  • My To Do List

This is your personal list of things to do; only you can see it.

  • Click in the box next to the left of the “My to-do List" to enter a task.
  • Click on calendar to select a due date
  • Click on “add new” to add it to the list.
  • To edit - click on the pencil to the right of the task
  • To delete - click on the trash can to the right of the task.
  • When the task is completed, check the box.
  • The "Show All" button displays both active and completed tasks.

  • Bulletin Board

Information entered in the Bulletin Board is shared by all users of the software in your local.

  • Click on the pencil to add or edit information
  • Click on the save icon to save information
  • Dues Posted
  • This area will keep you update-to-date on all dues posted within the last 6 months. If you have more than one unit or type, this is the total.

(Use the "Dues Report" found in the Members area for further dues details and history.)

Member Tab

Member List & Reports

This is home base for accessing member records and creating reports.

By default, the Member List shows ALL of your membership. Active, Retired Laid-off etc….

You can customizethe view of this list by clicking on the toggle bolt.

Once you have clicked on the toggle bolt, you will see apop up list of properties available to display in your member list. Just click to select items that areuseful to you. It's also possible to change the order of the column headers by clicking the arrow up or arrow down of a header.

You can sort your members by clicking on a specific column header.

A number will appear next to the column header. This will indicate to you that the list in now in that specific order.

If you would like to narrow your list down even further, you can hold down your control button on your keypad and click another header. You can continue to click on the header while you hold down the control button to keep narrowing your list.

Create New Member

From the Members tab you will see a button that states “Create New Member” A blank MemberInformation screen will appear. You simply fill out all of the information that pertains to that member. Once you have completed all of the essential information (you must enter at least a Social Security Number, Clock # and a last name)– the “Save” button will show up brighter than before. Click on the “Save” button and the member has been saved in your Membership list.

Add a picture to Member Information Screen

Add a picture to your member information screen by opening up a specific member and double clicking on the “Add Photo” box. The system will prompt open a window for you to find the picture of that member. Once you have found the picture that you would like to add – simply click on the picture and click on open / insert. To remove a photo – click on “Delete photo” this will delete the current photo you have on that member information screen.

Print an Envelope to the Member

From the Member Information Screen you now have the ability to print a single envelope to this member. Simply click on “Print Envelope” button. The system will ask you if you would like to print your return address. The system will then generate a single envelope for this individual member.

Print the Member Screen

From the Member Screen simple click on the “Print” button. This will generate a report for this individual member. This report will print everything that is listed on the entire member Screen from the Personal Screen to the Notes Screen.

Quick Search

This flexible feature allows you to locate anyone in your membership list. You can enter a first or last name, clock number, SS # (no dashes) or UAW ID #.

This tool is not case sensitive. Note that it's also possible to search by both first name and last name, and of course, partial names.

REPORTS

Filter Off / Filter On Button

This feature allows you to narrow down your member list to a desired group. Once the Filter button is “on” the drop menus appear.

Click on “Please Select” to indicate how you would like to limit your selected members.

For example: Say you would like a report by a specific Status (Active – Retiree etc…). You click on the “Status” option – another tab will appear from that tab you click on “in list” – another tab will appear – this is where you would choose what type of status you would like your report listed by – Active / Inactive / etc….

You may also add additional layers to sort your report by. Simply click on the plus button “+”and another filter sequence will appear. This further limits your selected members. Only members meeting all of your limits will appear.

Example A: You would like a report of Active members in a specific Unit

  • Making sure your Filer is “on”
  • Click on the “Status” option
  • Click on “in list”
  • Click on “Active”
  • Click on the plus button “+” to and another layer of filter
  • Click on “Unit”
  • Click on “In List”
  • Click on the name of the unit you would like the list sorted by

ExampleB You would like a report by Active members who are in a specific Unit who are on a specific Committee.

  • You click on the “Status” option
  • Click on “in list”
  • Click on “Active”
  • Click on the plus button “+” to add another layer of filter
  • Click on “Unit”
  • Click on “In List”
  • Click on the name of the unit you would like the list sorted by
  • Click on the plus button “+” to add another layer of filter
  • Click on “Committee”
  • Click on “in list”
  • Click on “committee name”

Example C You would like a report by Retiree members who are in more than 1 Zip Code

  • You click on the “Status” option
  • Click on “in list”
  • Click on “Retiree”
  • Click on the plus button “+” to add another layer of filter
  • Click on “Zip Code”
  • Click on “In List”
  • While holding down the control key on your keypad you can select more than one zip code.

Generate / Print Reports

Once you have filtered your list to the desired members, you can now generate reports. We have created 8 most popular reports that Locals normally need. To generate these reports you simply click on MemberReportwhich is located on the bottom of yourMember List. Once you click on this tab the Member Report window will appear. You can simply take your mouse and scroll over the report name. On the bottom of the list, in bold, it will appear what the report will offer you, as well as the particular paper needed to generate this report. Again, the reports will include only the members you have selected in the Member List, and in the order shown.

If you do not see a report that you would like to generate and/or print from this list of 8, you do have the option to download this information to an excel file. Close the Member Report window and click on Download to Excel”. The system will now generate a report in anExcel file. (You will the need the Excel software on your computer for thisoption)

Load Dues Manually

This tool is for dues users who need to load member dues regularly, but have only a hard copy, or print out, to work with.

In general terms, create a member list that matches the company's dues print out. Enter the amount paid for each member. This list is stored so that it can be edited and posted month after month.

  • Click on “Load Dues Manually” option under the Members tab
  • In the pop up window, indicate the Unit / Dues Type / Status that you would like to work with
  • Click on “Create Manual Dues”
  • A list will appear that contains members from that specific unit with that specific status.

You can change the view of the list by clicking on the toggle bolt and design it anyway you find helpful.

  • Firstly, please note that you do not have to "Save" your changes. They are always saved and will only be removed if you elect to "Clear Values".
  • Toedit the check off list, just click in the dues or refund amount and enter the new amount.

Note: After you have edited the dues amount, you can just press Tab OR Enter to advance automatically to the next member!

  • If a member did not pay dues, you might like to indicate a reason. Mouse over the dues box and you will see a pencil. Use this to add a dues reason code and/or even a note!
  • If you need to make the same change to several people, use the check box to select them. Then use the options at the top to increase/ decrease the dues amount by either a dollar figure or by a percentage. It's also possible to add the same dues reason codes/notes.
  • Use the check mark is also used to select which rows will be posted. Notice the Total at the bottom shows only those rows selected. When your list is complete and your total dollar amount matches, you are ready to post the dues to history.

Post Dues Manually

  • Once all dues have been check marked and you have verified the total – you can now post those dues.
  • Click on the “Post” button on the top of the report.
  • The sytem will prompt you to verify a year, month and unit you would like to post these dues to.
  • You will receive a confirmation that these dues have been posted.

Load Dues File

Many companies provide dues list in digital files. If your local imported dues files this way in the previous software, this customization is offered in RCSNG too. If you would like to set up this process, please contact support.

  • From the Members Tab - Click on “Load Dues File”
  • A screen will appear titled “Import Dues”
  • First select the dues program from the drop down window. (This section has been built for your local’s dues)
  • Next Click on “Selected Dues File” this is where you will find the report. Where you would have saved it. Either from an email or on your desktop.
  • Once you have chosen a particular dues file – you will a receive notification / status on this dues report.
  • Please read and be aware of this status report.
  • If the company requires a password to open this document – this would be your next step.
  • Answer the Month / Year / Dues Type / Unit and any other items that may apply.
  • Click on “Import”
  • Once the dues have been imported / posted you will receive a confirmation.

To Confirm Dues Posted

There are 3 way to verify if dues have been posted.

  • Click on the Members Tab and go to the Dues Report Option. This will take you to the Membership Collective / Uncollected Dues ReportScreen. Here you have the ability to print a complete report for that month / unit / type of dues.
  • Click on the Members Tab and go to the Members List & Reports. Find a specifc member that you know was part of the dues that you just posted. Double click on his name. This will take you to there MemberInformation Screen. Click on the button that states “DUES” Make sure that both “show refunds” and “show all” are check. You will see all dues that have been posted to this member. You can print this information by click on “Print dues report”.
  • Go to your Dashboard and view information in the Dues Posted area.

To Clear Dues

If you need to clear dues for any particular reason, you have the ability to clear dues for a particular unit / month / year.

  • Click on the Members Tab and go to the Clear Dues option
  • Click on the Year / Month and all that apply that you would like to clear.
  • You will receive a confirmation that will tell you that the dues have been cleared.

UAW Update to International

This process allows you to create a file of membership updates for submission to the UAW International website. We recommend you do this regulary, perhaps monthly througout the year to keep your inforation synchronized.

  • Click on the Members Tap and go to the UAW Update to International option.
  • You will notice you have to 2 optionsto update the UAW
  • Export only changes since a specifie date
  • Export full membership data
  • Once you have choosen which you would like to export / simply click on the download button.
  • You will notice on the screen that the system informs you what will be updated to this file.
  • The system will run a MBRUP.zip fie for you.
  • Each operating system is different. You will need to see where your system saves this information. We recommend you saving to a flash drive.
  • Click the link to the UAW web site to upload the MBRUP.zip file.

UAW Update from International

This process updates basic member information from a file downloaded from International or you can choose to ONLY update UAW ID member Fields updated from International. We have provided two link to there website. Either on the Dashboard Tab under Links or under the Membership Tab / UAW Update from International screen Please log into the LUIS system

  • The following instructions regarding the Luis System can be found on the UAW website under the help tab / membership manual. If you have not created a username or password - please click on the help button from the UAW International web site. Next, click on “Request a Login” This will prompt an email to open up. Complete the questioner and hit send. The UAW will send you more information at this time.
  • Next, click on Membership from the top scroll bar.
  • Scroll down to “Reports”
  • Click on the “Membership Tab”
  • Click on “Roberts Export”
  • Click on Continue
  • The system will now save a MBRUPNEW.DAT file to your computer.
  • Return to web site
  • Click on the Members Tap and go to the UAW Update from International option.
  • Click on what you would like to upload from the UAW. Either ID’s only or created new members
  • Click on Select Files
  • Find the file that was uploaded from the UAW International web site.
  • Click on “Update”
  • The system will now update your software from the International.
  • Please note – when the system is done updating you will receive results from the download. Please read them carefully
