Job Summary: / Support the delivery of St Catherine’s Hospice Trading activity.

Key Accountabilities / Tasks
People Management /
  • To achieve income targets across all shops and trading activities.
  • To achieve income targets in new goods at the Hospice gift shops.
  • To regularly attend all shops and ensure they are being managed effectively and efficiently in accordance with Hospice policy and procedure.
  • To ensure that the shops maintain high standards of display, cleanliness and tidiness. Liaise with the donation centre to ensure they are appropriately stocked.

Communications /
  • Create strong communication links between the Hospice and all shops
  • Implement the Hospice Corporate identity across all shops in conjunction with the communication team.
  • Market and promote the reputation and resources of the hospice in conjunction with the communication team.
  • Support and attend fundraising activities as required.
  • Provide cover in shops as and when required including some weekend working.

Commercial Development /
  • Assist in researching and developing new trading operations
  • Research and develop new shop locations and premises and support the set up of new shops.
  • Support the ongoing refit programme of all existing shops
  • Manage and develop the use of EPOS throughout the shops.
  • Maximise and develop Gift Aid in the shops.
  • Support the Head of Trading in developing and delivering training activity for retail assistant, shop managers and volunteers in areas of retailing and Gift Aid.
  • Lead on all online trading activity including the research and implementation of new online initiatives.
  • Assist in developing and implementing the Hospice online sales activity including eBay and Kite
  • Assist in researching and developing a new goods strategy.
  • Ensure a high level of volunteer recruitment across all shops.
  • Liaise with the donation centre manager to ensure effective stock rotation throughout all shops.
  • Develop shop wide promotional activities including the support of Hospice events.
  • Keep up to date with retail trends and competition.

Administration /
  • Dealing with customers and donors efficiently and effectively on the telephone, electronic mail, face to face and by letter
  • Support the fundraising and promotions team to promote fundraising activity through trading.
  • Co-ordinate the Trading Company’s ongoing relationship with existing suppliers of goods and services raising purchase orders, invoices and effectively dealing with queries and issues.
  • To support the Christmas cards and goods ordering operation.
  • To develop and effectively implement the Trading Company’s policies and procedures in conjunction with the Head of trading.
  • Ensure that the Trading Company complies with all relevant legislation

Personal /
  • Sufficient personal resource to work in a hospice environment.

Decisions / Recommendations includes:
  • Share ideas and opportunities with other members of the Income Generation team.
  • Help to research and identify new opportunities for St Catherine’s trading operations.
  • To research and identify new methods of working to improve the efficiency of the administrative function
  • Make the Head of Trading aware and provide recommendations regarding activities which provide opportunities or threats to the department

Dimensions and limits of authority / influence includes:
  • To work within Hospice Policy and Strategic Direction
  • Working with the Resources Coordinator to ensure sufficient volunteers to meet the needs of the Trading Department
  • To promote the hospice and it’s work to external organisations and members of the general public

Allocation / checking of work
  • Use own initiative to manage work volumes and prioritise workload. Accountable to the Head of Trading who will provide management support.
  • Work is generally unsupervised with emphasis on self checking. Responsible for ensuring that workloads and deadlines are managed effectively.
  • To comply with all relevant legislation

Physical effort
  • Physical demands in relation to some activities e.g. standing, bending, lifting, walking, manual handling
  • Moving stock and equipment to and from Office on 2nd floor.
  • PC work – hand and wrist dexterity and use of VDU

Working conditions / environment
  • Generally office based with the need to work at external sites on occasions
  • Occasional evening/weekend, Bank Holiday and lone working
  • Own transport needed to attend external events and appointments
  • External work, subject to unpredictable conditions e.g. weather, stock handling

Other Duties include:
Carry out any other duties as required by the Chief Executive

VOLUNTEERS

The Hospice has the advantage of being supported by a number of volunteers. If a volunteer is assigned to assist you at any time, you will still retain responsibility for the requirements of this job in terms of accuracy, efficiency and standards of completion. You will also ensure good communication and be mindful of your responsibility towards that volunteer in terms of Health and Safety.

You should be aware of the confidential nature of the Hospice environment and/or your role. Any matters of a confidential nature, relating to patients, carers, relatives, staff or volunteers must not be divulged to any unauthorised person.

You should make yourself aware of the requirements of the Data Protection Act and follow local codes of practice to ensure appropriate action is taken to safeguard confidential information.

Qualifications
Educated to GCSE level (including Maths and English) or equivalent / Retail qualification
Relevant Experience
Experience in a direct customer facing environment
Experience in a retail and trading environment / Experience of the third sector

Well-developed interpersonal skills with ability to motivate and influence individuals and teams
Self-motivated and able to work independently, but flexibly as part of a team.
Strong problem solving skills
Experience of planning and managing successful projects.
Numerate and literate
IT literate with working knowledge of Microsoft Office, Word and Excel.
Strong administration and organisational skills and ability to multi task
Ability to work to deadlines
Proficient presentation skills to be professional and credible when representing the Hospice.

Good written and verbal communication skills, with the ability to give clear verbal instructions and impart knowledge / Local geographical knowledge
