Overview

Edinburgh Art Festival is the largest annual festival of visual art within the UK. Volunteers play a key role in the festival, being the first point of contact for audiences and supporting the dissemination of festival activities and public commissions programme.

We are currently seeking to appoint a dedicated and efficient Volunteer Co-ordinator to develop and deliver a successful volunteer programme for the 2017 festival, from 27 July to 27 August.

The ideal candidate will have a keen knowledge of, and interest in, contemporary art and learning and engagement. He/she will have experience of people management within the events, arts or non-profits sector, and experience of working with volunteers.

Main activities and responsibilities

The Volunteer Coordinator will work closely with the Kiosk Coordinator and Festival Assistants in the management and delivery of the volunteer programme, overseeing the festival commission venues, and assisting with the delivery of all festival activity and events.

Key Tasks

Volunteer Recruitment

(Confirmed: Volunteer Recruitment Day - Friday 16 June, as part of 6 days festival planning)

  • Liaise with the festival team to plan festival assistant and volunteer recruitment
  • Review and update volunteer documents and policies
  • Oversee the recruitment of volunteers
  • Review applications with the Festival Administrator
  • Organise and implement at least one recruitment event, including the creation of a recruitment presentation and carrying out interviews
  • Assist with the recruitment of Festival Assistants
  • Review applications
  • Schedule and host interviews
  • Develop an orientation process, including updating the volunteer handbook for the 2017 Festival and creatinginduction presentations

Festival Delivery (24 July - 27 August)

  • To be the first point of contact to co-ordinate and manage Festival Assistants and Volunteers for the duration of Edinburgh Art Festival, including the management of a volunteer rota throughout the festival period
  • To liaise and work closely with the Kiosk Coordinator, Programme Assistant and Marketing & Events Assistant to ensure the smooth running of the festival activities, programme and commissions
  • To work with EAF staff, Programme and Events Assistants to provide Volunteer support for festival events and activities
  • To ensure that all EAF commissions and venues have adequate supervision during opening hours, and are safe and secure when closed
  • To ensure that there is an effective system for opening/closing; switch on/switch off (lighting, AV etc) for all Festival venues and to liaise with Programme Assistant in the case of any technical or installation problems arising
  • To work with the Kiosk Coordinator, Festival Assistants and Volunteers to provide a welcoming atmosphere for festival visitors, and to provide suitable background information regarding art works, venues, events and activities
  • To make sure all EAF Festival Assistants and Volunteers are aware of and compliant with health and safety regulations
  • To support the EAF team in ensuring all EAF commissions and venues are well-maintained and operational, reporting any problems with art works and/or equipment as soon as possible for a quick resolution
  • To liaise with any venue hosts regarding access and volunteer behaviour, ensuring associates and partners
  • To liaise with the Kiosk Coordinator in ensuring adequate supervision is provided within the festival kiosk, and in the delivery of festival activities, across venues and commissions
  • Maintain a volunteer database and record, tracking hours, roles and activities
  • To co-ordinate Volunteers' expenses - in liaison with the Festival Administrator

Evaluation

  • Contribute to evaluating the programme including gathering feedback from volunteers
