JOB DESCRIPTION
Job title: Activity Group Coordinator and Administrator
Responsible to: Senior Carer Support Officer (Bristol)
Responsible for: NA
Hours: 15 per month (flexible)
Place of work: The Carers’ Support Centre, Gill Avenue, Fishponds, Bristol (There is potential for working from home)
Aims of the post
To be responsible for the co-ordination and administration of the Carers Activity Groups, including resources and venues.
Main tasks
1. Coordination of the groups.
1.1 Support Volunteers with purchasing resources.
1.2 Complete quarterly report.
1.3 Planning and reviewing meetings.
1.4 Review Income and Expenditure.
1.5 Recruit guest facilitators for the groups.
1.6 Review volunteers
1.7 Promote and publicise the Activity Groups.
2. Administration of the groups.
2.1 Respond to enquiries and provide details of the groups.
2.2 Update records on the database.
2.3 Liaise with volunteers.
2.4 Liaise with venues, book rooms etc.
2.5 Review and update Risk Assessments
3. General
3.1 To ensure that all work is carried out in accordance with the Carers’ Support Centre’s policies and procedures.
3.2 To undertake any other duties commensurate with the grading of the post, as agreed with your line manager.
SPECIFICATION
Experience/Knowledge
Essential
· Experience of working in an administrative role including maintaining administrative systems
· Experience of using computer based client database
Skills
· Computer literacy with good working knowledge of Microsoft Office
· Excellent written and verbal communication skills
· Excellent organisational and administrative skills
· Excellent telephone manner and ability to deal with enquiries from service users, volunteers, members of the public and external agencies/suppliers/contractors
Attributes
· Ability to work on own initiative, manage time effectively, prioritise own workload and work to deadlines
· Ability to establish good working relationships with carers, staff and volunteers
· Commitment to equal opportunities in practice
