JOB TITLE Assistant Corporate Management Accountant

DEPARTMENT Finance

GRADE D (L) - £27,309 p.a. to £32,882 p.a. inclusive

LOCATION 123 Old Brompton Road, London (with occasional travel to Sutton)

REPORTING TO Head of Corporate Accounting

OBJECTIVES OF THE POST

To assist the Head of Corporate of Accounting in the provision of financial information and support to Corporate and Academic Services budget holders, maintaining the integrity and accuracy of financial information, preparation of annual budgets and five year projections, and the financial management of ICR’s taught and research courses.

RESPONSIBILITIES/DUTIES

  1. Take an active role in the production of annual budgets and the Institute’s five year financial projections by ensuring the timely update of the estimates table with relevant information for staff, non-staff, capital and income in the budget model in accordance with the budgetary timetable.
  1. Ensure that income and expenditure budgets are loaded on the finance system (currently Agresso) and process virements, re forecasts and budget profiles throughout the year.
  1. Be the first point of contact in dealing with budget holder queries on a daily basis, identify any anomalies and prepare general ledger journal on a monthly basis.
  1. Responsible for the printing of system generated budget holder reports financial reports on a monthly basis. This applies for both ICR funded budgets and external grants and ensure that they are distributed to the relevant management accountant according to the month end timetable.
  1. Set up new grants and related project codes and close those that have expired or no longer in use, as per budget holders’ instruction.
  1. Update the Human Resources/Payroll system with post funding details and ensure that corresponding post numbers are either set up or closed on Agresso.
  1. Work closely with the Academic Services Directorate in processing tuition fees for both PhD and MSc courses and reconcile fee income to student numbers. This involves agreeing with Registry the student list and the fees to be charged for the academic year. Raise a general journal for students funded from various ICR grants and ensure that those that are self or funded from external sources are invoiced accordingly. Updating the reconciliation with any changes throughout the year.
  1. Provide the Academic Services Directorate with costings for new PhD studentships and ensure that there is identifiable funding in place for the entire period of the proposed studentships.
  1. Ensure that interdepartmental recharges are received from departments and that a journal is posted as per month end timetable.
  1. Ensure that the funding authorisation forms for new staff and contract changes are processed and submitted to the Human Resources department according to the Service Level Agreement.
  1. Assist with the update of the grant reconciliations and reserves register on a monthly basis
  1. Assist with the monthly processing of income accruals so that income is accrued or deferred accordingly thereby reporting income to the relevant period.
  1. Assist with the end of grant reconciliation and final financial submission to external funders according to funders’ terms and conditions.
  1. Assist with the maintenance of Service Level Agreements that ICR has with the Royal Marsden Hospital. This is the settlement of costs incurred by each institution on behalf of the other.
  1. Update the authorised budget holder signatory file and ensure that the approvers’ record on Agresso is up to date.
  1. Maintain a robust filing system.
  1. Attend budget holders’ meetings in the absence of the Head of Corporate Accounting.
  1. Undertake other activities as directed by the Head of Corporate Accounting.
