Dear Vendor:

Thorntons Inc. would like to extend an invitation to your company to bid on our 2015-2016Snow Removal Program for our locations. Thorntons Inc. strives to continue to serve our customers with the highest quality of service possible; this includes the appearance of our stores.

We advise that you visit each upon which you bid, due to the variation of the sites,in order to get an accurate idea of the layout. Managers of each location are familiar with what part of the property is Thorntons’ responsibility and needs to be plowed.

Please review the Snow Removal Agreement enclosed in this bid packet. This is new for Thorntons. Do NOT sign the Agreement at this time. Any vendor who is awarded our business for snow removal will need to review and sign an agreement with Thorntons in order to finalize this process and in order to have Thorntons’ snow removal business this upcoming winter season.

Thorntons Inc. requires that aCertificate of Insurancewith an endorsement from your insurance company be on file for all service companies. The required amounts of coverage are detailed in the insurance paragraph within the enclosed Snow Removal Agreement.

Please provide company and emergency phone numbers, enabling us to contact you in a moment’s notice, if necessary.

In order for Thorntons to consider and review your bid, you must have your bid to Thorntons no later than September 11th, 2015, by 5:00 p.m. Thorntons intends to have the bidding review process finalized and contracts awarded on or before October 2nd, 2015. The scope of work for our locations is summarized as follows, with more detail in the enclosed Snow Removal Agreement:

Plowing of the lots is to begin at 2”. Please bid plowing at a price of one time per occurrence, and salting at a price of one application per occurrence. Bid each store separately.

Site Criteria:Four (4) stores per Truck Maximum

Site Condition:Scope of Work

Plow approaches curb to curb

Tank pad (do not to run over ourtank fill covers)

Plow so that the following is available for customer easy access:

Pump islands, air machines, parking spaces, and kerosene island

Plow so that dumpsters and price signs are not blocked

“Heavy Snow”Pick up snow with front loader to a non-used area of station;

(Will require discussion)possiblyoff site

If your bid is accepted, we will notify you and will be expecting you to sign the enclosed Agreement with finalized changes specific to the particular vendor.

In order to process payment efficiently, Thorntons Inc. requires your staff to check out with a Thorntons employee after service has been completed. You will receive a receipt, which must be attached to your invoice.
