being delivered. Note that you will need Adobe Acrobat Reader (access to downloading it is available on the REACH II website) to copy/print this chapter. Once the PC’s are assembled, sites are required to call Rocco Mercurio at the Coordinating Center in order to schedule a time so that the PC’s can be tested remotely. Data is not to be entered until this procedure has been completed.

Navigating within the site computers using new bi-boot procedure

ISSUE: When the site computers are rebooted, a bi-boot menu prompts users to access either DOS or WindowsXP.

SOLUTION: The new bi-boot menu is invoked when the REACH II computers are rebooted. The menu gives access to either DOS or WindowsXP – note that the default setting for the bi-boot menu is DOS.

·  PoP and PCAnywhere is accessible ONLY through WindowsXP. Once in WindowsXP, the appropriate method for entering either PoP or PCAnywhere is by clicking on the appropriate icon.

·  Hyperpop is accessible ONLY through DOS and is automatically executed. The appropriate method for powering down the computers for data transfers is to boot the computer into DOS and then using the on/off switch, located on the mini-tower, to turn the computer off. Note that the site computers should be powered down every evening.

Procedure required once the first screening form is entered into PoP.

ISSUE: To assure the highest level of data integrity, an initial manual data transfer will be required from each site after the first screening form is prepared in PoP.

SOLUTION: After the first screening form is prepared for transfer, each site should call Rocco Mercurio so that a manual data transfer can be invoked. This procedure is required to assure that all of the data files are being transferred to the Coordinating Center and that each is intact.
