Time to Begin Thinking about the Next Chapter Leaders – 2008/09 Board Forms Due

It is that time of year, that Chapters should have completed the process of electing the leaders to take office the end of June 2008.

Preliminary nominations are due to your Chapter’s Community Support Specialist by the last business day in February. There is an online form available under Chapter Operations. Please complete this form in its entirety and must include Membership Numbers. If you do not have a full slate of officers in February, please submit the names and membership numbers of those chapter officers which have been filled. National has simplified the list, due to chapters having different names for positions. If your board is larger than the spaces allow please submit a second report with the additional names. Offices not filled may be submitted using this same form at a later date as they become available. The entire Board must be submitted prior to the last business day of May in order to continue receiving compensation. Please either save this form as a document on your hard drive then attach to an email addressed to your Chapters Community Support Specialist or print and fax to 201.474.1600 to the attention of your Chapter’s Community Support Specialist.

Stuart Cameron McLeod Society

The SCMS was formed in 1934 as the Spot Club. In 1957, the name was changed in recognition of Stuart Cameron McLeod, one of the founders of the Spot Club and Executive Secretary of IMA from 1919 until his death in 1944.
The Trophy awarded to the third place chapter in the Stevenson Division competition is sponsored by the SCMS. The Society also sponsors the "S. Alden Pendleton Award for Excellence in the Community Service Program of the IMA."

In addition, the Society provides judges for the selection of the recipients of the Stuart Cameron and Margaret McLeod Scholarships.

The purpose of the Club is to provide a means whereby former officers and directors of the Association may continue the associations and contacts which they formed while in office and to make available to the current management of the Association the advice and experience of past officers.

Induction

IMA Chapter & Council Teleconference Agenda –February 13, 2008

Tools & Resources:

Inactive Chapters – For the past three months, we have been contacting the members of all inactive chapters giving them the opportunity to help revitalize their chapter. Thanks to the efforts of dedicated IMA members, we are happy to report that many chapters will be re-opened. The Chicago Chapter, for instance, which has 800 members, is currently in the process of planning its first chapter meeting to gauge member interest and to establish a board.

Unfortunately, we have not had the same positive response from members of other chapters we contacted during this process. Below, please find the chapters which will be closed. Members have be informed in a letter from National that they can either be transfer to a chapter nearby or become a member-at-large (a member with no chapter affiliation). Nearby chapters are encouraged to contact these members regarding joining their chapter. Please contact your Community Support Specialist for more information on this process. Another note, Council can send communications to Members-At-Large in their local areas, such as chapter events or meetings.

Chapter and Council Board Elections for 2008-09- Please be aware the Chapter and Council Board Forms are due on the last business day of February. If your Council/Chapter board is only partially filled at this time, please submit the incomplete form and contact your Community Support Specialist once the board is finalized. Please do not forget to include the member number of each board member with their name. National must have all these forms by May in time for the beginning of the 2008-09 fiscal year. For Chapters that send their form in after June, please remember that compensation will be withheld until the Board is received and no retroactive payments can be made..

The Board Form is located on the IMA website at the following location: Sign into Members Only> Chapter Operations> Chapter and Council Tools, Forms and Resources> Chapter and Council Forms subheading> Council & Chapter Elections & Appointments. The form is in PDF format and can be filled in by typing versus by handwriting. Please submit the form either by fax or email to your Community Support Specialist.

Please note that National no longer requires Chapters and Councils to send in the President and Secretaries Nominations form.

Financial Reports- We appreciate the cooperation from all Chapters and Councils that sent their Annual Financial Reports in on time. Please note that each Chapter and Council has a tax identification number different from the IMA National Headquarters. These tax identification numbers show that you are a subordinate voluntary organization, which covers all Chapters and Councils, of the IMA and isused for federal and state purposes.

For next year, new 990 Form Guidelines will take affect. Under these new guidelines, IMA National and its subordinates will be required to submit a 990 Form to the IRS to maintain their 501(c) 3 status. This information will be explained further during the Chapter and Council Leadership Training at the Annual conference and via literature from IMA. We will let you know when the literature is available.

Competition- The Chapter Website portion of the competition is due the last business day of March.

CPE Credits Entered by Chapters- With the end of the 2007-2008 fiscal year fast approaching, please plan ahead and do not enter your chapter members’ CPE at the last minute. The overwhelming volume of chapters inputting information slows down the functioning of our database. As a result, there is a higher likelihood the chapter leaders entering CPE credits will experience ‘technical difficulties.’ Furthermore, updating CPE for several events to meet a deadline increases the chance for error. If a mistake is made during this process, please report it to your Community Support Specialist as soon as possible. They will then delete the erroneous record from the database and the Chapter/Council will need to re-enter the information.

Please note, the entering attendee CPE credits for an event in advance through the Event Planning module in the Chapter Portal, both decreases risk of error and saves time.

New Chapter – West Chester in PA- A new chapter has opened in West Chester, PA, located in the western suburbs of Philadelphia. Stephen Shepard and Fred Shea attended the Chapters first meeting on January 30. The meeting was well attended by chapter members and students and faculty from West ChesterUniversity. The chapter is currently working under a temporary charter, but will be granted a regular charter once the Board approves their Chapter status at their Board Meeting in Austin next week.

Conference- Award Luncheon/ Dinner- The Awards Luncheon has been moved from Tues due to a high profile speaker. We have sent a polling question all Council Presidents to obtain feedback regarding if the Award Luncheon and Annual Dinner at the conference should be held as one event versus two. Please let us know your thoughts on this topic and we will make the decision accordingly based upon the majority opinion.

We will soon be sending out invitations and agenda for the Board Leader Training Workshop which will be held the Saturday of the conference. The tentative agenda includes discussing administration information and topics in the morning and break-out sessions in the afternoon. Please R.S.V.P immediately once you receive the invitation we need to have a headcount for lunch.

The Michigan Council has expressed interest in revitalizing the Port Huron Chapter. Theyestimate the local thriving business community is a great opportunity for membership interest and establishing a chapter.
