The Importance of Monitoring Your eExchange Report

As the reporting contact for your group, monitoring of the report isextremely importantand here's why:

  • Reviewing each report will ensure that all the correct employee demographic data and their associated elections or changes are transmitted and loaded correctly into {insert carrier name} membership system
  • These reports provide you with an accurate, behind-the-scenes look of how your group’s enrollment information is being received and processed
  • The reports are only available for seven (7) days following the upload to your SFTP site
  • Our top priority is your group’s benefit election process and to avoid any complications, including access to care, we need your assistance with correcting exceptions prior to your next scheduled EDI file

We’ll post your report / Within 48 hours of the file transmission from the Group, Benefitfocus will post reports to your SFTP site.
You’ll review each tab of your report / Summary: This tab will list the count for all adds, terms, and updates as well as the count for the exceptions and tolerable exceptions.The purpose of this tab is to give an overview of the file that was processed.
Activity:A detailed, member specific description of all changes that occurred on the specific feed. Any member to {insert carrier name} is listed on this tab, if they are being sent because another member on the contract had an update and they did not they will not have any specific change noted in their details.
Exceptions:Members that have failed a validation step and are not sent to {insert carrier name} are listed on this tab with the specific error that caused the contract to be held back. This must be corrected within the group’s payroll system and resent on the following feed.These errors will persist until corrected.
Tolerable Exceptions:Members that have failed a validation but will be sent to {insert carrier name} are listed on this tab with the specific warning that caused the member to populate to the report. This too must be corrected within the group’s payroll system and resent on the following feed.These errors will persist until corrected.
No Activity:Memberson the file, but without changes.
Drops:Members that have dropped off of the file feed without a termination sent for their coverage are populated to this tab. The members may also appear on one of the above tabs as well if there are rules that cause them to do so.Please note that these members will only be reported once; this notice is not pulled forward.
Effective Date Only Change: Informational for you as the reporting contact. No call to action with the details contained on this tab.
You’ll update your system to reflect validated data / You will correct data for any exceptions or make any modifications to changes that are necessary.Benefitfocus will send the updated member data to {insert carrier name} in the next scheduled file.Any manual corrections can be sent directly to the carrier; however, this should still be updated within their payroll system to ensure the correct carrier data is not over-written by the incorrect file data.
