General Description

Responsible for supporting the accounting department through administrative functions including accounts payable and cash management activities.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Assists with all aspects of accounts payable.
  • Reports directly to the Controller for all payable and cash management issues.
  • Maintains all accounts payable files to include filing invoices in designated areas and updating vendor information in systems.
  • Matches receipts and contracts with vendor invoices to assure accuracy and prepare for system entry on a daily basis.
  • Prepares all accounts payable checks according to company procedures.
  • Enters appropriate information into accounting systems timely and accurately.
  • Codes invoices and ensure receipt of necessary approvals.
  • Ensures payment of invoices are timely and accurate.
  • Mails accounts payable checks with appropriate supporting documentation.
  • Prints all accounts payable reports.
  • Assists with monthly closing procedures for accounts payable.
  • Monitors all paperwork, invoices, correspondence and verbal communication with vendors.
  • Researches and respond to all accounts payable inquiries in a prompt manner.
  • Maintains and update insurance certificates for vendors, as needed.
  • Prepares 1099s as needed.
  • Resolves any sales tax issues to include COMIDA, QEZE, and exempt use, as needed.
  • Assists with performing administrative duties for accounting, as needed.
  • Perform administrative duties, such as answering telephone calls, filing, faxing, and copying.
  • Serves as a backup person for the front desk, as necessary

Minimum Qualifications

  • High school diploma or equivalent required, Associates Degree preferred.
  • 1-2 years’ experiencein accounts payable role
  • Ability to manage multiple projects simultaneously
  • Customer focused
  • Strong verbal and written communication skills
  • Ability to prioritize tasks
  • Must be a self-starter, organized and have ability to manage multiple projects in high pressure environment
  • Must possess the ability to support a variety of people and handle a variety of tasks on a daily basis
  • Solid Microsoft Office proficiency required. Experience with Timberline a plus
  • Detail oriented
