Draft Agenda for IAC Metadata Committee

The IAC Metadata Committee is charged[1] to do seven things.

·  Evaluate metadata standards, policies and practices for digital resources for which Yale Library has or may have management responsibility.

·  Develop and implement a common metadata element set, policies, and practices to support access across Yale collections, preservation of digital objects in repositories at or by Yale, and sharing metadata within and beyond Yale.

·  Train staff and support staff training to evaluate, edit, and create metadata according to our established metadata structures and shared content standards.

·  Identify needs, write documentation, and develop workshops or other training sessions to support staff that evaluate metadata for digital resources in Yale collections, edit existing metadata for reuse, or create it.

·  Inform Yale faculty and staff of developments in metadata concepts, standards, policies, best practices and implementation issues.

·  Develop and implement a series of information sessions on metadata for the campus.

·  Report quarterly to the Integrated Access Council and the Chief Catalog Librarian.

These seven actions can be condensed usefully to one strategic priority for action: build, promulgate, and support a portfolio of metadata standards and associated best practices for digital collections at Yale. By September 2006, the IAC Metadata Committee will complete the following:

·  Roll out the Yale Element Set and Guidelines for digital collections at Yale

·  Develop a preservation metadata element set for Yale based on PREMIS

The IAC Metadata Committee will also continue to do other tasks relating to

·  Evaluate emerging metadata standards for description, administration, and structure for suitable use at Yale

·  Inform Yale faculty and staff of developments in metadata concepts, standards, policies, best practices and implementation issues

The IAC Metadata Committee will meet only as needed in the next six months. The work on the roll out of the Yale Element Set and Guidelines will be done by the Metadata Services Team in the Catalog Department, and the work on the preservation metadata element set will be done by a task force of the Metadata and Digital Preservation Committees. Ongoing evaluation of metadata standards, etc. and efforts to inform faculty and staff will be led by the Metadata Committee in conjunction with the Metadata Services Team. The IAC Metadata Committee will be kept informed of progress through brief written reports by the Metadata Services Team and the task force on the preservation metadata element set.

Actions and timeline for roll out the Yale Descriptive Element Set and Guidelines are:

·  Web version of Yale Element Set and Guidelines drafts by April 2006

·  Several use cases for Yale Element Set and Guidelines, for example, Arts Library Visual Resource Collection, Beinecke Digitial Library, EGDC, Medical Digital Library, Orbis by May 2006.

·  Investigate role of Yale Element Set and Guidelines within Federated search tool (MetaLib) and within OAI PMH-based service by June 2006

·  Usage guidelines refinement by June 2006

·  Yale Element Set and Guidelines, version 1.0 by July 2006

·  Report to Yale community on Yale Element Set and Guidelines by August 2006

·  Forum on role of Yale Element Set and Guidelines by August 2006

Actions and timelines for developing a preservation metadata element set for Yale based on PREMIS are:

·  Start up Yale task force by April 2006

·  Element set drafted by end of July 2006

·  Report to Yale community on preservation metadata element set by August 2006

·  Forum on role of preservation metadata element set at Yale by September 2006

Other tasks for the Metadata Committee include:

·  Analysis and report on technical metadata for digital images by April 2006

·  Develop Metadata Web site for Yale by May 2006

·  Forum on MODS,METS, etc. by Aug 2006
