Church Secretary

The Ministry Goal:

The ministry goal is to provide an office assistance that will enable the congregation to be informed and equipped for ministry.

Introductory Remarks:

BethelUnitedMethodistChurch chooses to employ a person for the purpose of achieving this goal. A “Church Secretary” is thus to be employed.

United MethodistChurch policies, the Staff-Parish Relations Committee is responsible for employing individuals to meet the goals of the congregation. As part of this duty the Staff Parish Relations Committee establishes guidelines and policies to govern such workers.

When such a person is employed, that person becomes a member of the “Church Staff.” As a member of the Church Staff, the Church Secretary is supervised by the Senior Pastor and governed by the Staff Parish Relations Committee. The Church Secretary will attend staff meetings when called by the Senior Pastor. He or she will provide administrative support for the other staff members also.

Minimal Qualifications:

To meet Bethel’s goal, the following qualifications must be met by anyone wishing to be considered:

Office Skills; Microsoft Office, filing, operation of office equipment

Ability to work with others. Strong interpersonal skills

Prior experience in Public Work such as Secretary, Administrative Assistant or other job that requires significant contact with multiple publics.

Specific Duties:

Be familiar with the operation of all office equipment. (Including but not limited to current equipment, software and computer programs)

Answer the telephone in a friendly, helpful manner and keep record of telephone messages.

Production of all printed material for worship and parish communications. (Weekly Buletins, Announcement Sheets, Monthly Newsletters, etc.)

Provide support for the Senior Pastor by keeping and maintaining records of all meetings and scheduling the use of Facilities and Program calendar.

Update weekly website, schedule appointments with Senior Pastor.

Arrange for coverage of the phone when necessary.

Responsible for delivery of Inter-Office Mail and for receipt of packages delivered to the Church Office.

Update skills and keep abreast of current trends in Church Office management.

Notify Senior Pastor when absence is necessary and arrange for a suitable substitute.

The Church Secretary Treasurer should set a positive example in the following areas:

Spirituality-Lead by the example of your own journey with the Lord.

Dependability-Attend and be prepared for meetings as required.

Neatness-Reflect a professional image.

Relationships-Maintain a positive/productive relationship with all staff members and congregation.

Communication-Communicate with all staff members and congregation in a professional, mature manner.

Evaluations:

In order to determine if the Church’s goal is met, an annual evaluation will be conducted by the Senior Pastor.

The Senior Pastor shall meet with the Church Secretary to review the “Evaluation Form.” From the annual evaluation will come the terms of the subsequent year’s salary package and terms of employment.

Compensation and Terms

The Church Secretary is a “Staff Employee.” This means that the compensation package is determined by the Administrative Council upon recommendation by the Staff Parish Relations Committee.

Terms of employment are renewed on an annual basis and are considered confidential. Such terms are forwarded through private correspondence after annual evaluations and negotiations.
