Tips and Suggestions for Pedal 4 Kids Team Captains

The Hilton Head Island Boys & Girls club appreciates very much your willingness to serve as Pedal 4 Kids team captains in the September 26, 2009 Pedal 4 Kids charity bike ride. Here are some helpful tips and suggestions to assist your work.

Forming a team

Teams can come from any activity or place; a business, a golfing or tennis group, a gated community, a social group, your neighborhood, a bike club, your family, a church, alumni association, school, class room, friends, members of your fitness or spin group, anywhere where there is a common connection or bond.

The B&GC Pedal 4 Kids charity bike ride is about having fun, a good experience and helping kids. Participating in “your” team can enhance that experience, make it more meaningful, and provide additional benefits to yourself and your teammates.

Each team has a team captain. The team captain is responsible for identifying the kind of team you want, selecting a name, recruiting team members, and working with the team members to recruit other team members to join your team and enhance the experience.

What’s involved?

Part of forming the team is getting your team members to register for the event. This can be done in a number of convenient ways:

  1. You can give team participants registration forms. Get them filled out and returned to you with a check, money order or with credit card information.
  2. Registration forms are available on line at the HHI B&GC web site, These forms can be printed and filled out, returned to you, or completed online.
  3. Your team members can register at
  4. Pedal 4 Kids brochures will be available at the HHI B&GC, or at many businesses and locations around the island and elsewhere. These brochures contain Pedal 4 Kids registration forms.
  5. You can call or stop by the HHI B&GC to register.

In any case, you are responsible for keeping track of who has signed up in your team and getting this information to the B&GC. You have a team captain packet that contains much of this information and which should facilitate and simplify this process. But the earlier you form your team, the better it will be for everyone.

Donations and fund raising

Team donations are extremely important to the success of this ride. The event will be fun and a good experience, but at the end of the day, it’s about providing support to a very worthy local cause. A very easy fund raising method is to collect pledges for every mile you ride. A simple formula is collecting $1.00 per mile from your friends, family and co workers. If you ride the 25 mile ride and have ten donors pledge $1 a mile that’s $250 raised for the Boys & Girls Club!

Another suggestion is to take advantage of your company’s matching gift program. This could double, and in some case triple your donation to the B&GC. Another is to demonstrate to your teammates your commitment to this cause with a generous donation yourself. Find someone who is not able or available to ride on September 26th. In any case, do not be afraid to ask for a donation to supplement the registration fee collected. This is a fun, fund raising event to help support the Boys & Girls Club of Hilton Head Island!

Getting your team formed and excited

Many teams will be wearing costumes, decorating their helmets, or wearing special T-shirts custom made for each team at only $13 a T-shirt (ordering information is included elsewhere in this packet). Make this a really fun experience.

Prizes and awards will be given to teams with the best costumes, most money raised, largest number of participants, and a variety of other initiatives. So package this up and get your team going. “GO FOR THE GOLD.”

How far do I have to ride?

The bike ride is for people of all ages and abilities. Ride options include a 40 mile ride (for experienced riders), a 22/25 mile option, a 10 mile option and a family fun ride. All team members do not have to ride the same distance, they should only ride the distance they feel comfortable and will enjoy.

What else is involved?

Every effort is made to ensure rider safety being paramount. Volunteers androute deputies will be staged along the route. The ride start event is meant to be a “happening” music, noise, fun, plenty of photographs with convenient rest stops, entertainment, and lots of food and entertainment at the finish with additional prizes and awards.
