Job Purpose: / To coordinate the collection, reporting and analysis of performance data for the operations section. To line manage the performance monitoring officer.
The job involves working in the refuges with abused women escaping domestic violence.

Mainduties:
Managing service delivery and performance
  1. To assist the director of operations in the collection, reporting and analysis of all relevant data from, Excel, Access and SRSS (SQL Server Reporting Services) as well as from REMIT, Refuge’s specialist electronic system, for performance monitoring and evaluation purposes.
  1. To line manage the performance monitoring officer and coordinate the allocation of work to ensure all deadlines are met.
  1. To provide the statistical reports required by staff across the organization as part of Refuge’s comprehensive specialist quality management system, ensuring that all external and internal reporting deadlines are met.
  1. To co-ordinate and produce reports using a range of quantitative and qualitative data including equalities data, outcomes data, health and safety and victims’ feedback about Refuge services or other services.
  1. To co-ordinate and assist with the production of statutory and other data returns to relevant agencies including local authorities, housing associations and funders such as Supporting People. To compile data files, amend and upload to the relevant website Lettings, Client Records and Outcomes data for Local Authorities.
  1. To assist the director of operations in facilitation of sensitive consultation events with women in the refuges, many of whom may be traumatised, to record information about their experiences of abuse and provide reports on their suggestions for improving services for victims of domestic violence.
  1. To create and submit documentation to external accreditation bodies.
  1. To ensure all internal monitoring is completed on a weekly, monthly or quarterly basis and to inform the director of operations/ and the executive assistant of any performance exceptions.
  1. To audit all performance measures required by funders and co-ordinate the production of all data returns to them.
  1. To alert the director and senior operations management team promptly to any anticipated problems in performance.
  1. To create Access queries from the REMIT database for internal and external individuals requesting information.
  1. To assist the director of operations in drafting sensitive and confidential correspondence.
  1. To provide administrative support to the director and senior operations managers.
SPECIFIC TASKS
  1. Monitor performance against all internal and external requirements and deadlines and bring any underperforming problems promptly to the director’s attention
  2. Analysis of data by extracting data in Excel, Access and SPRS for all Refuge’s services
  3. Provide statistical reports for the director as per Refuges monitoring calendar including SPSS for all services, generating outcomes and social return on investment reporting
  4. Provide statistical reports required by managers as part of Refuge’s quality management system
  5. Distribute PI Workbooks to service managers for their completion and submit to the relevant Local Authority
    monitoring contact
  6. Create quarterly balanced scorecards; monitoring the returns from service managers
  7. To maintain Refuge’s health and safety database and provide the director’s monthly health and safety
    reports to the senior management team and the quarterly and annual council of management report showing
    compliance with the organisation’s policy and procedures and exception reporting
  8. To assist the director of operations in facilitation of sensitive consultation events with women in the refuges,
many of whom will be traumatized, to record information about their experiences of abuse and their suggestions for
improving response to victims of domestic violence and provide reports
  1. To provide reporting and help track management of any complaint about a Refuge service.Compile and write the
quarterly director of operations performance report for the Council of Management
  1. Compile data files, amend and upload to the relevant website Lettings, Client Records and Outcomes data for
    Local Authorities
  2. Audit all performance measures required by funders and co-ordinate the production of all
    data returns to them, alerting the director to any risks of underperformance
  3. Ensure all internal monitoring is completed on a weekly, monthly or quarterly basis
  4. Create and submit documentation to accreditation bodies
  5. Create Access queries from the REMIT database for internal and external individuals requesting information
  6. Be the contact for all staff in relation to suggestions or issues with REMIT, ensuring a speedy resolution and work
with the director of operations on the continuous improvement of REMIT
  1. Ensure all documentation is in place for the annual ISO9001 inspection, alert the director to any gaps and programme work with the director as required throughout the year on any management areas that need
    attention
  2. Line manage the performance monitoring assistant, allocate their workload accordingly and provide monthly supervision and appraisal

  1. To ensure that confidentiality is maintained and that Refuge’s policies on security are observed

Evidence of the ability to use Access (intermediate to advanced level) and write queries.
