Administrative Information for Students in the Modularised System (Stand: 19 May 2015)

Registration

You can register for the ICP at any time during the semester before you go away. For us, the optimal way is for you to come along to the first of the advertised ICP sessions where you will be given a brief introduction to how the whole project works. But if you suddenly have the opportunity to go abroad late in the semester, it is still possible to join the ICP by coming along to one of the tutors and letting them know, and by signing up for the next pre-departure workshop (on the lists on the ICP board outside room 162). It is mandatory to take part in the pre-departure workshop before the stay abroad. Registration is NOT via LSF. There is no weekly course, but rather weekly tutorials where you can come along if you need help in organising your project. You will find the times of these tutorials on LSF.

Modulprüfungen

For students in certain courses of study (Lehramt Gymnasium, Realschule, Hauptschule) the ICP is part of a module with a so-called MODULPRÜFUNG. This means that the ICP report counts as the relevant examination for the whole module but you have to prove that you have successfully completed the other course which is attached to the module. So, for example:

For Lehramt Realschule, module P8 includes the ICP and cultural studies 1.

For Lehramt Hauptschule, module P8 includes the ICP and speaking skills 1.

For Lehramt Gymnasium module P11 includes the ICP and cultural studies 2.

Students should make sure they get certification from their teachers in cultural studies 1 and speaking skills 1, to confirm that they have taken the relevant course, and they should hand this certification in with their ICP report. The relevant form is available from the Moodle site: The Intercultural Project. Cultural studies 2 is an online course, in which participation and successful course completion are monitored and recorded digitally. There is no certification needed for this course.

Students handing in an application for recognition of a stay abroad (rather than an ICP report) should also add such a confirmation to their application package.

ECTS points

In order to get the 6 ECTS points allotted to the ICP you need to have successfully completed all the necessary steps:

·  Pre-departure workshop

·  Stay abroad

·  Debriefing workshop

·  Reflective report

For us to be able to enter your ECTS points into the system you need to have registered for the ‘exam’ at the relevant time. The timing is the crucial point here. You need to register for the ICP ‘exam’ in the semester in which you wish to have the points credited to your account. If the ICP is part of a module with a Modulprüfung, then you should only apply for the points when you have completed BOTH parts of the module.

So, typically, the timing might look like this for someone who plans to go away for 8 weeks in August/September 2016:

1 / Sometime during summer semester 2016 (preferably in the first session): / Register for the ICP in the ICP Sprechstunde of a tutor and sign up for the pre-departure workshop.
2 / Mid / end of summer semester 2016 / Take part in pre-departure workshop
3 / August/September 2016 / Go away on project
4 / November/December 2016 / Take part in debriefing workshop
5 /

By 21st December 2016 (or 21st June in summer semester)

/ Hand in reflective report
6 / December 2016 (whenever the period for exam registration is) / Register for exam in ICP as long as you have completed all necessary parts (see Modulprüfung above). Please remember: YOU are responsible for doing this and NOT your tutor.
7 / By 21 March 2017 / ECTS points will be credited to your account.

The timing and order of the above steps is very important. Two important factors lie behind the schedule outlined here:

1)  The tutors need TIME to mark a very large number of reports and have to send all the grades to the Prüfungsamt at the same time (usually 21 March and 21 September).

2)  It is very dangerous for you to register for the ‘exam’ (i.e. for your points) before you have handed in your report because if something goes wrong and you have no time to write the report, or in the worst case, you have to rewrite your report, then your attempt will be registered as a ‘fail’ for the first time around.

To simplify the whole procedure, we have only ONE exam registration site and that is via Heather Weik-Price each semester. But you can hand your reflective reports in to any named tutor to be graded. Please submit hard copies rather than digital copies. Should the deadline for handing in the report fall on a weekend, the following Monday can be assumed to be the deadline.

Recognition of previous stays abroad

You are not required to do the ICP if you can prove that you have had one stay of at least 6 months (after the Abitur) or one semester at a university in an English-speaking country in a meaningful context (i.e. not travelling around on holiday but fully integrated into the target culture). To apply for this recognition, please fill in the relevant form (available at the Moodle site: The Intercultural Project) and copies of the relevant supporting documentation to Christopher Thomas, Heather Weik-Price or Gill Woodman. Students who have done the Erasmus and Assistant Teacher programmes can also gain recognition from Dr. Helga Quadflieg. To get the ECTS points for this, it is necessary for you to register for the ICP ‘exam’ with Heather Weik-Price. In these cases, students should make sure they get certification from their teachers in cultural studies 1 or speaking skills 1 to confirm that they have taken the relevant course and they should hand this certification in as soon as possible to the ICP tutors. Students who successfully completed Cultural Studies 2 Online will have this confirmation recorded automatically on our database. Please note that if you register for the examination (having had your stay abroad recognised) but do NOT hand in certification of having completed the accompanying course, your examination will count as ‘failed’ and the points will not be accredited. The relevant form for certification of cultural studies 1 or speaking skills 1 is available from the Moodle site: The Intercultural Project.

So your steps in this procedure should be as follows:

1.  Check out in good time informally (via a tutor in their office hours) if your stay abroad will count as the ICP

2.  Hand in your official application for recognition (using the official form)

3.  Do any necessary supporting courses for that module and get certification (where relevant) for this from your teacher.

4.  Send a copy of this certification to Christopher Thomas, Heather Weik-Price or Gill Woodman in good time for your ECTS points to be credited.

5. Register for the ICP exam in LSF (check carefully each semester when the dates for this registration will be).

Remember, the points will only be credited to your account on 21 March or 21 September as all the ‘results’ for any given semester are entered into the system together.

Beurlaubung

If you wish to do your stay abroad DURING the semester, it is possible to get a letter from us which will enable you to be ‘beurlaubt’. For details about this application please check the website of the Studentenkanzlei.

Homestays

If, for a very special reason, (usually this is only health reasons, or if you have dependent children), you are not able to go abroad, then it is possible to apply instead for a ‘homestay’. To apply you would have to write a letter explaining why it is necessary to do a homestay and you would have to attach evidence such as birth certificates or medical certificates etc. This would mean that you have to look for an eight-week project in Germany/Munich in an English-speaking environment. Clearly, this has much less impact on your intercultural competence and your language skills. It is meant merely as an emergency solution for a tiny number of people who are really unable to go abroad.
