SPORTS CLUBS CONDITIONS OF HIRE
Club Information: / The club must provide the Centre’s Contracts Administrator with all of the contact details for the club Secretary and Treasurer. If the club permits any additional committee members or personnel to make or amend bookings this information must also be provided.
Making Bookings: / All bookings must be made on a Centre booking form. Bookings forms can either be collected from the main Reception or be downloaded from the centre website “club booking” section. Once complete the form must be signed and returned to the Contracts Administrator () or handed in to the main Reception. Please note all bookings are provisional until confirmationis received (e-mail) in writing from Contracts Administrator.
It is the responsibility of the club/individual to check all details are correct on their booking confirmation.
Cancellations: / If you wish to cancel your booking please either call the Bookings Administrator on 888740 extension 206 or e-mail () with details. Please note werequire 7-days notice to cancel a sports club booking. If you fail to give 7-days notice you will be charged in full.
Invoicing: / An invoice will be sent the club treasurer for all bookings made since the previous invoice raised. Individual bookings will incur VAT at standard rate. A series of bookings made as a single block may be VAT exempt if the following conditions apply:
  • The series consists of 10 or more sessions.
  • Each session is for the same sport or activity.
  • Each session is at the same establishment.
  • The interval between each session is at least 1 day (24 hours) but not more than 14 days. The duration of the sessions may be varied. There is no exception for intervals greater than 14 days through the closure of the facility for any reason.
  • The series is to be paid for as a whole and there is written evidence of this fact. This must include evidence that payment is to be made in full whether or not the right to use the facility for any specific session is actually exercised. Provision of a refund in the event of the unforeseen non-availability of their facility would not affect this condition.
  • The facilities are let out to a school, club, association or an organisation representing affiliated clubs or constituent associations, such as a local league.
  • The person to whom the facilities are let has exclusive use of them during the sessions.
If a block booking is for a period of more than one month payment can be made in reasonable instalments each month for the duration of the booking. We expect payments to be made regularly each month throughout the booking period and the final payment must be made no later than the date of the final booking.
We require payments to be made on time. A monthly statement will be sent to the club treasurer showing the outstanding amounts due and overdue. Failure to make payments on time may result in future bookings being refused or advanced payment being required at time of booking.
Charges: / A full list of our charges can be found on our website or at the main reception.
Booking Times: / Set up and take down of any equipment for your booking is included within the booking period.
Liability: / The Pickaquoy Centre Trust will not be held liable for accident to person(s) or loss of property by any person or organisation during or in connection with any Centre booking.
Supervision: / If you organise a junior team and the majority are under 16 years of age please ensure a responsible adult is present all times to ensure safety and supervision.
Please do not enter the Arena or any other area booked prior to the booking start time.
Photography: / From time to time photographs may be taken of activities for promotional purposes. If you have any objections to your children/team being photographed, please contact us in writing.
Footwear: / The following footwear must be worn if the following areas:
  • Arena – non marking indoor training shoes
  • Quayside Suite – non marking indoor training shoes
  • All Weather Pitch –non studded/bladed footwear
  • Squash Courts– non marking indoor training shoes

Grass Pitches: / Please refer to the Management of Grass Sports Pitches for detailed information on the booking of these facilities.
Equipment: / The Trust endeavours to provide equipment for all club hirers however; this cannot be guaranteed. All equipment requirements must be detailed on the sports booking form. The Trust will not be held responsible for any damage or theft of any equipment brought into the Centre that is deemed not to be the Trusts property. Damage caused to Trust equipment that is deemed out with normal wear and tear may result in the club being charged for the replacement of the equipment.
